Health information management unit (HIMU) is responsible for enhancing patient care through the use of data

contained in health records, whether digital or paper-based, collected individually or as a collective.


The general function of the HIMU is to provide an organized system of measuring the quality patient care and
ensure that sufficient data on the sequence of events is documented to justify the diagnosis, warrant treatment,
and outcomes.
The unit is tasked to process, analyze, maintain, and safekeep all health records created and maintained in the
health facility.
The department plays a vital role in generating health statistics for evidence-based medical care and
management practices.

HIMU staff are expected to perform the ff. functions involving administrative to technical work as outlined in
the ff.
1. Maintain all health records ff. the principles and practices of efficient and effective health record
management.
2. Review records for completeness and accuracy in coding of diseases, operations, and special therapies
according to approved nomenclature and classification.
3. Maintain and safeguard the confidentiality of health records.
4. Collate and compile data and generate statistical reports required by respective health facility
management.
5. Participate in approved research activities and study programs conducted by doctors and authorized
researchers by providing data/information from patients’ health records.

1. Tell me about yourself.


First of all, thank you for this great opportunity to be interviewed for this position. My
name is Junaisa Orab, I am a teacher by profession. Before I applied for this
position I read through the other job hiring posted on your facebook page and
studied the job descriptions of the job that most interests me until I came up with
applying to this position the Administrative aide VI for HIM unit as I thought that
the job descriptions best fits my qualications, trainings and educational
background.
The skills I can bring to the HIMU team includes good communication skills as I am
teacher by profession, I am trained and educated by the art of socializing,
establishing good relationship with different types of people, multitasking, problem
solving, organizing and discipline in doing my tasks.
My leadership experiences during my pre-service teaching journey is perfect for the role
coupled with my educational background, I believe I can have positive impact to
this institution.
During my student teacher days, I have experience handling multifaceted roles such as
being a teacher, a leader to my co-pre-service teachers, a student and an individual
with personal upbringings.
As a fresh graduate with flying colors and top of our class. I believe that my discipline,
accountability and strategy in accomplishing tasks led me to getting the title which
I can use to my team’s advantage in my future job in shaa allah.
I am a fresh grad, that’s why I bring my eagerness with me to apply to my dream
institution to work with, which is a hospital because originally my first choice of
profession was actually in medical field which is also the reason why General
Science is my specialization. I am easy to train and can easily catch up with the
tasks that might be assigned to me.
If you hire me, I will be the type of employee that will be productive and initiative to
contribute to every tasks assigned to my team most especially to the mission of this
institution.

2. Why do you want this job and what can you bring to the
role?
I have studied the job description of this role through the internet and including the set out
responsibilities for this role are scheduling, appointments, maintaining electronic files and
performing word processing duties, assisting in analyzing health information of the patients,
financial data and preparing reports.

Aside from my desire to work in a hospital. It has been my passion working with papers and
has been envisioning myself working in an office. So having this position will be a
paramount to my career as it will bring intersecting points for my credentials, fervor and
aspirations.
3. Describe a situation when you had to plan and organize multiple tasks.
In my teaching internship, we are assigned to a school that is totally different from the private
school I am used to. It is distant from the house I am staying, there were incredibly large
number of students and culturally diverse as well. one day,

I had a situation where the schedule of our culmination program was moved to 1 week earlier
and that is one week prior to the final date after we were informed about the changes. Aside
from that our supervisor will not be able to handle the program due to other conflicting
schedules. Prior to that, we have existing tight schedules because we need to finish all the paper
works and have it turn over to our respective cooperating teachers while working for our journal
as well.

First of all, I had to take over the preparation for our culmination program since I was the
interns president. My first action was I sort things out based on their urgency and importance.
Called a meeting with my co-interns during our vacant time. I consulted my colleagues about
our existing tasks and the changes to the schedules. Ask them of their proposed activities for our
culmination program and list them down.

I created an outline of the program and luckily everybody agreed to the initial flow of the
program, we then divided and assigned tasks to the most suitable persons that could handle
them well in a short span of time. During this preparations, another problem aroused because
some of the assigned people on specific tasks are not doing their part with the reason that they
have to finish their paper works and journals. I had to take another action because If they
cannot finish their task, it will jeopardize all other necessary things that needs to be done.

I then coordinated with my supervisor and ask if I can give corresponding scholastic points or
scores as incentives to those who participates and cooperates to the preparation of the program
and fortunately, he agreed and led every effort to the success of the program. We were even
praised by the department heads saying that our program is like a salad, combination of
culminating program, thanksgiving, and they feel like its teacher’s day. From the flow of
program, the guests who were invited, to the food, gratitude speech and gifts. We left our
cooperating school with a smile after all the unexpected problems we encountered along the
way.
4. Describe a time when you had to deal with a difficult co-worker or
colleague.
In my teaching experience, I have encountered situations where students face difficulties
in focusing, following instructions, and completing tasks effectively. One particular
instance involved a student who exhibited these challenges consistently. Recognizing the
importance of individualized support, I employed a tailored approach by implementing
structured routines, visual aids, and frequent check-ins to help the student stay on track.
Through consistent guidance and encouragement, I witnessed notable improvements in
the student’s ability to focus and engage in classroom activities.
5. What are your strengths?
My key strengths lie in several areas.

Firstly, I possess a strong sense of ownership and accountability, which drives me to onsistently
deliver high quality results and take responsibility for every task assigned to me.

