CHAPTER I

INTRODUCTION

Rationale of the study

OFW Bigasan Project Sales and Recording System is a system created that

helps the owner keep track of the inventory, records and sales of the store to help

the business operate smoothly and efficiently. The system can provide accurate

reports to assure the owner that their business is safe and is smoothly moving

forward. The system can provide monthly income, update item information, and

generate printed receipts for the customers and record unpaid purchase.

This system is intended for the OFW Bigasan Pangkabuhayan Project

organization which is led by Mr. Teddy Masamlok together with the treasure Mrs.

Rosie Laraño, OFW Bigasan Pangkabuhayan Project organization is currently

recording all their transactions manually from adding transactions, recording

sales report and updating item information. The manual recording that the

organization uses is done through paper that can be costly. The manual

recording can be time consuming for the treasurer of the organization. The OFW

Bigasan

Pangkabuhayan Project organization started their business in October 2020,

Founded by Mayor Eliordo Ogena. The said business is intended for the OFW’s

of Brgy. Saravia, Koronadal City, to be able to provide an income for their families

even after they have come home from working in another countries. The said

business is located at Purok Ilang-Ilang, Barangay Saravia, Koronadal City,

South Cotabato, 9506. These are the following current process that the OFW

Bigasan Project is experiencing: (1) The treasurer is manually recording the

purchases of the customer. (2) The treasurer manually sorts the items being

purchased on the logbook. (3) The treasurer just put on their inventory and

manually record its quantity on their logbook.

These are the following problems that the OFW Bigasan Project is

currently experiencing: (1) Recording manually of sales causes more time to

consume because the treasurer would need to record the information one by one;

(2) Complications in recording of sales report can lead to miscalculation because

of human error; (3) Recording of unpaid purchase leads to difficulties in tracking

of Sales Reports; (4) Not being able to produce printed receipt because there is

no automated system; (5) Difficulties in monitoring products quantity because the

treasurer would need to count the item one by one; and (6) Difficulties in

searching available products.

The purpose of OFW Bigasan Project Sales and Recording System is to make

sure that the treasurer can manage work efficiently. With this system the

treasurer can save time in recording sales reports, lessen the workload of the

treasurer and to improve the quality of service being provided to the customers

because of its efficient and effective point of sales. With this system, the

customers can feel at ease because of the accurate calculation of their

purchases. The system will provide a user-friendly interface to make the system

accessible to all of the organization’s personnel. The system needs to be

implemented to lessen the workload of the personnel, to monitor the recording of

the sales report, and to prevent some paper cost and miscalculation. The system

will be able to provide assurance to the owner because of its secured ways to do

tasks, and to process the purchases quicker so that the customer can save their

time.

OFW Bigasan Project Sales and Recording System will help the personnel have

lesser workload. It will provide fast and reliable service in keeping the information

and records of sales. Using this system will give much greater accuracy in

calculating transactions. It will give confidence to the user because it is accurate,

secure, and efficient, where results are easily provided. This system also helps to

ensure that every transaction are all calculated fair and square.

Objectives of the study

General Objectives

The researchers aim to study and develop a system for OFW Bigasan Project

Sales and Recording System.

Specific Objectives

• To develop a system that will accurately calculate the sold reports.

• To develop a system that can save and easily monitor the monthly income.

• To develop a system that can generate printed receipts.

• To develop a system that can input the product quantity.

• To develop a system that can search the available items.

SCOPE AND LIMITATIONS OF THE STUDY

Scope of the Study

The scope of the system is focused and will only concentrate on the OFW

Bigasan Project Sales and Recording System, function on OFW Bigasan Project.

The OFW Bigasan Project Sales and Recording System features includes:

Generate accurate sold reports.

- The system can generate sold report to monitor the performance of the

OFW Bigasan Project and to ensure the compliance and regulations.

- Providing printed receipts keep accurate records and resolve disputes

more efficiently, comply with legal requirements, and appear more

professional.

Generate monthly income.

- The system can generate monthly income for financial stability,

budgeting and planning for OFW Bigasan Project.

Monitor the product inventory.

- Monitoring the product inventory to avoid the stock outs, reducing

waste and tracking profitability, by maintaining the accurate inventory

the OFW Bigasan Project can optimize their operations and achieve

greater success.

Search the available products.

- Can search available products provides convenience, accessibility,

information for OFW Bigasan Project.

Limitation of the Study

The proposed system is designed only for desktop devices. The system cannot

be used on mobile devices. The study will be conducted within the OFW Bigasan,

and the results and recommendations will be specific to the business's needs and

resources.

SIGNIFICANCE OF THE STUDY

This study aims to provide a system that will help the users to work

efficiently, and to decrease the time consumed in processing the results of

transactions. This study will hope to benefit the following:

Admin

This system will help the admin to keep track of the products that are sold every

day.

Cashier

This system will help the cashier to easily add transactions and record products

that are sold.

Researchers

Researchers can use their expertise and knowledge to their work. The

researchers can use this as an opportunity to put what they have learnt in their

studies of information technology into practice.

familiarizing information that are relevant and similar to the present study.

FOREIGN LITERATURE

A conceptual study of P.O.S. (Point of Sale)

Point of sale (POS) software offers business owners a convenient solution

for customer management and sales recording. It enables efficient tracking of

shop inventory, updating it in real-time during order processing, and facilitates

tasks such as receipt generation and customer tracking. With user-friendly

interfaces that support keyboard, mouse, and touch screen input, POS software

streamlines checkout processes. Its ease of installation and simplicity contribute

to its popularity, while automating routine tasks simplifies the work of cashiers.

