Admin PAL is a simple, fast, user-friendly, and easy-to-use web-based administration module within the PAL
system. It controls user access across all modules.
System Guidelines:
This section describes the functionalities of various commonly used buttons and icons in the Admin module.

This section provides an overview on the module and the various sections.

This section consists of a comprehensive list of initial configurations that must be achieved before working on
the admin module.

• The officially supported browser is Google Chrome 50.0 and higher versions.

3. Module Overview
The Admin module is one of the vital modules of PAL. Admin consists of various sections that aid in the basic
and essential configurations. These configurations are of utmost importance in the initial implementation of
PAL.
Admin helps to configure various master pages based on which the users and user privileges can be structured.
Admin facilitates the creation of privileged users, which helps in handling the resource allocation meticulously.
The user registration, which is an integral part of the Admin module can be carried out here. Admin has
designated sections and pages that help in assigning rights to the registered users. The module consists of the
pages that help to configure the menu and page rights of the LiveFleet module as well. The report section
facilitates transparency in terms of user activity. Individual and comprehensive reports based on various user
attributes can be generated. Detailed reports help in the monitoring of user activity in a hassle-free manner.

3.1 General Outlay
The General Outlay of the Admin module is as depicted below:
Master Data Setup: To start working on the Admin module, apart from the Initial data setup, defining master
pages are essential.
Registering PAL Users: The user registration which is an integral part of the Admin module helps in the
registration of various users into PAL.
Assigning Rights: The assigning of user rights and roles in various applications depends on the user’s
organisational hierarchy.
Reports: This section generates concise reports of the user rights and user activity which provides transparency
of the resource rights and administration of the company.
Apart from the initial data setup, the data must be incorporated into a set of master pages within Admin PAL.
Defining the master pages will enable the main and corresponding pages to work effectively. The master pages
can be found in the Administration section of PAL Admin. Refer to the flow chart to find the activities carried out
through the master (Defining pages) pages.
2)User Registration
After defining the master pages, the users can be registered to PAL. The vital process of the Admin PAL is user
registration. It is through this section; that the various types of users can be registered based on the hierarchy
and designations in PAL. The details of the internal users (AD) are sourced from the local HRMS(Registry) which
makes the user registration process easy. The external (DB) users can be registered manually. Simultaneously,
Vessel users and LiveFleet owners can be registered to PAL. Refer to the flow chart below to find the activities
carried out on the User’s page.

Post user registration, roles, and rights must be assigned to the users in applications to begin using PAL. The user
roles and rights are assigned based on their organisational hierarchy. Assign Rights are a set of pages that help
in assigning roles and rights to new or existing users. Additionally, there are dedicated pages that helps to assign
rights to Office and Vessel users individually. The users will be capable of executing functions in PAL, only after
the necessary rights have been assigned.
With adequate rights, users can initiate executing the processes in PAL. The user activity can be monitored with
the report section. The reports section gives insights into the activity of users and is capable of providing
individual and comprehensive reports that help in the efficient monitoring of the user rights and activity. The
reports can be generated at any point in time and the pages help in tracking the probable errors that occur in
PAL. Monitoring the reports at regular intervals help in rectifying the issues in a lesser span.
3.2.2 LiveFleet/CWA
The Admin module consists a set of pages that helps in arranging the essential configurations of the LiveFleet
module.
It is important to configure these pages prior to working on the LiveFleet module. Go to LiveFleet/CWA to follow
the process flow.

1. Superusers:
As the name suggests, these types of accounts are highly privileged accounts primarily used for administration
purposes. Superuser has access to all the administrative features across modules and companies.
The rights of the users are as described below:
• A superuser has the liberty to assign normal users to any module of various companies.
• Superusers can assign Global Administrators and Local Administrators to the modules in various
companies.
The superuser privilege will only be given to a few users in the organisation for security reasons.

2. Global Administrators:
The Global administrators are a type of privileged account that can assign any type of user to a module except
Superusers.
The rights of the global administrators are as described below:
• It is possible to assign normal users to a specific module (e.g., Accounts/Crewing, etc) irrespective of the
company.
• Global administrators can assign Local Administrators to a specific module irrespective of the company.
It is the Super Users that can assign global administrators to the modules.
3. Local Admins:
The Local admins are another category of privileged accounts. Local admins can only assign users to a specific
module of a company. However, a local admin can be assigned to a module by a Super User and Global
Administrator.
4. Other Users:
These are the users of the organisation who execute regular functions in PAL. The users might not possess any
special rights unless manually assigned. The rights of the users belonging to this category can be customised by
Superusers, Global Administrators, and Local Admin.

