Visual Dispatch

The Visual Dispatch board is used to dispatch orders to drivers and monitor the driver's pickup and delivery
activity. The Dispatch refresh interval setting in the Dispatch tab of Global Options.
Layouts
Visual Dispatch Board allows you to choose from several different layouts and select which container the map,
shipment, and driver data display in.

You can change the layout from the menu in the top right of each container.
Menu
You can access the menu from the icons, map bar, and/or three vertical dots icon.
Option Description
:change_layout:
Select a layout and layout options.
Change Layout
:clear_map: Clear Map Clear all the pins on the map.
:edit_layout: Edit
Edit the layout options on which container the map, shipments, and drivers are in.
Layout
:fleet_filter: Fleet Filter Select which order and/or driver fleets are visible.

Available in the Driver and Shipments section only.


Keyboard Shortcuts Displays keyboard shortcuts that can be used in each section.

Manually refresh the Visual Dispatch board.


:refresh: Refresh Quick Tip: The automatic refresh interval is based on the Dispatch refresh
Interval set in the Global Options Dispatch tab in the Classic Operations App.
:settings: Show/Hide Available in the Shipments and Drivers containers only.
Columns Select which columns are visible in the section.
Available in the Map menu bar and Shipments section only.
The default time zone setting is the “Account Time”. You can change this setting for
your user only.
Quick Tips:
Time Zone  Account Time is based on the primary address associated with your account
as set in Global Options.
 Address Time will display time based on the addresses listed in the shipment.
Pin/Unpin Menu Options
You can pin icons to the left of the action menu in each section.
How to Pin Menu Options
:pin: Menu options can also be pinned to the left of the 3 dot action menu by clicking the left-facing pin icon to
the right of the menu option.
How to Unpin Menu Options
:unpin: Menu options can also be unpinned from the left of the 3 dot action menu by clicking the pin icon to the
right of the menu option.

Search
Use the search magnifying glass icon, in the Shipments or Drivers container, to search for shipments or drivers.
You can save often used filters by selecting the filter type and entering your criteria in the Quick Filter field
then clicking the + and entering a Name.
Map
The map can display shipment and driver information.

Shipment Pins
The shipment pins allow you to see the shipment location and the tracking ID.
Pin colors
 Green - Pickup
 Red - Delivery
Click on or hover over a pin to display detailed information about a shipment or a group of shipments.

Driver Pins
The driver pins allow you to see where drivers are with the driver ID and a vehicle icon. When hovering over
the driver pin, the driver ID and name will be displayed, or click the driver pin to keep the information
displayed.

How to Map Shipments and/or Drivers


Only 100 shipments and/or drivers can be mapped at a time.
Check the pin icon in the first column of the row for the shipment(s) and/or driver(s) you want to map or click
the map icon in the header row to map all orders. If all shipments or drivers are mapped you can click the clear
all pin to clear the shipment or driver pins.
Shipment Info
When a shipment is selected, clicking the down arrows at the top of the map will display the shipment
information. Click the up arrows to hide the shipment information.

Map Menu
In addition to the general menu options listed above, the Map section has a few options specific to the section.
Option Description
Full Map Click to display the Full Map Mode layout.
Horizontal Grid Mode Click to display the Horizontal Grid Mode layout.
:dark/light_mode: Toggle Dark/Light Mode Toggle between dark and light mode.

Map Bar
The map bar is located at the bottom of the map. It shows metrics for some commonly used data and pin
orders/drivers to the map.

Shipments
The Shipments section allows you to view information about shipments at a glance. You can use the search
magnifying glass to use filters to display specific shipments.

Quick Tip: You can select up to 5 columns to sort by from the Show/Hide Columns menu option.
Shipments Menu
In addition to the general menu options listed above, the Shipments section has a few options specific to the
section.

Selected option on which shipment location pin(s) to display.

Orders  Origin
When selected, orders with matching values, based on the 5 sorted columns, will be grouped
Merged Group together.
Filter Orders
You can quickly filter orders based on the following:
 Current/Future - Select to display “Current” or “Future” orders. Future orders are configured to display
based on the Dispatch show time on the order type of the order.
 Assignment - Select to display “Assigned”, “Unassigned”, or “Both” assigned and unassigned orders.