Secondly, I excel in prioritization and organization, where I effectively manage tasks based on
their urgency and importance, ensuring that deadlines are met and goals are achieved efficiently.

Another strength of mine is my ability to build strong relationships and connect well with
people, allowing me to establish rapport and foster positive interactions with colleagues,
patients, and stakeholders.

In terms of hard skills, I am proficient in Microsoft office software, as I utilize these tools
extensively in managing my own business which offers printing services.

I am also proficient technical writing such as organizing schedules, business letters, statistical
reports. My ability to this field can be supported by my certificates on winning different
categories relating to writing. I also frequently create invitation for various programs in school
from the activities, content, layout flow of program, appropriate person for each part including
its production. I am a teacher by profession so I am also proficient in efficiently storing and
retrieving data using Excel and other relevant software as these are frequently used in managing
student records.
6. What are your weaknesses?

One area I’ve identified for improvement is my tendency to have difficulty saying no when
asked to take in additional tasks or responsibilities. While I value being helpful and
collaborative, I’ve realized that at times, it can lead to overcommitment and impact my ability
to prioritize effectively. To address this, I’ve been working on setting clearer boundaries and
learning to assess my capacity before committing to new tasks. I believe this self-awareness and
on going effort will help me strike a better balance between supporting my team and
maintaining a manageable workload .

Another weakness that I am trying to work on is my public speaking ability. While I am


confident in the content I present and my ability to engage the audience, I have noticed that the
strength and clarity of my voice can diminish over extended periods of speaking. This is
particularly noticeable when I speak for extended durations without breaks. To address this. I
have been working on techniques to improve my vocal stamina, such as practicing breathing
exercises and staying hydrated. I believe that by continually refining these skills, I can enhance
my effectiveness in this ability and make sure that I would be able to communicate effectively
to my colleagues, patients and superiors that I might have to deal with in this role.

7. What is the most difficult part of being an administrative aide?


I find that one of the most challenging aspects of the administrative aide role is managing tasks
that are dependent on the completion of other tasks. This dynamic can sometimes disrupt my
planned workflow and organizational structure. However, I am confident that through
persistence and effective communication, I can encourage my colleagues or other stakeholders
to prioritize and complete their assigned tasks promptly. By fostering a collaborative and
supporting environment, I believe we can enhance overall productivity and ensure that all
responsibilities are met in a timely manner.
8. What would you do if you didn’t get on with someone in the office?
If I found myself in a situation where I don’t get along with someone in the office, my approach
would be to address the issue directly and respectfully. I believe in an open communication and
resolving conflicts proactively. I would initiate a private conversation with the individual to
understand their perspective, express my concerns calmly, and work towards finding common
ground or a mutually acceptable solution.

However, as much as possible, I would aim to avoid any unnecessary conflict with my
coworkers to ensure that our time is not wasted in resolving personal issues.

I value maintaining a harmonious work environment where we can focus on our tasks and
collaborate effectively. However, if conflicts arise, I am committed to handling them
professionally, seeking support from supervisors or HR when needed, and prioritizing the
overall success of the team and the Health information management unit.

9. What are/is your core values that you uphold?


My core values revolve around the principle of respect, as I firmly believe that when there is
mutual respect, it fosters a positive and productive work environment where collaboration
thrives. Respect serves as the foundation of trust, effective communication, and teamwork,
leading to successful outcomes.

Furthermore, I prioritize personal and professional development as essential elements for my


effectiveness and efficiency as an employee. Continuous learning, skill enhancement, and
staying abreast of industry trends are integral part to my growth and contribution to the HIMU
unit.

Social responsibility is another key value that I hold in high regard. I believe in the importance
of maintaining harmonious interactions both within and outside the workplace especially with
this role as it demands teamwork and collaboration.
Lastly, accountability. This is a fundamental principle that guides my actions and decisions. I
take ownership of my responsibilities and strive to deliver results with integrity and excellence.

10. What is your short term and long term goal?


For my short term goals, my primary goal is to immerse myself in the healthcare information
management unit and gain a comprehensive understanding of its operations, processes, and
systems. I aim to become proficient in utilizing electronic health record systems, maintaining
accurate and confidential patient records, and supporting the administrative tasks crucial to the
unit’s efficiency.

While for my long term goals, looking ahead, I would like to contribute significantly to the
success and growth of the health information management unit. I aspire to take on more
responsibilities, such as assisting in data analysis and reporting, implementing quality
initiatives, and staying updated with industry regulations and best practices.

Furthermore, I am passionate about continuous learning and professional development. In the


long term, I plan to pursue certifications related to health information management, such as
Certified in Health Information Management or Registered health Information technician. These
certifications will not only enhance my skills and knowledge but also contribute to the unit’s
excellence in managing health information effectively and securely.
11. Where do you see yourself 10 years from now?
In 10 years, I see myself as an experienced professional in health information
management, focusing on administrative support in healthcare. I aim to improve
efficiency and accuracy in managing patient records and complying with rules.
I plan to learn more about electronic health records systems and data management. I also
want to earn units in nursing to better understand healthcare. This will help me work
closely with medical staff and understand patient care better.
I’ll keep learning and getting certifications to stay updated with healthcare trends. I want
to be a trusted support for healthcare workers and patients, making a positive impact on
healthcare services.

12. Do you have any questions?


I do have a question that would help me better understand the administrative aide role in the
HIMU.
My question is what specific electronic health record system or software does the unit use?
Are there any additional training or certifications related to these systems there are required or
recommended for the role?
