Job Title: Purchase Officer

Job Summary: As a Purchase Officer within ideSHi, he will play a critical role in ensuring the smooth
functioning of the operations by managing the procurement process efficiently. His responsibilities will
include sourcing, purchasing, and managing the inventory of laboratory supplies and equipment necessary
for ongoing research activities. He will collaborate closely with researchers, lab managers/coordinators,
and vendors to ensure the timely procurement of high-quality materials while adhering to budgetary
constraints.
Key Responsibilities:
1. Sourcing and Procurement: Identify reliable suppliers/vendors for laboratory equipment,
chemicals, consumables, and other research-related materials. Obtain competitive quotations and
negotiate pricing and terms to secure the best deals without compromising the quality.
2. Purchase Order Management: Prepare purchase orders accurately, ensuring all necessary
specifications, quantities, and delivery timelines are clearly defined. Coordinate with finance and
administrative departments to process purchase orders efficiently.
3. Inventory Management: Maintain an organized inventory of all laboratory supplies and
equipment. Monitor stock levels with the help of store officer(s) regularly and anticipate future
procurement needs based on research project requirements and consumption patterns.
4. Vendor Relationship Management: Cultivate strong relationships with vendors and suppliers to
ensure prompt delivery, resolve any issues or discrepancies, and explore opportunities for cost
savings and value-added services.
5. Compliance and Documentation: Ensure compliance with relevant procurement policies,
procedures, and regulations. Maintain accurate records of purchases, contracts, and vendor
agreements. Prepare reports and documentation as required for audits or budget reviews.
6. Budget Management: Collaborate with research leads or PIs/Co-PIs and finance personnel to
develop and manage procurement budgets effectively. Track expenditures and identify
opportunities for cost optimization without compromising research objectives.
7. Quality Assurance: Work closely with researchers and laboratory staff to ensure that purchased
materials meet quality standards and specifications. Address any quality issues or concerns
promptly and efficiently.
8. Continuous Improvement: Identify areas for process improvement within the procurement
function and contribute ideas for enhancing efficiency, cost-effectiveness, and sustainability. Stay
informed about industry trends and new technologies to make informed procurement decisions.
9. Management Obligation: He will be bound to work wherever he feels required as per the needs
of the organization. In such a case, his excuse from any corner will not be considered.
Requirements:
 Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
 Proven experience in procurement or supply chain management, preferably in a research or
scientific environment.
 Strong negotiation skills and the ability to build and maintain effective relationships with vendors
and suppliers.
 Excellent organizational skills with attention to detail and accuracy.
 Proficiency in procurement software and tools (e.g.: SAP), as well as Microsoft Office suite.
 Knowledge of relevant regulations and compliance standards in procurement.
 Ability to work independently and collaboratively in a fast-paced, dynamic environment.
 Strong communication and interpersonal skills.
