1.0 INTRODUCTION

Parkland Group is a company from Melaka that focuses on property development


in the central and southern region of Peninsular Malaysia. The Group built its reputation
as a competent and reliable property developer who produces good quality products at
affordable prices while providing the best service to its clients. Parkland Group first
established its brand by building several projects across Selangor, Negeri Sembilan,
Melaka and Johor with a landbank of 2,547 acres (Parkland Group, n.d.).
Parkland has undertaken various residential and commercial projects. Among the
significant ones are Taipan Business Park @ Muar, Pontian Business Park @ Pontian,
Parkland Residence @ Sungai Melaka and the latest mixed development project, Taman
Kluang Perdana (Parkland Group, n.d.).
The Group is committed to create value not only for its investors but also to the
residences surrounding the area. As part of its corporate social responsibility, Parkland
Group has set up the Parkland Foundation to contribute to the society. Through Parkland
Foundation, the Group aims to provide assistance and support in the areas of education,

3.0 ADVANTAGES OF DIGITIZATION PROCESS

3.1 Cost savings

Although it is a costly endeavour, the utilisation of digital storage will prove to be more
cost-effective in the long term. By digitising documents, it is possible to make copies of
them, which eliminates the risk of any consequences resulting from the loss of papers.

3.2 Reduce risk of loss

In the event of a natural disaster, all documents will be safe and undamaged because
they have been digitized. Document theft can also be avoided because it requires
permission to access it, and if it has been deleted by someone, it can be recovered.

3.3 Modernize organizatiion

A well-organized workflow is utilised by this organisation to guarantee that all papers are
stored in a secure and protected manner using a digital application. As a result, there is
no need to seek for the documents in the cabinet.

3.4 Reduce or save space

Space can be saved because there is no physical record stored in the box. So you can
hire more employees to generate productivity. However, some still need to keep the
record in hard copies and can be placed in off site storage.

3.5 Safe and secure

Digital data can be encrypted and protected with security measures to ensure
confidentiality and integrity. All data can only be accessed by those with authority. Not
everyone can access data to avoid leakage, theft or loss of information. It requires strict
control to access if it is confidential information.

4.0 CHALLENGES OF DIGITIZATION PROCESS

In addition to technological challenges, the process of digitization itself encounters a variety of


other difficulties.

4.1 Lack of expertise

Skill and expertise are necessary throughout the digitization process to ensure that the
materials are scanned accurately. Some of the staff lack proficiency in this digitization
process. Certain of them have limited experience in operating equipment utilized for
digitizing materials, including scanning machines and similar devices. Additionally, there
are staff who lack the understanding and skills required to operate the system that has
been implemented to store the digitized materials.

4.2 Security concern

Digitized materials require strict security measures. It is necessary to do so due to the


potential exposure of the materials to cyber security threats. Examples of cyber security
threats include data breaches, phishing and many more. Therefore, by imposing strict
access to a material, the risk can be avoided in the future.

4.3 System maintenance

Conducting routine maintenance is a must to prevent any potential harm to the


implemented system. A necessary maintenance that should be done is evaluating the
current status of the existing data before taking any action. This data evaluation ensures
that the available storage is adequate to store the new digital data. This process may
take a lot of time and energy to make sure that unnecessary data has been deleted.
Failure to perform system maintenance may result in accidental data loss due to system
damage.

4.4 Electrical malfunction

Digitizing and sharing papers or certificates online can cause problems if a computer
suddenly turns off, particularly during important tasks. This unexpected shutdown can
lead to the corruption of data and programs, thereby impacting the operating system of
the device.

5.0 PURPOSE OF DIGITIZATION PROCESS

5.1 Emphasize originality and proper attribution

According to Cory Lampert (2017), copyright risk can be better mitigated by the
transformative nature of digitizing a full collection of unique materials in its original
arrangement. It is important to maintain proper recognition throughout the digitization
process in order to avoid plagiarism, which may also have implications for copyright. It
also will prioritize both maintaining copyright and plagiarism prevention during the
digitization process is essential for ensuring the future value and acceptable support of
digital collections.

5.2 Improve digital document accuracy and quality

Optical character recognition (OCR) and machine learning techniques can be used
together to make digitized papers much more accurate while maintaining higher quality.
Text, tables, and pictures can be read and understood better when these technologies
are used. This makes the representation of the source material easier. You can make
digital papers even easier to read and understand by adding advanced picture
processing methods that can make the visual aspects more effective.

