ID Card Replacement (Appointment) System for AASTU

Executive Summary:

The proposed project intends to make it easier for students at the Addis Ababa
Science and Technology University (AASTU) to replace lost or damaged ID
cards. Through the use of an ID Card Replacement (Appointment) System,
AASTU may increase productivity, optimize workflow, and elevate the quality
of education for all students. Students will be able to request ID card
replacements, submit documents more easily, and make appointments for
collection using this system's user-friendly interface. It will also provide
interfaces for the ID replacement department and the finance department to
effectively handle requests. To ensure dependability, speed, and scalability, the
project will make use of MySQL for the database, Undertow for the server, and
JavaFX for the user interface.

Introduction:

For both students and administrative personnel, AASTU's present ID card


replacement procedure is frequently laborious and time-consuming in case of
lost or damaged cards. Long wait times, complicated paperwork requirements,
and a lack of process openness are some of the difficulties that students
encounter. To better serve the student body, it is necessary to modernize and
simplify the ID card replacement procedure. In order to solve these issues, the
suggested ID Card Replacement (Appointment) System offers a transparent,
effective, and user-friendly alternative.

Objectives:

 Simplify the process of replacing lost or damaged ID cards for AASTU


students.
 Streamline administrative procedures associated with issuing replacement
ID cards.
 Enhance efficiency and transparency in the ID card replacement process.
 Improve the overall student experience by providing a user-friendly
interface for requesting ID card replacements.
Scope:

The project will entail creating, designing, and implementing an appointment-


based ID card replacement system especially for AASTU students. Student,
finance, and ID replacement department user interfaces will all be part of the
system. It will make database management, appointment scheduling, request
approval, and document submission easier. The actual printing of ID cards or
interaction with systems outside of the infrastructure of the institution are not
included in the scope.

Methodology/Approach:

The ID Card Replacement (Appointment) System will be designed, developed,


tested, and implemented iteratively through the use of an agile development
process. Collecting requirements, designing the system, implementing it,
testing it, and deploying it will be important tasks. MySQL will be used for the
database, Undertow for the server, and JavaFX for the user interface for
developing the system. Alignment with user requirements and needs will be
ensured through regular feedback meetings with stakeholders.
