POLICIES (IN RESOLUTION FOR ADAPTATION IN GENERAL ASSEMBLY)

1. THE QUALIFICATIONS OF CANDIDATES AND MEMBERS. The

qualifications requisite for candidates and members shall adhere to both legal

stipulations and the by-laws. Prospective nominees must hold a status of good

standing within the organization. The entitlement to vote is exclusive to members

in good standing as determined by the board;

2. NOMINATIONS. The commencement of nominations shall be formally announced

no less than two months preceding the scheduled date of the annual general

assembly, with closure of nominations occurring twenty days prior to the assembly

date;

3. POSTING OF LIST OF CANDIDATES. The Official List of Candidates shall be

diligently posted on the intranet platform, ensuring visibility no less than fifteen

(15) days before any special assembly where a special election is scheduled to be

conducted;

4. CANDIDATES RESUME, PICTURE, AND INTENT. Each candidate is required

to provide a one-page document (A4 or 8 1/2"x11" size) with picture (2 in. x 2 in.)

for inclusion in the candidate postings. The contents should contain the candidate’s

resume and an optional brief statement outlining their intended actions if elected;

5. REGISTRATION OF VOTERS AND DISTRIBUTION OF BALLOTS. The

registration process will adhere to the standards set by the Election Committee.

Upon registration, each participant will receive an official ballot form. Each official

ballot shall be in a shape of a strip with detachable stub bearing’s the voter’s control

number, authenticated at the back by Election Committee members. The vacant

positions will be clearly printed on the ballot;


6. CASTING OF VOTES. As there are no nominations from the floor and the list of

candidates with pictures and resumes, has been distributed two weeks prior to AGA,

the Election Committee shall be authorized to permit voting immediately after

registration. However, vote counting will commence only upon declaration of a

quorum. One member may cast and drop only his ballot and not the ballot of others

in the ballot box;

Note: Proxy voting is not allowed.

7. CLOSE OF VOTING AND CANVASSING OF VOTES. Voting will conclude once

the reports from the board, officers, and committees have been addressed by the

assembly. The actual time of closing will be announced at least thirty minutes in

advance. Canvassing will be conducted openly, allowing interested members to

observe the proceedings;

8. UNCONTESTED POSITIONS. Candidates running for uncontested positions may

be declared winners if the Election Committee has canvassed at least 51 votes per

candidate for record keeping purposes;

Note: 51 connotes votes subject for non-protest.

9. PROTEST. Only the official candidate shall file a protest. Protests must be filed

within one day of the canvass with the Secretary of the cooperative and Election

Committee. If given due course, the Election Committee must decide the protest

within seven (7) from receipt unless the position being contested involves the

Election Committee, in which case the board will make the decision. If the Election

Committee decides the protest, the aggrieved party has seven (7) from receipt of the

copy of the decision to appeal to the Board. The board's decision shall be final and
executory. No motion for reconsideration will be permitted. The election results that

are not contested must be presented to the presiding authority;

10. SUBMISSION OF ELECTION RESULTS. The Election Committee shall submit

the results of the election to the presiding officer on the same day as the election.

The presiding officer will then ask whether any members have any objections to the

results; and

11. PROCLAMATION OF THE WINNERS. The Election Committee will declare the

winners on the day of the election 30 minutes after the votes have been validated if

there are no objections to the results.

Note: Any protest after the final announcement on the day of election shall

considered void.
