2. System Guidelines
• Screens are designed and best viewed in the resolution 1280 x 960.
• The officially supported browser is Google Chrome 50.0 and higher versions.
• The browser session will be timed-out if the application is kept idle for 2 hours.
Experience Any experience related data can be seen under this icon
Travel Documents All travel documents required for the logged-in applicant come under this icon
Licenses License details in the order of date of issue will be available under this icon
This icon displays additional course details in the order of year they had been

3. System Descriptions
3.1 Applicant Portal
Besides being an essential part of preparing and submitting a new applicant profile, this page also works as a medium to
add and modify the data appearing on the screen. This portal serves as a platform to add profile details, experience, travel
documents, license details and additional course details of the applicant before submitting the application. The submitted
application will be reflected in the New Applicant PAL.

Note: A verification mail will be sent to the given email address once the Register button is clicked. Verification should
be confirmed from the email ID.
Note: Forgot your password option can be used in case if the password needs to be changed.
Resend Confirmation can be used in case if the verification email is not received.

3.3 Experience
The experience details of the applicant can be updated using the Add experiences button on the right panel of the portal.
Multiple experiences can be added in the order of the period of working.

Note: On clicking Add experiences, a panel to enter the experience details will be displayed.
2) Enter:
a) IMO number
b) Employer
Note: When the IMO number is entered in the Vessel Name, the system will list the vessel if it is already available in
the database. If no vessel can be found with the IMO number entered, then the applicant need to use the New
Vessel button and enter the details of the vessel.
3) Select:
a) Rank
b) From Date
c) To Date
4) Click Save
Note: Once the experience is added, it will be listed under the Experience frame. The Add Experience button placed in
the Experience frame or Experience panel can be used for adding multiple experience details, whereas for the first
time the applicant should use the Add experiences button from the panel as the frame will not be available.

Note: On clicking Add travel documents, a frame with the following screen will be displayed.

3) Select:
a) Document Name
b) Issued Country
c) Issue Date
d) Expiry Date
4) Select whether the document is national or not
Note: The selection is No by default but can be changed manually according to the document selection.
5) Click Save
Note: Clicking on Show Attachments will display any attached file till the date.
The Edit button will enable the user to edit the details entered and also to add or update the attachments if any.
Note: All the travel documents will be listed under the Travel Documents panel. Passport details and Seaman Book
Number provided at the time of registration will be automatically listed in Travel Documents. The documents
can be added either added using the Add travel documents button at the right panel or Add Travel Document
button on the Travel Documents pane.

Note: On clicking Add licenses, a panel to enter the license details will be displayed.

Details frame or Licenses panel can be used for adding multiple licenses details, whereas for the first time the
applicant should use the Add licenses button from the right panel, as the frame will not be available initially.

Note: On clicking Add License, a panel to enter the license details will be displayed.

Note: Clicking on Show Attachments will display any attached file till the date.
The Edit button will enable the user to edit the details entered and also to add or update the attachments if any.
Note: The additional courses added by the applicant will be listed under the Additional Courses panel. Multiple course
details can be added either using the Add additional courses button in the Additional Courses frame at the right
or from the Additional Courses panel.
Caution:
Once the application is submitted by the applicant, it cannot be edited unless it is rejected by the office user.
Note: Submit button will be enabled once the necessary sessions in the profile are completed. The profile completion
percentage and application status are highlighted on the top right side of the portal.
On clicking the Submit button, the profile created in the portal will be submitted to New Applicant PAL >
Received Applicant Profile. Users who hold the rights can Accept/Reject/Hold the profile.
The status update mail will be received to the applicant’s inbox if the application is rejected by the office user
in the New Applicant module.
The Notification icon will show the list of available notifications regarding the application status after
submission.