4 System Descriptions
4.3 Administration
A designation is a title given to a resource who is responsible for a set of duties within the organisation. This
page helps to define the designation of users and it is pivotal as the user rights will be assigned according to it.
The designations created here will be populated across Admin PAL.

The modules in the PAL system require roles to execute several tasks on the platform. The Role Creation page
deals with defining sufficient roles for a smooth workflow. Any sort of customisation can be made to the defined
roles as well.
Prerequisite:
The designations must be defined from the Admin > Administration > User Designation page.
Key Terminologies:
• Role Mapping: This button helps the user to map roles against selected designations. The designations that
are mapped will be marked Red.
Note: The checkbox Active will be selected by default, it can be cleared if required.
Note: Upon dragging a designation against a role, the record will be autosaved.

4.3.3 Users
Administration > Users
The purpose of this page is to add a new user to the database and to register active directory users to PAL.
Additionally, various customisation concerning the user’s roles, vessels, and entities are possible. The page also
has a provision to edit the details of existing users.
The Company must be defined from MDM > Common > Companies.
The Vessel must be configured through the MDM > Common > Vessels > Vessel Register page.
Entity will be sourced from the MDM > Accounts > Entity Master page.
Ultimate Owner must be configured through MDM > Common > Vessels > Vessel Register page.
Primary Manager needs to be configured through MDM > Common > Vessels > Vessel Register page.
The Fleets must be defined and mapped through MDM > Common > Vessels > Fleet.
The Designation must be defined from the Admin > Administration > User Designation page.
User Role must be defined through the Admin > Administration > Role Creation page.
The Department must be defined from Admin > Administration > Departments page.
Applications must be pre-defined.
An official email ID must be created for the user for authentication purposes.
Key Terminologies:
• Normal Users: Use this button to view the Office users. The users can be segregated into AD/DB users.
- AD (Active Directory): The users specified as AD are the Permanent internal users.
- DB (DataBase): Denotes the external users that are permitted to access the application
for a stipulated period.
• LiveFleet Users: Click this button to view the existing LiveFleet users.
• Vessel Users: On clicking this button, the existing vessel users will be listed.
• Locked User: Check this box to view the locked users.
• Roles & Rights: Roles and rights against a registered user can be assigned through the tab.
• Vessel: A vessel can be assigned against a registered user through this tab. Once a vessel is assigned to a
user, even if the user has rights to other vessels, the access will be restricted to the assigned vessel.
• My Vessel: Using this tab, the user can add vessels as per priority.
• Entity: The tab is used to define entities against a user.
• Owner: The tab is used to define owners against a user.
• My Tiles: Using this tab, the user can add tiles as per priority.
• Tiles: Using this tab, the required application tiles can be enabled for a user.
• Dashboard: To add a dashboard group to a user account.
• Copy User Rights: The button is used to copy a user’s rights to another user.
• Edit User: The button helps the user to change a user’s details and make the user active or inactive.

• AD/DB: This button is to create AD/DB users, the required type of user can be created by clicking the
appropriate button.
• Owner Tab: A user can only view the activities of a LiveFleet owner if the owner is mapped to a PAL user
from the owner tab.
• Custom Role: Denotes if the user has customised/generic user rights. The Red tile indicates customized user
rights, and the Blue tile indicates generic user rights.
Note: My Tiles tab will only be available for Global Administrators and Super Users.

Note: To reset a user’s password, click Send Invitation Mail. On clicking, a password reset link will be sent to
the user’s email ID.
Note: On clicking Custom Role, the Customise User Rights window appears.

Check or uncheck the desired rights

Note: The Include Custom Rights checkbox is used to copy the customised rights of the user.
Click Copy
Note: If a user attempts to log in with a wrong password for five consequent times, the user will be locked.
In such instances, the user account must be manually unlocked by following the above method.