Shipment Right-Click Menu


To view the shipment menu, right-click on the shipment.
Manually updating an order will refresh the dispatch board. When an order is manually marked as completed it
will no longer be displayed.
Menu Option Description
The Tracking Status displays the status information of a shipment which includes
information such as timestamps for specific tasks, POD, signature, invoice numbers.

Assign to Driver Assign an order to a driver.


Get directions from the Origin Address to the Destination Address on the order from

Re-send Resends shipment information to delivery personnel via Q Codes. Feature only available for
Message orders already sent via Q Codes.
Send Cancel Send a cancel message to the driver that displays in their app notifications or Q Codes, but
Message does not actually cancel the shipment.
Remove the driver from the shipment. You will have the option to send the driver a
Remove Driver
notification that the shipment has been canceled.
Add to or create a new group of orders on the dispatch board.
If the order is already associated with a batch this will override the original Batch ID.
Add to Batch
Example:
You can batch together orders to "hold" them for a driver until he/she logs in.
Run Custom Allows access to specific custom programs that may be available. This will be grayed out if
Procedures you do not have any custom procedures.
Update one of the following statuses with a timestamp
 Confirmed
Update Status
 Picked Up
 Delivered

Pin Selected Display map pins of shipments that have been selected with a checked checkbox.

Drivers
The Drivers section allows you to view information about drivers at a glance. See Visual Dispatch Driver Field
Descriptions for more information on the field descriptions.

Quick Tip: Columns can be sorted by clicking on the column name.


Drivers Menu
In addition to the general menu options listed above, the Drivers section has a few options specific to the
section.
Option Description

Activate/Deactivate Select drivers to bulk activate/deactivate.


Drivers
Selected option on which driver location pin(s) to display.
 Driver Reports: Displays location information based on actions taken at stops
(work being completed). It will only ever show breadcrumbs at the expected
stops a driver has and is a good alternative if no GPS information is available
from the driver’s device.
Current Location  GPS: Displays the GPS details from the driver’s device. This is the more
common and most accurate option.
 GPS & Driver Reports: Displays GPS information when available, or location
information based on action being taken at stops (work being completed) when
GPS information is unavailable.
Available only when 1 driver is selected.
Display historic driver tracking details showing how a driver moved around during
View Driver History their shifts.

Filter Drivers
You can quickly filter drivers based on the following:
 Status - Select to display drivers that are “Active”, “Inactive”, or “Both” active and inactive.

Driver Right-Click Menu


Menu Option Description
Active Work Open the driver’s Active Work in a new tab.
Edit Driver Open the driver record to view/edit the driver.
Send Message Send a message to the driver’s mobile device.
Driver Order Display the Order Sequence form which allows you to arrange the sequence of the pickup
Sequence and delivery of the orders that are assigned to a driver.
Optimize Route Optimize the driver’s route.
Check In/Out Check the driver in/out.
Logout Driver Log the driver out of the Driver App.
Clear the driver’s next stop.
Clear Next Stop Enabled only when the driver has a stop flagged as Next Stop.
Disabled and greyed out if the driver does not have a stop flagged as a Next Stop
View Driver A calendar will be displayed to select time range of the location history of the driver on the
History map.
Positions driver within a postal code. Useful if the driver is not using GPS enabled mobile
Position Driver
devices.
How to Assign Orders
From the Shipments List
Right-click the order you would like to dispatch and select Assign To Driver.
From the Map
To a Driver Pin
Drag a shipment from the shipments list to a driver pin on the map.
To an Order Pin
Drag a driver from the drivers list to the shipment pin on the map.

Active Work
Active Work displays all shipments currently assigned to the driver. It is broken into the following sections:
To view Active Work, right-click on a driver in the Drivers section of Visual Dispatch BETA.

