CODIFICATION
MATERIAL CODIFICATION

• To facilitate identification, a unique

nomenclature of material is essential

“Codification is the process of representing

each item by a number or alphabet, the digit of
which indicate the group, the subgroup, the
type and the dimension of the item.”
At times, it includes bin location and suppliers
name.”
• Number of digit vary from 7-15, depending upon
• Number of items
• Use of digit
• Number of manufacturing sister organizations
• Inclusion of vendor etc

• As the number of digit increases, the amount of

information that can be built into code also
increases but correspondingly the chances of
committing an error while recalling a code also
increases
• After the number of places has been agreed upon,
next step is to split them in to groups based upon
• Materials
• Types of product

• Normally the digit represent as

• First two Major Groups
• Next two Sub Groups
• Last two Minor variations
• Each code should represent one item and each
item should be recognized by a single code

• System of codification should be

• Simple, Logical, Unique yet flexible
• Understandable by all or at least by users
• Compact & Concise
• Consistent
Gen Principles for Codes

• Allocation of material code should be governed

by Logical, simple & easy rules

• The material code assigned to an item must

be unique with no likelihood of its being
duplicated for another item

• Similar items should be grouped together and

it should be possible to retrieve a group of
item as a whole
• The material code should facilitate identification
of inventory groups

• Code should also identify equipment, machine

and their related spares

• The retrieval of an item should be simple and

straight forward

• It should be flexible enough to accommodate new

items introduced
Advantages of Codification

• Easy recognition of Item, easy listing, records

keeping- simplification
• Avoidance of long cumbersome names
• Systematic logical grouping of similar
items-Standardization
• Elimination of duplicate items-Economical
• Cutting down lead time
• Facilitate computerization
Coding Systems

• Alphabetical
• Numerical
• Alphanumerical
• Bar coding

International level

• Kodak System (USA)

• Brisch System (UK)
Kodak System

• Represented in groups of digits
__ _ __ __ __ _
Class Sub-class Kind Types sizes minor variation

• All material have been divided into 100 basic

classification
• Each class divided into 100 sub class
• Class (2) Ortho appliances
• Subclass (1) Screw, plates
• Kind (2) Angled Screw
• Type (2) Femur plate
• Size (2) 100 mm plate
• Minor variations (1) (if Any)
Brisch System

• Consists of 7 digits
• Applied in 3 phases

• Splitting done on the basis of

• material
• usage
• size
Bar Coding

• Consisting of series of black and white lines.

• Thickness of the line varies.
• Thickness and the gap between lines is linked
to a code.
• Easily readable by laser light.
• Accurate system can be linked to various other
related functions.
• Stock status is always up to date.

BNF code

• A fifteen character code, based on the British

National Formulary (BNF). The code breaks
down as follows:

• Char 1-2 BNF Chapter

• Char 3–4 BNF Section
• Char 5–6 BNF Paragraph
• Char 7 BNF Sub-paragraph
• Char 8-9 Chemical substance
• Char 10 - 11 Drug or Product
• Char 12 – 13 Strength/Formulation
• Char 14 – 15 Equivalent drug
example

• Ranitidine Hydrochloride 150mg

0103010T0AAAAAA
• Zantac tablets 150mg
0103010T0BBAAAA

• 1-2: identify BNF Chapter 1(gastro-intest system)

• 3-4: identify section 3 (ulcer-healing drugs)
• 5-6: identify para 1 (H2-rec antagonists)
• 7 : identifies the sub-paragraph which is NA
• 8-9: identify the substance as ranitidine
• 10-11: identify a generic or a specific brand
• 12-13: identify tablets of 150mg
• 14-15: link the brand to the generic

• Introduced by GOI, on 13 Mar 2002
• Earlier a seven digit system
• 1 & 2 digit for Group
• 3,4 & 5 for sub group
• 6 & 7 for components
• New System has SIX Digits only
• First two Main sec