The aim of this page is to manage users of various vessels that belong to a company. A user can be assigned as
the main user or backup user. The main users will carry out the main duties of the vessel wherein, the backup
users will serve as a substitute for the main users.
Prerequisite:
The Company field lists out different companies configured through MDM > Common > Companies.
The Designation must be defined from the Admin > Administration > User Designation page.
The Vessels must be configured through the MDM > Common > Vessels > Vessel Register page.
The various components of a vessel must be configured through the MDM > Common > Vessel Register page.
The Designations will be available for selection if they are configured through the Admin > Administration >
Vessel Designations page.
Key Terminologies:
Note: This page helps to manage the users of a vessel from the Office side. Upon replication, the changes will
be implemented to the applicable vessels.

4.3.5 Applications
Administration > Applications
The application page helps to create a new application, including the features such as icons, navigation path,
URL, and applicable environments. This page also facilitates the allocation of global administrator users, user
roles, company types, and companies to an application.
Caution:
The Application details are pre-defined and handled by Mariapps Marine Solutions, however, any sort of
change can be made in the Global Administration, Roles, Company Type, and Company tabs.
If any changes are required concerning the Applications, please approach the Support team.
Prerequisite:
Various Roles need to be defined from the Admin > Administration > Role Creation page.
Users need to be registered from the Admin > Administration > Users page.
The Company Types need to be defined from the MDM > Common > Companies > Company Type page.
The Company must be defined from the MDM > Common > Companies page.
Key Terminologies:
• Global Administration: This tab is used to assign global administrators to the application, the assigned user
will have all sorts of rights in the selected application.
• Roles: This is used to assign roles to the application.
• Level: This parameter denotes the hierarchy of the normal user role in PAL. The role level starts from 0 and
can extend up to infinity. A Level 0 user is the topmost level and will have all the privileges. (Example: If the
organisation has 500 normal PAL users, the user with level 0 will be the higher-level user and the user with
level 500 will be the lower-level user). The users with a lower-level role will not be able to view/configure
the access rights of the higher-level roles. However, a Global Administrator will be able to view and
configure the access rights of a highest level (Level-0) user.
• Company Type: This tab is used to assign various company types to an application.
• Company: This tab helps to assign various companies to an application. The companies that are populated
will depend on the company types defined through the Company Type tab.
• Local Admin: To assign a local admin either the user must have the privileges of a super user, or the user
must be a Global administrator.
Note: The users with lower-level roles cannot view the higher-level roles.

The Application Pages page enables the user to create pages for the newly created applications. The significant
aspects of an application page such as page name, heading, navigation URL, and applicable environment can be
configured here. Changes can be made to the existing pages by designated users at any point of time.
Caution:
This page is pre-defined and handled by Mariapps Marine Solutions, however, it is permitted to change the
page hierarchy. If any changes are required concerning the page name/functional rights, please approach the
Support team.
Key Terminologies:
• Menu Details: This grid contains the details of an application page such as Page Heading, Page Name, Icon
Name, URL, etc.
• Object Name: Stores the name of the Page Object.

page, the page will only have a view-only provision, even if any other rights have been assigned.

4.3.7 Departments
Administration > Departments
Departments are the various sectors of the organization; each department has a set of companies that executes
a certain type of duty. The purpose of this page is to define departments and map respective companies.
Prerequisite:
The Departments need to be configured through the MDM > Common > Company Departments page.
The Company field lists out different companies configured through MDM > Common > Companies.
Company Types must be defined from the MDM > Common > Companies > Company Type page.

This page helps to create new vessel designations. The page serves as a master page, the designations defined
here will be reflected in the Vessel Distribution Users page.
Prerequisite:
The Management Types must be configured from the MDM > Common > Vessels > Management Types page.
Key Terminologies:
• Support Backup user: Select the checkbox to make the corresponding designation as a support backup user.
• Management Types: Use the ellipsis button to select the required type of vessel management.
Note: The checkboxes named Active and Support Backup User will be selected by default, they can be cleared
if required.

This page intends to generate a report on the user rights in an application. This will provide a detailed report on
the users who have rights to various PAL Applications. It also has a provision to view the user rights for a specific
application page and functional object rights. The page also has a facility to generate the user rights report for
any specific company.
Prerequisite:
An Application must be assigned to a user via Admin > Administration > Users page.
The Application Page(s) and user rights must be defined to a user through the Admin > Administration > Role
Access rights page.
The Page Name and Page Object must be defined from the Admin > Administration > Application Pages.
The Company must be defined from MDM > Common > All Companies.