This abstract highlights the benefits and features of POS software based on the

findings of Waghmare and Chavan (2020).

In conclusion, point of sale (POS) software is a valuable tool for

businesses, providing efficient customer management and sales recording

capabilities. It ensures accurate inventory tracking, streamlines checkout

An Analysis of Point of Sales (POS) Information Systems

This analysis focuses on the role of Point of Sales (POS) information

systems in the retail sector, particularly for Small and Medium Enterprises

(SMEs) in Indonesia. While SMEs play a vital role in supporting the economy,

many still rely on conventional methods for transaction and financial

management. The POS information system serves as an alternative for SMEs,

minimizing the risk of human error and providing a measure of total profit.

However, the functional level and effectiveness of the POS information system, in

terms of performance, information, economy, control, efficiency, and service, are

not well-known. This analysis aims to assess the suitability of the POS

information system for the needs of SMEs in the retail sector.

Point of Sales (POS) information systems for Small and Medium Enterprises

JIREH TRADING SALES AND INVENTORY MANAGEMENT SYSTEM

The increasing prevalence of computerized and automated systems has

led to a decline in manual processes in businesses worldwide. Computer-based

business systems offer improved productivity and data processing efficiency.

However, some businesses still rely on manual sales and inventory systems,

which can lead to inaccuracies and loss of profit. Jireh Trading, a company

specializing in hardware, lumber, and construction products, currently utilizes a

manual system for sales and inventory management. Recognizing the limitations

of their manual approach, Jireh Trading seeks a more systematic and accurate

method to handle sales and inventory. To address this, the proponents propose a

inaccuracies, loss of profit, and approximate recording. By implementing a

computer-based sales and inventory management system, Jireh Trading can

enhance accuracy, monitor and control their income and losses, track stocks and

upcoming items, and efficiently manage deliveries and sales. This transition will

enable Jireh Trading to streamline their operations, improve data accuracy, and

ultimately optimize their business processes for increased efficiency and

profitability. Further research and development in computer-based systems will

continue to drive advancements in sales and inventory management, benefiting

businesses across various industries.

PHARMACY’S POS SYSTEM

The implementation of a Point of Sale (POS) system in a pharmacy store

has revolutionized the way transactions are conducted and recorded. Technology

has permeated various aspects of our daily lives, and the pharmacy industry is no

exception. This system allows pharmacy stores to efficiently manage their day-

today sales transactions and maintain accurate records for future use. The

system consists of two modules: the admin module and the cashier module. The

admin module is responsible for overseeing all system functionalities, including

stock management, expiry date tracking, and supplier information. The cashier

module, on the other hand, focuses on product sales and customer transactions.

The cashier can access the available products, modify quantities, and generate

printable receipts at the end of each transaction. This automated POS system

enhances operational efficiency, improves inventory management, and provides

a seamless experience for both the pharmacy staff and customers.

The study conducted by Anitha and Niveditha (2022) highlights the

significance of implementing a Point of Sale (POS) system in pharmacy stores.

The RV Empire Incorporated currently relies on a manual sales and inventory

system, which poses challenges in computing, monitoring, and securing their

transactions. The system lacks accuracy, consumes significant time, and has

poor security measures, allowing unauthorized modifications to records. To

address these issues, the implementation of a computerized sales and inventory

system is proposed. This system aims to alleviate the burden on staff by

automating sales transactions, improving accuracy, and reducing time

consumption. Additionally, the system includes a module for monitoring products,

Point Of Sale System With Inventory For Arm’s Food and Delicacies

A Point-of-Sale (POS) system with inventory management is a valuable business

solution for Arm’s Food and Delicacies. This computer-based system efficiently

tracks sales activity and inventory simultaneously, providing benefits to

manufacturers and retailers alike. By updating single transaction records,

customer details, purchased products, prices, and dates, the POS system

CHAPTER III RESEARCH METHODOLOGY

This chapter determines different procedures of data gathering and the research

methods prepared by the researchers in order to establish the fundamentals in

the development of the OFW Bigasan Pangkabuhayan project sales and

recording system.

Environment

Setting of the study

The study took place at OFW Bigasan Pangkabuhayan project, specifically, to

their main desk of transaction. OFW Bigasan project is located at Purok

IlangIlang, Barangay Saravia, Koronadal City, South Cotabato, 9506.

Agile Software Development Methodology was chosen as the initial

methodology for the development of the OFW Bigasan Project Sales and

Recording System as its stages fits the requirement on its development.

Sprint 1. (Provide an accurate calculation of sales reports)

In providing an accurate calculation of sales reports, the system can

automatically record all the transactions in the categorized features.

After planning and designing, the researchers created the system using JAVA in

Netbeans IDE. The database software that was used in order for the system to

be connected with the database is MySQL. To develop the system further without

losing its path, the researchers continued to follow the prototype they have

created.

The researchers performed tests to assure the accuracy when creating

accurate calculation of sales reports. Testing the feature is one way to ensure

that the report created won’t be mistaken. The purpose of this testing is to ensure

its functionality and accuracy as stated in the previous chapter.

Sprint 2. (Save and easily monitor the monthly income)

In saving and easily monitor monthly income, after the transaction it will be

saved in sales report where the admin can select month, view reports of the

specific month, and generate a printed copy of the report while the cashier can

select month and view reports of that specific month.

show the customer the proof of purchase.

losing its path, the researchers continued to follow the prototype they have

In searching available items, the cashier can easily utilize the manage items

using search feature to quickly find and access the items in stock.
