The company name, CHI Kristin Raina Interior Designs, is now dis-
played in the title bar. Along the left side of the window is the Left Icon
bar. The remainder of the window displays the Home page. The Left Icon
bar and the Home page can also be used to access info~ation in Quick-
Books as alternatives to using the main menu bar. In this text, only the
main menu bar is used. If the WHAT'S NEW box appears on the ed~e 0 ~
the Home page, click the X to close it. If the Help message appears, It will
fade away in a few seconds.
In this textbook, the Left Icon bar and the Home page will be closed to
allow more screen space for the windows.

Multi-User and Single-User Mode

Back ing Up a Company File


In business, it is advisable to make backup copies of records on a regular
basis and store the backup copies in a safe place, separate from the busi-
ness location. In the event of darnage to a company's computers and/or
files, the backup copies can be used to restore the lost or damaged data.

Why Backing Up a File Is Important


In this text, you will use the Back Up command for two purposes. First,
Back Up will be used to make a copy of the original company file. As previ-
ously mentioned, company files are provided for the sample company Kris-
tin Raina Interior Designs to illustrate topics in each chapter and for the
two cases at the end of each chapter. To use the company files for practice,

Second, as in business, you will use th e Bac k Up co mm and to make

backup copy. This copy will also be helpful in case you use a diffe n·11t<'0 111-

Naming Backup Files


Two types of names are used in Qui ck.Books to ide ntify a co mp any filt' : th C'
file name and the company nam e. Wh en your backup co p is madt· a 11d
restored, it is recommend ed that you includ e your name or our initi als ,ts
part of the company file nam e to distin gui sh your individu al <"op of Ilw file

In each chapter, the original comp a ny file na me is p rec ed ed with

for exercise.
QuickBooks automatically assigns th e exte nsion .QBB to a back 11p<'npy
and condenses the file. Condens ed ba ckup copi es cann ot h<: used f o r
work; they are strictly for use as stor ed co pies.
Backup copies can be made to the Compan y Fil s suhf o ldc r, to a sub fold('r
of your choice, or to a removable storag e device . It i reco mm end ed that
you create your own subfolder on tJ1ehard drive using File (or Wind ows)
Explorer and that you use your subfold er to stor e you r backup copy of the
company file. The following insuuctions assum e you have crea ted your own
subfolder.
To make a backup copy of the CHI Kristin Raina Interior Designs com-
pany file:
I. At the main menu bar, click File and then click Back Up Company.
2. At the Back Up Company submenu, click CreateLocal Backu/1.Th e
Create Backup window-Do you want to save your ba ckup copy onlin e
or locally? page appears. .
At certain times in QuickBooks, the title in a window remain s th e
same, but as you click the Next button, a series of pag es within that
window ask for or inform you of additional information.
3. At the Do you want to save your back~p copy online or locally? pag e,
confirm that Local backup is selected. See Figure 1-I.

You ha ve now made a backup copy of the company file, but the original
file is still open. To work on the backup copy of the company file that you
just cr e at e d , you must restore the backup copy.

Restorin a Company File


You use the Restore co1nmand to open a backup copy of a company file.
Re call that backup copies are automatically assigned the extension .QBB
and that they are condensed copies of a company file. QuickBooks gives
the restore copy a .QBW extension, which denotes the working copies
of the con1pany. If you are using removable storage devices to store your
backup copies of company files, it is recommended that you use the hard
drive for the exercises and use the removable storage devices only for
backup. Using removable storage devices for the exercises may be slow, and
all your work for one company file may not fit onto one removable storage
device.
Restoring a backup file is a two-step process. In the first step, you deter-
mine which backup copy you wish to open (Open Backup Copy); in the
second step, you indicate where you wish to restore the backup copy (Save

8. At the Wh e re do you want to restore the file? page, click Next. The
Save Con1pan y File as dialog box appears.
9. In th e Save in field , choose the subfolder where you will open and
work on your copies of the company files .
10. In th e File n a me text box, type EXl [ Your ]\ Tame} Kristin Raina Inte -
rior Designs. The prefix EX followed by the chapter number and
your nam e or initials will be used for the restore copies as well as the
ba ckup copies. See Figure 1-P.

When a backup copy of a company file is restored, it becom es a


working copy of the company file and Qni ckBooks assigns it · 1 .Q;l\v\

11. If the information is correct, click Save.
If you use a file name that alr eady exisrs, a Confi rm Savt· As mes-
sage appears to indicate that this compan y file exists and to ask iJ yo11