This page intends to generate reports on the user rights. The page generates three types of reports such as page-
wise role rights in an application, page-wise customised attributes, and user object rights of a company user.
Prerequisite:
The Companies must be defined from the MDM > Common > Companies > All Companies page.
Sufficient rights must be provided to a role through the Admin > Menu Rights > Role Access Rights page.
Certain customised attributes must be provided through the Admin > Administration > Users page.
Page Objects must be assigned to a user role through the Admin > Menu Rights > Role Access Rights page.

A user can execute a certain function in a page only if sufficient rights such as View, Add, Edit, etc. are provided.
This page helps to assign rights to different roles in an application. The functional object rights such as Copy
validation, Approve button, and Export can also be defined simultaneously.

Note: Menus of the selected application will be shown on the left. On selecting a page, the existing rights
can be seen in the right grid.

Note: On assigning any right to the parent, the child pages will inherit the same right automatically.
If any rights are given to any of the child pages, the hierarchical parents will get the view rights.
On removing the rights of the parent node, the child pages will lose the rights automatically.

Note: If the data is not being populated in the page despite the data mapping. Please be informed that the
user account might not possess the required level of access rights. Verify the rights and levels for the
selected application in the Roles tab of the Application page.

A vessel user can execute certain functions in an application only if sufficient rights and roles are enabled. This
page will aid in assigning roles in the applications to a vessel user. The Vessel User Rights page has namely two
grids, Assign Rights to Vessel User Template and Copy Rights from a Template user. Initially, the first grid helps
to map the required role in an application to the Template vessel user. To assign rights to a Vessel User, the
rights from the required template vessel user can be copied and assigned to the vessel user with the help of the
second grid.
Caution:
It is important to create a Template vessel user. User Rights cannot be assigned to a vessel user unless a
template user is created.
While assigning new rights/applications to a Vessel User, it is advised not to remove the user rights of an
existing user, unless required.
Removal of the user rights would result in the deletion of the rights assigned to a user in the PAL Applications.

• Role: Stores the list of available roles defined through the Role Creation page.
• Template vessel user: A mock-up of a vessel user that has certain roles and rights assigned to it. The roles
and rights can be copied from this template to create a vessel user.
• Vessel User: The actual vessel user, the roles, and rights required for this user can be copied from a Template
vessel user.
• Assign Rights to Vessel User Template: Using this grid roles can be assigned to a vessel user.
• Copy Rights from a Template User: By using this grid, the roles can be copied from an existing template
user. The copied roles can be assigned to a Vessel User.

Note: This is an initial process. Once the rights are assigned to the Vessel Template User, it is not necessary
to change it further, unless required.
Note: This is a one-time setting for each Vessel User with each of the Applications and Roles.
The created template users will be stored in this page. This helps to refer to the template while creating
actual vessel users at any point in time.

This page generates the reports of roles and rights assigned to Template vessel users and Vessel users. The
reports consist of two sections namely Menu Rights and Functional Object Rights. The Menu Rights list out the
roles assigned to users in the application, wherein the Functional Object Rights lists out the functional objects
assigned to vessel users in the application pages.
Prerequisite:
The Applications will be pre-defined.
The Vessels need to be registered from the MDM > Common > Vessels page beforehand.
The Users must be assigned to a vessel from the Vessel tab of the Admin > Administration > Users page.
The required rights must be assigned to the vessel template user and vessel user from the Admin > Menu
Rights > Vessel User Rights.
Key Terminologies:
• Template: Select this option to generate a report based on the vessel user template.
• Vessel: To generate a report for a selected vessel, choose this option.
• Company: This field helps to select the company by which the user rights query is to be filtered. This field
will be enabled only by choosing the Vessel option.
• Vessel: Select the vessel by which the user rights query is to be filtered. This field will be enabled only by
choosing the Vessel option.
• Menu Rights: This grid shows the menu rights assigned for the Template vessel users/Vessel Users.
• Functional Object Rights: This grid shows the functional object rights assigned for the Template vessel
users/Vessel Users.
Note: To generate the report based on the vessel user template, the Template option should be selected.
On choosing the Vessel option, step 3 should be followed.

This page helps to reset the password of Vessel users (e.g., Master, Second Engineer, etc). A user with adequate
rights can reset the password.
Prerequisite:
The Vessels need to be registered from the MDM > Common > Vessels page beforehand.
Vessel Types need to be configured from MDM > Common > Vessel Register.
The Users must be assigned to a vessel from the Vessel tab of the Admin > Administration > Users page.

