WHAT IS COMMUNICATION ?
➢ Communication is the act of giving, receiving, and sharing information. In other words,
talking or writing, and listening or reading. Good communicators listen carefully, speak or
write clearly, and respect different opinions.
➢ Communication applies to the exchange of ideas and thoughts within two or more
individuals. It can be done through writing, speech, gestures, symbols, or written
communication.
➢ Business communication is the process of sharing information between people within
the workplace and outside a company. Effective business communication is how employees
and management interact to reach organizational goals. Its purpose is to improve
organizational practices and reduce errors.
ELEMENTS OF COMMUNICATION
The communication process involves understanding, sharing, and meaning, and it
consists of eight essential elements:
➢ Source
➢ Message
➢ Channel
➢ Receiver
➢ Feedback
➢ Environment
➢ Context
➢ Interference.
COMMUNICATION MODEL
➢ A communication model is a pictorial representation of the communication process, ideas,
thoughts, or concepts through diagrams, etc. They can be considered to be systematic
representations of the process that help us understand how communication can be carried out.
➢ Aristotle Model of Communication :-
The Aristotle model of communication is the widely accepted and the most common model of
communication where the sender sends the information or a message to the receivers to influence
them and make them respond and act accordingly.
➢ The Aristotle Model of Communication diagram can roughly be divided into five elements:-
• Speaker
• Speech
• Occasion
• Audience
• Effect
TYPES OF COMMUNICATION
➢ Formal Communication:- Formal communication refers to the flow of official information through
proper, predefined channels and routes. The flow of information is controlled and needs deliberate
effort to be properly communicated. Formal communication follows a hierarchical structure and chain
of command.
➢ Informal Communication:- Informal communication is casual communication between co-workers in
the workplace. It is unofficial in nature and is based in the informal, social relationships that are
formed in a workplace outside of the normal hierarchy of business structure.
➢ Written Communication:- Written communication is any written message that two or more people
exchange. Written communication is typically more formal but less efficient than oral communication.
Examples of written communication include: Emails. Text messages.
➢ Email Communication:- Email (or e-mail) communication can be defined as the exchange of short
informational messages between at least two people over a computer network. These messages
containing plain text, images or document attachments are delivered through email web-based
services like Gmail, Outlook, or Yahoo.
➢ Telephonic Communication:- Telephonic communication means the transfer of the human voice, real
or synthesized, in whole or in any part by any means through facilities used for the transmission of
communications.
BARRIERS TO EFFECTIVE COMMUNICATION
➢ Dissatisfaction or Disinterest With One's Job.
➢ Inability to Listen to Others.
➢ Lack of Transparency & Trust.
➢ Different communication Styles.
➢ Conflicts in the Workplace.
➢ Cultural Differences & Language
WHAT IS EFFECTIVE FUNCTIONING OF BUSINESS
➢ Effective business communication is how employees and management interact with
each other to reach organizational goals and be more aligned with the core
company values. Its main purpose is to improve organizational practices, eliminate
silos, keep employees informed and reduce errors.
➢ When communicating with employees, leaders should keep communication
professional and clear. An example of this type of communication may include a
memo regarding a new company operations procedure such as safety requirements
and new regulations.
➢4 in 5 employees believe that effective internal business communications help their
job performance. With the information overload, employees often spend too much
information searching for content that they need to do their job. Moreover, an
average employee spends 2.5 hours searching for information needed. Monthly, this
results in the entire week lost to find something that should be at employees
fingertips.
CONCLUSION
Effective communication at the work place is meant to decrease employee turnover and also
decrease their absenteeism. If effective communication is provided to customers, more
customers will be less dissatisfied due to effective customer care services.
There will also be lower product defeat rates such that the employees will be more focused on
the business objectives. Effective communication in a business environment also prevents the
stifling of business innovation. When employees are kept informed on matters concerning their
jobs, they will feel that they are being listened to by their managers.
The effectiveness of interpersonal skills of supervisors is meant to cause an imparting
breakdown in communication of the organization. This is because departments cannot be
isolated from each other as long as they belong to the same organization. Therefore, the
organization’s communication assessment survey park can be used to judge the level of
effectiveness of communication between the workers and the managerial team.