Map
The map can display shipment and driver information.
Shipment Pins
The shipment pins allow you to see the shipment location and the tracking ID.
Pin colors
 Green - Pickup
 Red - Delivery

Driver Pins
The driver pins allow you to see where drivers are with the driver ID and a vehicle icon. When hovering over
the driver pin, the driver ID and name will be displayed, or click the driver pin to keep the information
displayed.

Shipments
The Shipments section allows you to view information about the driver’s shipments at a glance

Visual Dispatch Driver Field Descriptions


The Drivers section in the Visual Dispatch board displays driver information.

Field Descriptions
The following field descriptions are for the Drivers section of the Visual Dispatch BETA.
Field Name Description
Driver ID Driver ID.
Vehicle Class Displays an icon according to the class of the vehicle that is set in the driver record.
Direction Displays the direction of travel if GPS is enabled on the driver's mobile device.
The direction or course of motion determined by the GPS chip of the mobile device.
Bearing
Similar to "Direction" but the bearing is represented numerically from 0-360
This reports the speed of the driver through GPS report data collected from the mobile

device.
Nickname from the "Nickname" field in the "General" tab of the driver's human resource

Vehicle Vehicle description from the vehicle record associated with the driver's record.
Count Number of active, uncompleted on demand orders assigned to the driver.
Displays a number from 0 to 3000. This number is assigned when using the auto

ranking feature.
Total Pieces Total number of pieces to be picked up and delivered by the driver.
Total Weight Total weight of parcels to be picked up and delivered by the driver.
Total Dim Total dimensional weight assigned to the driver.
Weight  Red - Indicates that the weight has exceeded the vehicle's max dim weight.

Max Dim Weight Maximum amount of dimensional weight that can be assigned to the vehicle (driver).
Vehicle ID Vehicle ID from the vehicle record associated with the driver's record.
Min Weight See Vehicles.
Max Weight See Vehicles.
Capacity See Vehicles.
Parking See Vehicles.
Rel Speed See Vehicles.
Hazmat Classes Visible field, available for use through custom work only.
Human resource ID of the driver. This can be found in the driver record under "Human
Worker ID
Resource".
Performance Performance score from the "Performance" field in the driver's record. .
Home Zip Zip code for the driver's starting location set in the driver's record.
Fleet ID Fleet ID for the fleet associated with the driver.
Fleet Name Fleet name for the fleet associated with the driver under "Fleet" in the driver's record.
Last Report Lat Latitude coordinate of the last time the mobile device GPS communicated with the server.
Longitude coordinate of the last time the mobile device GPS communicated with the

GPS Lat GPS latitude point from the last GPS update reported from a driver.

Next Zone Zone for the driver's next pickup/delivery set on an on demand order.

Furthest pickup/delivery location latitude for linking on demand orders from the current
Furthest Lat GPS location. Only updates if there has also been a GPS update within the last 3 minutes

 On Time - All orders assigned to driver are beyond the orders pickup/delivery
warning settings on the corresponding order type

 Almost Late - An order assigned to the driver is between the required
pickup/delivery time and its corresponding warning time, but not late
 Late - An order assigned to the driver is late for pickup/delivery

Email Driver's email from the "Primary Email" field on the driver's record.
Name Name from "First Name" and "Last Name" fields on the driver's human resource record.
This information is filled in automatically from "Default Comments" on the driver record
Comments
This can be used to communicate to dispatchers any special situations regarding a driver.
Date the driver's human resource insurance expires. From the driver's human resource
HR Ins Expires
record "Expires" field of the "Insurance" section in the "Advanced" tab.
Date the driver's license human resource expires. From the driver's human resource record

"Expires" field of the "Drivers License" section in the "Advanced" tab.

Visual Dispatch Shipments Field Descriptions

The Visual Dispatch shipments list displays shipment information.

Field Descriptions

The following field descriptions are for the Shipments section of the Visual Dispatch BETA.

Field Names Description


Map When checked, displays the order in the map.
Driver ID of the driver assigned to the order. A blank DriverID means that there is no driver

is assigned to the order.
Order ID of the order.

