3.0 ADVANTAGES OF DIGITIZATION PROCESS
Although it is a costly endeavour, the utilisation of digital storage will prove to be more
cost-effective in the long term. By digitising documents, it is possible to make copies of
them, which eliminates the risk of any consequences resulting from the loss of papers.
In the event of a natural disaster, all documents will be safe and undamaged because
they have been digitized. Document theft can also be avoided because it requires
permission to access it, and if it has been deleted by someone, it can be recovered.
A well-organized workflow is utilised by this organisation to guarantee that all papers are
stored in a secure and protected manner using a digital application. As a result, there is
no need to seek for the documents in the cabinet.
Space can be saved because there is no physical record stored in the box. So you can
hire more employees to generate productivity. However, some still need to keep the
record in hard copies and can be placed in off site storage.
Digital data can be encrypted and protected with security measures to ensure
confidentiality and integrity. All data can only be accessed by those with authority. Not
everyone can access data to avoid leakage, theft or loss of information. It requires strict
control to access if it is confidential information.

4.0 CHALLENGES OF DIGITIZATION PROCESS
Skill and expertise are necessary throughout the digitization process to ensure that the
materials are scanned accurately. Some of the staff lack proficiency in this digitization
process. Certain of them have limited experience in operating equipment utilized for
digitizing materials, including scanning machines and similar devices. Additionally, there
are staff who lack the understanding and skills required to operate the system that has
been implemented to store the digitized materials.
Digitizing and sharing papers or certificates online can cause problems if a computer
suddenly turns off, particularly during important tasks. This unexpected shutdown can
lead to the corruption of data and programs, thereby impacting the operating system of
the device.

5.0 PURPOSE OF DIGITIZATION PROCESS
According to Cory Lampert (2017), copyright risk can be better mitigated by the
transformative nature of digitizing a full collection of unique materials in its original
arrangement. It is important to maintain proper recognition throughout the digitization
process in order to avoid plagiarism, which may also have implications for copyright. It
also will prioritize both maintaining copyright and plagiarism prevention during the
digitization process is essential for ensuring the future value and acceptable support of
digital collections.
Optical character recognition (OCR) and machine learning techniques can be used
together to make digitized papers much more accurate while maintaining higher quality.
Text, tables, and pictures can be read and understood better when these technologies
are used. This makes the representation of the source material easier. You can make
digital papers even easier to read and understand by adding advanced picture
processing methods that can make the visual aspects more effective.

6.0 STEP OF DIGITIZATION PROCESS
The first step to take is to collect all available certificates before performing the scanning
process. Remove any paper clips or staples from the certificate before starting scanning. Do it
carefully, and make sure the certificate is free of any folds. This is so that it does not damage
the certificate and to get the true picture. Set up a suitable scanner for scanning. A suitable
scanner plays an important role otherwise, the certificate results do not meet the specifications.
Adjust all resolutions so that the scanned certificate is perfect. After that, scan all available
certificates and make sure every corner of the certificate is captured. Each certificate needs to
be indexed and cataloged to facilitate searching. It is more systematic with certain keywords or
categories. Once done indexing and cataloging, the certificate must be scanned before
performing quality control. In quality control, the staff will check that every edge of the certificate
is captured and ensure that every sentence is captured the same as in the hard copy. If there
are no problems, the pictures that have been captured will be uploaded into the system. Store
the document properly and do maintenance by backup regularly because the system is
fragile.This is for storage and maintenance purposes. This step needs to be repeated for other
certificates as well.

to scan media printed on different mediums from fragile paper documents to
plastic cards, and even thick books with its flatbed option. The features of this
scanner is scanning speed of up to 35 ppm / 70 ipm, it is an Automatic Document
Feeder (ADF) that can scan up to 50 sheets. The daily duty cycle of 4,000 pages

Collaboration and Sharing, the users can collaborate on form creation, share
forms internally or externally, and manage permissions to control who can access
or edit the forms. In conclusion, JotForm simplifies the process of creating,
sharing, and managing forms, making it an efficient tool for businesses,
educators, non-profits, and individuals alike.
