DOMESTIC TOUR& TRAVEL POLICY

Objective: -Ecologies India Pvt.ltd. has standardized policy on domestic travels on account of
bus in ess/produ ct a pplication /pro cess/ project needs. This shall enable employees to cond uct
bu siness a nd se rvices in an efficient and effective manner, to ensure, the expenses are cost
effective and shall also eco nomical in optimizing the productivity.

Scope: - This policy covers expenses and entitlements of employees who travel on company's
business/official and/or deputed to attend Projects Sites within India. This policy shall highlight
on the entitlem ents during domestic travel. Viz.:

ABSENCE FROM DUTY


,- When an employee takes off from duty without prior leave approval or proper intimation
under certain unavoidabl e circumstances, then those day /da ys will be treated as absence
from duty.

,- Th e employee has to report to his/ her department
head on rejoining duty from absence
and provide valid reasons for absence in writing before taking up work again.
Approved leave application sho uld reach the HR department within 3 working days of

rejoining.
If an employee is absent from duty continuou sly for more than 7 days (including any
National / Festival / Declared / weekly off clays which may fall in-betwee n), an offi cia\
correspond e nce from the HR department will be sent to him asking to report to duty and to
provide explanation for his absence .

How do we apply for leave?

,. Leave application must be approved by the immediate supervisor and then given to the HR
Department.
,, Prior approval is essential. If, however, due to unavoidable circumstances like sudden ill
health, prior approval has not been obtained, it will be essential for the associate to inform
his senior & HR Department of his inability to attend office within the first half of the day of
absence. ln cases of prolonged illness, employees are expected to keep their supervisors
informed at regular intervals of their condition and their reassigned. In absence of doing so,
disciplinary action can be taken by the HRD. The discretion of the action to be taken lies
with Head - Human Resources.
