Situation analysis
The XYZ tech is fast growing technology company that faces
challenges in team dynamics and performance that are impacting
project outcomes and employee satisfaction. The company’s
expertise in software development and IT services is a competitive
advantage in the technological industry. The company has cross
functional team which demonstrates its adaptability and willingness
to collaborate across departments.
As company is expanded due to recent expansion, the company is
facing some challenges in team dynamics which can lead to
miscommunication, conflicts and reduced productivity. It can
adversely affect the project outcomes also. Moreover there is the
problem in the employee satisfaction.

EVALUATION OF THE CURRENT TEAM DYNAMICS:


The current cross function team is facing problems as followed
1 silos and communication barriers: cross functional team may
struggle with siloed thinking which can limit information sharing and
collaborations across teams.
2 lack of trust : team members may not fully trust each other’s
abilities or intentions, leading to reluctance to delegate tasks, share
information, or collaborate effectively
3 conflict avoidance: in an effort maintain harmony, team members
might avoid addressing conflicts or issues , allowing them to fester
and potentially escalates.
4 stress and burnout : Constantly changing projects demands and
tight deadlines can lead to stress and burnout among team
members , affecting overall team morale and performance .
5 Leadership challenges : Team members from different departments
may lack the necessary skills to lead cross functional teams
effectively. They may struggle with balancing the diverse needs and
opinions of the team members.

ROOT CAUSE OF THE PROBLEM:


1)LEADERSHIP SKILLS GAP : Inadequate leadership and training
within the organisation may be the primary root cause of the team
dynamic and performance challenges at XYZ Tech solutions. Team
leaders and managers play a pivotal role in shaping team dynamic
and performance. If they lack the necessary leadership skilss such as
effective communication, conflict resolution , and the ability to
motivate and guide teams, it can lead to dysfunctionwithin cross
functional teams.
2) TRAINING DEFICIENCIES : Without proper leadership training and
development programs, leaders may not be equipped to handle the
unique challenges of cross-functional teams
3) Motivation and Morale: Effective leaders inspire and motivate
their teams, fostering a sense of purpose and commitment. When
leaders are unable to do so, team members may experience lower
morale and reduced engagement, affecting performance.
4) Conflict Mismanagement: Leaders who lack conflict resolution
skills may allow conflicts to escalate or go unresolved. This can create
tension within teams, hinder collaboration, and negatively impact
overall performance.
5) Failure to Align Teams: Leaders are responsible for ensuring that
cross-functional teams are aligned with the organization's goals and
priorities. Without the proper training and leadership, teams may
drift away from these objectives, resulting in suboptimal outcomes.
Comprehensive plan:
To enhance team dynamics and performances at XYZ tech solutions,
it is mandatory to address specific issues and to work on them
1) Leadership management: The root issue is the inadequate
leadership and training.
Actions to be taken to improve them:
 Implement a leadership development program specifically
designed for team leaders and managers.
 Partner with external leadership development experts or
organizations if necessary.
 Provide ongoing coaching and mentoring for leaders to
enhance their skills in communication, conflict resolution, and
team building.
 Establish a leadership feedback system, allowing team
members to provide input on their leaders' performance.

2) Clear roles and responsibilities: Team members are uncertain


about their roles and responsibilities.

Action:

 Conduct a thorough review of project roles and responsibilities


within cross-functional teams.
 Document clear job descriptions for each team member,
specifying their roles, tasks, and expectations.
 Communicate these job descriptions to the teams and ensure
everyone understands their individual contributions to the
projects.

3) Employee well being: Burnout and stress may be affecting team


members
Action:

 Promote a healthy work-life balance and encourage team


members to take breaks and vacations.
 Offer wellness programs and resources to support mental and
physical health.
 Monitor and address signs of burnout promptly, providing
necessary support and adjustments.

4 ) Continuous improvement:

Action:

regularly assess their dynamics and processes.
 Encourage teams to propose and implement changes to
enhance their performance.
 Review the plan's effectiveness regularly and make adjustments
based on feedback and outcomes.

5) Celebrations of achievement:

Action:

 Celebrate project milestones and successes to boost team


morale and motivation.
 Recognize outstanding team performance through incentives,
bonuses, or public acknowledgment.
 Implement a system for peer recognition to foster a culture of
appreciation.