5.3 Increase efficiency and reduced processing time

A few examples of the routine operations that may be handled automatically by


automated document processing systems (ADPS) including data entry, sorting, and
classification. In addition, the use of machine learning algorithms enables them to
successfully adapt to new routines, which ultimately results in the speeding up of even
more procedures. As a result of this increased efficiency, time is saved and resources
may be redirected to operations that have a higher benefit to the organization.

5.4 Minimize risk of errors

It is possible to significantly reduce the probability of mistakes and missing information


found in digital documents by employing a number of different data verification methods,
programmes for computers that check for errors, and different automated verification
systems. The requirement for human verification may be reduced by using machine
learning models, which can learn from previous data to recognise and reveal any errors
that may have occurred. It is recommended that real-time monitoring systems and strict

quality control methods be established in order to discover and fix errors before they
become worse. This would further guarantee the reliability and accuracy of digital
information.

5.5 Usage of cloud storage

Organizations no longer are required to allocate funds to purchasing and maintaining


buildings as cloud storage reduces that need. Costs related with hardware,
maintenance, and the energy consumption of workers may be reduced as an outcome of
this possibility. Other than that, numerous cloud storage platforms provide automated
backup functionalities, guaranteeing the regular and automatic preservation of data. This
minimizes the likelihood of data loss in situations involving unknown deletions or system
malfunctions.

6.0 STEP OF DIGITIZATION PROCESS

The first step to take is to collect all available certificates before performing the scanning
process. Remove any paper clips or staples from the certificate before starting scanning. Do it
carefully, and make sure the certificate is free of any folds. This is so that it does not damage
the certificate and to get the true picture. Set up a suitable scanner for scanning. A suitable
scanner plays an important role otherwise, the certificate results do not meet the specifications.
Adjust all resolutions so that the scanned certificate is perfect. After that, scan all available
certificates and make sure every corner of the certificate is captured. Each certificate needs to
be indexed and cataloged to facilitate searching. It is more systematic with certain keywords or
categories. Once done indexing and cataloging, the certificate must be scanned before
performing quality control. In quality control, the staff will check that every edge of the certificate
is captured and ensure that every sentence is captured the same as in the hard copy. If there
are no problems, the pictures that have been captured will be uploaded into the system. Store
the document properly and do maintenance by backup regularly because the system is
fragile.This is for storage and maintenance purposes. This step needs to be repeated for other
certificates as well.

7.0 HARDWARE AND SOFTWARE USED

7.1 HARDWARE

7.1.1 COMPUTER

Computers play a crucial role in this process by using various methods


and technologies to perform digitization tasks. There isn't a single "function
computer" specifically designed for digitization, but computers equipped with
certain hardware and software can effectively handle digitization tasks. For
hardware we choose a computer named Aspire C Intel Series All in one with
the latest Intel processors, graphics, and a host of super-fast connectivity
options. Simply designed, highly efficient, and compact for your home office.
Aspire C offers a wide choice of display sizes and resolutions with thin bezels,
excellent screen-to-body ratios, tiltable screens and Acer BlueLightShield
technology for pleasant viewing. All of these features combine to provide optical
clarity. It also has a simple, ergonomic, and slender appearance. Great
space-saving and cable-tidy management is provided by Aspire C. With its VESA
compatibility, it can be mounted on a wall with ease and maximises space while
keeping any workspace distraction-free. Designed to identify human presence,
focus, and purpose in real time so you can enhance your digital experience with
intelligent features like avatars, auto-dimming, and camera image replacement,
among others. In the digitization process, a computer is needed to save the

output after performing the scanning process. The printer and scanner can
connect with this computer to do a process of digitization.

7.1.2 PRINTER WITH SCANNER

For printer and scanner documents, we used a printer named Canon


Pixma G3010. This printer has special features than other printers which can
scan a document, paper, identification card, photo and others. The printing
resolution for this printer is 4800 (horizontal) 1 x 1200 (vertical) dpi. The print and
copy speeds provided below are just for reference and are measured values
based on the international standard. The default copy speed measuring
techniques for a single, one-sided original. System settings, software, interfaces,
document complexity, print mode, page coverage, paper type, and other factors
can all affect print speed. The complex structure of the content, copy mode, page
coverage, type of paper used, and other factors can all affect copy speed. The
real measurement value is rounded off to determine speeds.