The company-wise, active users of an application can be viewed through this page. The page provides details
about the user’s role, login name, department, email ID, and position. The active users list can be exported as a
PDF OR EXCEL by selecting the appropriate option.

• Company: stores the various companies, the required company can be selected from here.

• Status: Active/ Inactive users can be selected as per their preference.

Certain vessels of an application will be assigned to office users. The purpose of this page is to generate a report
of such vessels. The report can be filtered based on an application, company, and users. The generated report
can be exported in PDF and Excel format by selecting the appropriate option.

the applications that are assigned to the user. Details about the assigned applications, vessels, and customised

4.6 LiveFleet/CWA
This section comprises the admin pages of PAL LiveFleet. Since the application is tailored for each owner, the
fundamental configurations of the module must be arranged through this section for the efficient workflow of

The Role must be assigned from the Admin > Administration > Applications page.
The users will be able to view and edit the details of a Company/Owner, only if the owner is enabled for the

4.7 Monitoring
Designations of the PAL users can be organised into groups. This page facilitates the creation of new group
designations. The organising procedure has two steps. Initially, the designation group can be defined and
secondly, the required designations can be mapped to the required designation groups.

This page provides the user activity report of the selected period. The report provides details about the login,
logout, and usage duration of an application. The report can be viewed as a graphical representation or in a
tabular form as preferred. In the tabular view, expanding a specific username will enable the user to view the
application pages accessed by a user.

5 FAQ
Q 1. Unlock a user account.
- If a user attempts to log in with the wrong username/password five consecutive times, the user will be locked.
The user must be unlocked manually via Admin > Administration > Users page.
To follow the unlocking procedure, click Unlock User.
-This might be because of the insufficient view rights of the user account to the page/application. Kindly verify
the user rights in Admin > Administration > Role Access Rights pages. Please approach the Global administrator
of the corresponding application to enable the required rights.
-This might be due to insufficient user rights for that page. Kindly verify the user rights in Admin > Administration
> Role Access Rights pages. Please approach the Global administrator of the corresponding application.
Q 4. The Data does not populate in the Role Access Rights page.
-After selecting an application, if the data is not being populated despite mapping the data correctly, please be
informed that the user account might not have the required level of access right (the user might require a higher-
level access right). Please verify the rights and levels for the selected application in the Roles tab of the
Application page.
To navigate to the procedure, click Add/Edit User Roles.
-A PAL user can register an owner on the Register Owner Page only if the specific owner is assigned to the user
via Admin > Administration > Users > Owner tab.
To navigate to the procedure, click Assign Owner to a user.
-In such instances, verify if the required pages/dashboard tiles are assigned to an Owner via Define Owner Menu
page.
To enable the pages/dashboard tiles, click Define Owner Menu.
Q 7. After assigning sufficient rights to the vessel user from the Vessel User Rights page, the user is unable to
execute any operations.
-This might be due to failure in the creation of a template user. Before assigning user rights to an actual vessel
user, a template user must be assigned with the required rights. Later, the rights must be copied from the
template user using the Copy rights from the template user functionality.
Once this process is completed, the vessel user will have sufficient rights and will be able to execute the required
operations. To navigate to the procedure, click Create a Vessel Template User.
Q 8. While assigning rights to a new vessel user in the application(s), the rights of an existing user were
removed.
-This might be caused due to the accidental removal of the existing user rights.
While copying rights to a new vessel user from a template vessel user (From the Admin > Menu Rights > Vessel
User Rights page), the existing rights might have been removed accidentally. Please approach the Global
administrator of the respective applications to re-assign the user rights. To avoid this accident, while assigning
new rights to a new user, ensure that the rights of the existing user are not modified.
To re-assign the rights, click on Assign Rights to a Vessel User.

-This might be due to the difference in the Role Levels. The users with lower-level roles are not permitted to
view/edit the user rights of the higher-level roles. This issue can be resolved by changing the role level via
Roles tab of Admin > Application page.
To follow the procedure, click Assign/Modify User Roles.
Note: The Role Level can only be modified by privileged users. Kindly approach the Global Administrators of
the concerned application.
Q 11. Change the details of a user (e.g., email ID, phone number, designation, company, department).