A red flag icon will appear to the left of the order ID if "Set Dispatch Flag" is set on the
comment field in the order form.
Order ID
The order ID will be highlighted magenta if it is a return or continuation order. Return and
continuation orders are designated by a number with a decimal extension. For example, if a
3 part delivery's first order ID is "3456" then the two additional ID's for that are are
"3456.01" and "3456.02".
Customer ID for the customer associated with the order.

Cust The customer ID is colored based on the Dispatch Priority setting on the Orders tab of the
customer record.

The username of the user that entered the order or method of how the order was placed.
CSR

Priority Dispatch Priority setting on the Orders tab of the customer record.
Pu In Status
Time in minutes between the Pickup To time (pickup deadline) on the order and the current
time. An "F" after the time displays for future orders.

 Yellow warning icon (Unconfirmed Order) - Displays if the driver has not confirmed
the order after 5 minutes of being dispatched.
 Blue alert icon (Rejected Order) - Displays when the driver rejects the dispatched
order.

Del In Status
Time in hours and minutes between the Delivery To time (delivery deadline) on the order
and the current time. An "F" after the time displays for future orders.

At Origin The timestamp of when the driver arrived at the origin.
At Destination The timestamp of when the driver arrived at the destination.
Pieces Number of pieces in the order.
Weight The total weight of parcels/pieces in the order.
Total Dim Total dimensional weight assigned to the driver.

Type Description of the order type.
If the order is the parent order of multiple order.

 false - Order has no return or continuation orders associated with it or is not a parent
order.
 true - Order has return or continuation orders associated with it and is the parent
Is Parent order.

Example

The first order in a 2 part delivery order, order ID 3456, is the parent and will have the value
of "true" and the additional order, order ID 3456.01, will have the value of "false".
Caller The Contact on the order.
Origin Dispatch
Zone associated with the Origin Address.

Zone associated with the Destination Address.

AI Dispatch A value of “true” indicates the order has been sent to the dispatch board.
Pickup Warning Pickup warning time set on order type for the order.

If the stop is marked as the next stop for the associated driver.

The percentage value is used to calculate how much the driver will be paid. The Percent

Name of the customer associated with the order.

Local Name The Local Name is colored based on the Dispatch Priority setting on the Orders tab of the

Server Time The current server time.

Service Type Service Type ID on the order.
Service Description of the service type.

Dispatch Reminder set on the customer record.

Whether or not a warning icon for an unconfirmed or rejected stop is displayed.

 false - No icon is displayed in the P/U In column.
Warning
 true - Rejected or unconfirmed icon is displayed in the P/U In column.

Auto Dispatch Deprecated field.


Estimated time and date that the driver will arrive at the Origin address. If the order has

Total Parcels Total number of parcels existing on the order.

Quick Tip: A depot scan on the order barcode requires X Route and will add a timestamp to

BOL Order BOL on the order.
Master BOL Master BOL on the order.

combos that provide an alternative way to do something that you would typically do with a mouse.

Quick Tip: The section will be highlighted to indicate that section is the active one you are in.

Order Sequence

The Order Sequence form allows you to arrange the sequence of the pickup and delivery of the orders that are
assigned to a driver.

To view the form, from the Visual Dispatch Board BETA, right-click on a driver and select Driver Order
Sequence.

The driver order sequence will only display in the Driver App when the driver's sort order is set to "Itinerary".
Sequence Field Descriptions

Field Name Description


OrderID Order ID
Sequence Sequence number for stop.
The type of stop.

Type  Pickup
 Delivery

Name Name of the stop.


Address 1 Address 1 of the stop.
Address 2 Address 2 of the stop.
City City of the stop.
State State of the stop.
Zip Zip of the stop.
Plus 4 Plus 4 of the stop.
ETA Estimated time of arrival at the stop.
From Time Earliest date and time to pick up or deliver to the stop.
To Time Latest date and time to pick up or deliver to the stop.

How to Re-Sequence the Pickup or Delivery of an Order

You can automatically sequence stops based on date and time by clicking the Auto Sequence button and then
click Save.

To manually sequence stops, select the stop by clicking on the row and drag and drop to the desired position.
Click the Save button to save changes when done.

The driver's itinerary view in the Driver App is updated when the Order Sequence form is saved.
