Performance Improvement Plan (PIP) Process

1. Supervisors maintain performance logs for their direct report employees


a. Includes: corrective action logs, performance reviews
b. To be stored only on secure SharePoint location for these items – Access
is to be supervisor and higher management only
2. Where repeated underperformance warrants, a PIP is initiated and signed by the
direct supervisor
3. The Sr. Manager signs off on the PIP and notifies HR of the impending action
4. The PIP is presented to the employee and signed by the employee and direct
supervisor
a. HR is to be given the fully executed PIP along with any accompanying
documentation
b. HR will send fully executed PIP to ADP Total Source (APD TS) for their
records
5. For a successful PIP, a memo of completion is signed by employee and direct
supervisor
a. Direct supervisor sends fully executed successful memo of completion to
HR
b. HR will send fully execute successful memo of completion sent to ADP TS
for their records
6. For an unsuccessful PIP, HR is notified of impending escalated action
a. “Last chance,” continued PIP based on performance history
b. HR will contact ADP TS for next steps in the termination process
c. Termination
7. Upon a termination decision, HR is notified of the termination date. All
performance logs and PIPs will be sent to HR by the supervising manager.
a. HR will work with ADP TS on the termination documentation
b. HR will also inform Accounting Department (Accounting) of impending
termination and get accurate status of remaining Vacation days that need
to be included in final paycheck.
8. Meeting will be set up with HR, ADP TS and the employee.
a. HR, ADP TS and Accounting will collaborate to get documentation and
accurate information to properly fill out termination letter.
b. HR and ADP TS will conduct the termination meeting with the employee,
direct supervisor, and Sr. manager
c. HR and ADP TS will request employee to sign termination letter and to
return all RGBSI A&D equipment that has been issued to employee.
d. All documentation will be stored electronically in HR’s folders.
9. If a verification of employment (e.g., mortgage or auto loan) comes in during an
employee PIP process, HR will request a status update on employee’s progress
toward either successful complete or possible termination before responding to
requester of verification.
