ESS Portal / Appointment Letter & JK Related Questions.

1) Where can I get my ESS Login Credentials?

Ans:- Post Onboarding Auto generated Appointment letter will Trigger on your Personal Email ID ,
(provided to Randstad), ESS Login Credentials are mentioned on First Page of your Appointment Letter.

2) Whom should I reach out to when I am facing issues / errors while login in ESS Portal?

Ans:- Drop an email to Helpdesk: 1800 4209944, [email protected] (TAT 48hours), mention your
Employee Code & Deputee ID in the mail body.

3) Where do I find my Employee Code & Deputee ID provided by Randstad?

Ans:- You will find the same on your Auto Triggered Appointment Letter.

4) Where can I get my Appointment Letter and Joining Kit (Randstad) ?

Ans:- Post Onboarding Auto generated Appointment letter will Trigger on your Personal Email ID ,
(provided to Randstad),Also You can Download the same from ESS Portal

5) How do I Acknowledge my Appointment letter and Joining Kit (Mandatory activity to be done by all
Employees)

Ans:- Post Onboarding Auto generated Appointment letter will Trigger on your Personal Email ID ,
(provided to Randstad / Check your SPAM or Promotions Folder), The link to acknowledge Appointment
Letter and Joining Kit is available with the above mentioned Trigger email.

6) Why is it mandatory to Acknowledge my Appointment Letter and Joining Kit (Randstad) ?

Ans:- If you do not acknowledge Appointment Letter & Joining Kit within 30 days from your Date of
joining, Salary will be kept On-Hold, and the same will be released only after acknowledgement.

Salary / Reimbursement Questions

7) What is my Salary Pay Date & Where do I get my Pay slips?

Ans:- Your Pay date is 5th of Every Month, and you can get your Pay slips from ESS portal after 3
working days of your salary payout day.

8) How do I claim my Internet Reimbursements?

Ans:- You will get an email from Richa / Payroll SPOC on 3rd week of the every month, Along with
Process Note and Claim Sheet Format to fill & Hardcopy of the bills should be couriered to Our Chennai
Office (Mandatory).

9) When will I get my Internet Reimbursements?

Ans:- 10th Of Every Month.

Beeline / Timesheet Questions

10) Where can I Get my Beeline Login?

Ans:- Post Onboarding Date Confirmation from Tanvi / Amreen / HR SPOC Auto generated Email will
Trigger on your Personal Email ID ,(provided to Randstad , Check your SPAM & Promotions folder)
With Beeline Link and Credentials, you need to first login and change your password for further use.

11) Whom do I reach out incase I’m facing Beeline Login issue?

Ans:- You can get in touch with Smita Shahi / Sai Goutham (Onsite team)(refer handbook for contact
details) or reach out to Beeline Help Desk – EMEA Support team on [email protected].

12) How do I mark My Attendance in Beeline?

Ans:- Post Login in Beeline, Click on “Timesheet” tab, Select a “Week” from the calendar drop given,
In the Hours Section (check box mentioned in front of each date).
a. Mention 8 hours (Worked Full Day)
b. Mention 4 hours (Worked Half day)
c. Mention 0 hours (Leave & Holiday)

13) When do I Submit My Timesheet / Attendance?

Ans:- You have to Submit your timesheet every Friday and Every 25th Of the month (irrespective of day
i.e between Mon- Fri)

14) How will it affect me, If I Failed to submit my Timesheet on the cutoff date which is 25th Of every
month?

Ans:- If timesheet is not submitted on the given timeline, All the unmarked attendance dates will be
considered as Loss of Pay / it will be considered as Leaves utilized from your leave balance.

15) Is there any Notification given to submit Timesheets from Randstad?

Ans:- Yes Richa / Payroll SPOC will send you notifications on your personal Email ID Every Month with
deadline to submit. (Please always check your personal Emails)

16) Are Timesheet Approvals Mandatory?

Ans:- Yes you have to connect with your Manager / Timesheet Approver to get the same approved
before the given attendance deadline each month By Richa or Payroll SPOC.

Leave related Questions

17) What is my Leave Structure & Cycle?

Ans:- a)You will be given 2.5 days of leave per month (applicable for Karnataka & Maharashtra)
b) 3.25 days of leaves per month (applicable for Telangana)
c) Your Leave Cycle is from 1st Jan to 31st Dec, where in any Leave balance will be enchased with
your January salary and will not be carried forward to next year. Post which new Leave cycle will apply.

18) How do I update my timesheet if I have worked on a National / Organizational Holiday?

Ans:- You need to mention 0 hours in the check box against the particular date in timesheet and , click
on Cloud and mention comment as “Worked on National / organizational holiday”(Mandatory)

19) Where can i get to know my Leave Balance?

Ans:- You will have to send one on one email to Richa / Payroll SPOC , to know your leave Balance.

20) Where do I get my List of Holidays?

Ans:- Please refer to email sent by Tanvi with your Provisional Offer Letter (Prior to joining) , you will
get your list of holidays in the attachments.

Medical insurance Questions

21) Where do I get my Medical Insurance Policy Details?

Ans:- You can view your Medical Insurance Policy details in ESS Portal.

22) Who all are covered in the Medical insurance Policy?

Ans:- If Married = Employee + Any 3 Dependents (Spouse, Kids and Parents)


If Unmarried = Employee + Parents (Siblings Not covered)

23) How do I Get my Medical E-card for my dependents and me?

Ans:- Post 30 days of your joining date , Medical E-card will be available on your ESS portal.

24) In Emergency whom do I contact for Medi-claim ?

Ans:- You can contact Mr.Premnath Rao, on [email protected] (Contact:9940522680) and


CC Tanvi/Amreen and [email protected] for documentation.

Exit Questions

25) Whom do I connect with for exit formalities?

Ans:- You can connect with payroll SPOC – Richa Barot on [email protected]. You need to ask your
manager to update your LWD in Beeline for further process.

26) When can I expect my FnF and Relieving Letter?

Ans:- You can expect the FnF amount and Relieving Letter by 2nd week of next month from your LWD.