The default ISO/JIS-SCID N2 setting on Photo Paper Plus Glossy II (4 x


6") is used to determine photo print speed; data processing time on the host
computer is not taken into consideration. Maximum feeding capacity, including
secondary feeding direction, interchangeable trays, and optional extras. A4 paper
scan speed in simplex mode, grayscale. When scanning A4 documents at 200
dpi in portrait mode.The page output of an inkjet printer is determined by the use

7.1.3 SCANNER

Sheet-fed Scanner allows only paper to be scanned rather than printed books or
other thick objects. It moves the paper across the stationary scan head. We
choose an Epson WorkForce DS-530 II A4 Duplex Sheet-fed Document Scanner
for scanning our documents. The high-speed and all-purpose Epson WorkForce
DS-530 II scanner. Designed to handle a wide variety of media, you will be able
to scan media printed on different mediums from fragile paper documents to
plastic cards, and even thick books with its flatbed option. The features of this
scanner is scanning speed of up to 35 ppm / 70 ipm, it is an Automatic Document
Feeder (ADF) that can scan up to 50 sheets. The daily duty cycle of 4,000 pages
per day. It also was one-pass duplex scanning. Paper protection function and
image sensor glass dirt detection

7.2 SOFTWARE

7.2.1 JOTFORM

The software that our company chose is JotForm. JotFJotForm is an


online platform that allows users to create forms and collect data without needing
extensive coding knowledge. It offers a user-friendly interface with drag-and-drop
functionality, making it easy to design forms for various purposes, such as
surveys, registrations, order forms, contact forms, and more. Users can
customize their forms with a range of templates, themes, and form fields, and the
collected data can be managed, analyzed, and shared efficiently. JotForm is
popular among individuals, businesses, educators, and organizations for its
versatility and ease of use in collecting information from users or customers.

JotForm serves as a versatile platform for creating various types of online


forms to collect data or information from users. Its functions include Form
Creation, JotForm allows users to create customized forms using a simple
drag-and-drop interface. You can add fields, such as text boxes, dropdowns,
checkboxes, and more, to tailor forms to specific needs. Template Library, it
offers a vast array of templates for different purposes, saving time and effort in
creating forms from scratch. These templates cover surveys, registrations,
contact forms, order forms, and many other types. Customization, the users can
personalize forms by adding logos, changing colors, selecting themes, and
arranging form elements to match their branding or preferences. Next, Data
Collection, once forms are created and embedded on websites or shared via
links, JotForm collects responses and stores data securely in the cloud.

Integration, JotForm integrates with various applications and platforms, allowing
seamless transfer of data to other tools like Google Sheets, Dropbox, CRM
systems, email marketing software, and more. Data Analysis, It provides tools to
analyze collected data, generate reports, and visualize responses, helping users
derive insights from the information gathered. Lastly the function of JotForm is
Collaboration and Sharing, the users can collaborate on form creation, share
forms internally or externally, and manage permissions to control who can access
or edit the forms. In conclusion, JotForm simplifies the process of creating,
sharing, and managing forms, making it an efficient tool for businesses,
educators, non-profits, and individuals alike.

The purpose of using this software is to create an application form for


individuals to apply for a job in our company, which is the position of document
controller. they need to fill out the form given and provide the information we
need. Here the digitization process takes place where all the information or
information and certificates we need need to be scanned and saved to fill in our
form.

First, the user will click ‘Browse files or drag and drop files here’.

Then, the user will choose the files or photos that the user wants.

The admin can scroll down until the certificate has shown and simply click the ‘download’ button

11.0 CONCLUSION

In conclusion, the digitization project has proven to be a crucial initiative in modernizing


our operations and adapting to the digital era. Through meticulous planning, implementation,
and evaluation, several significant observations and achievements have emerged. Enhanced
Efficiency, the digitization efforts have streamlined our processes, reducing manual tasks and
improving overall efficiency. Automation has expedited workflows and minimized errors. Digital
platforms have significantly enhanced accessibility for our stakeholders. Clients, employees,
and partners now have easier access to information and services. The project emphasized data
integrity and security measures. Implementing robust protocols ensures the confidentiality and
integrity of sensitive information. Outcomes and achievements can increase productivity.
Employees' productivity has seen a noticeable uptick due to reduced administrative burdens
and faster access to information. The shift towards digital platforms has resulted in cost savings
associated with paper usage, storage, and streamlined operations.other than that it can improve
the accessibility and responsiveness of our digital platforms have garnered positive feedback
from customers, resulting in heightened satisfaction levels. Next is the implications and future
directions of digitization. We can move forward, sustaining these achievements requires
continuous monitoring, updates, and adaptations to evolving technological landscapes. Further
integration of emerging technologies, such as AI-driven analytics or IoT solutions, could amplify
our digital capabilities. Additionally, fostering a culture of digital literacy and ongoing training for
our workforce will ensure optimal utilization of digital tools and platforms. The digitization project
stands as a testament to our commitment to innovation and adaptability in an increasingly digital
world. Embracing these changes positions us strongly for future growth and success.
