1 Manual Overview

1.1 Manual Introduction

This article describes mainly based on features & functionalities related to OVP
layout and usage. Users who are not familiar with OVP features should read the
manual carefully.

1.2 Function Menu

There are three major features in OVP: ‘Search’, ‘Custom Report’, and ‘Document
Download’.

Search feature has three features: ‘Standard Search’, ‘Order not yet processed’,
and ‘Quick Search’.

Custom Report has two features: ‘Create Custom Report’ & ‘Report Template’.
‘Create Custom Report’ has the ability to create/search/edit/preview/copy/delete a
report refers to the section ‘Custom Report’ on catalog.

Document has one feature ‘Invoice Download’.

1.3 Translation feature

OVP supports more than 20 languages for users from different country. You can
find the translation button on the top-right corner of our website refers to the

screenshot. The default language is set as ‘English’, if you wish change it into your
native language please click on the button and scroll down to find the language you
want.

2 External User Registration

2.1 User Registration Instructions

(1) The user who applies for registration can only be an external user account. If
an internal employee of the company needs to create an account, he needs to
find an administrator to create it;

(2) The geo options of registered users support multiple choices, and the WW users
can select multiple geo options;

(3) Business unit adds prompt description, and users select corresponding types
according to their actual needs;

Precautions during user registration:

(1) The user's email must be filled in, because the email is the only identification for
system account login. If the prompt already exists, please contact it support and geo
admin to retrieve your account password. If your email has been approved by the
administrator and is in a valid state, of course, you can retrieve your account by
retrieving the password.

(2) Your basic personal information includes first name, middle initial (optional), last
name, company and job title. Please fill in correctly.

(3) The attributes related to the order viewing range include business unit, geo,
country, sold to and DMU, which must be filled in, and one of which is required for
sold to and DMU. Otherwise, they cannot be approved by the administrator.

(4) Please select the time and language attributes correctly. Date format is the time
format of order display, language is the display language set for you by the system, and
time zone is the time zone of the user.

(5) At last, please input the verification code and submit your registration
information. The system will send an email to the administrator, waiting for the
administrator's approval. After the administrator's approval, the user receives the
email setting the password. After setting the password, the user logs in to the OVP
system with the mailbox and password.

2.2 User Registration Operation

1) Click the registration button on the user login page to enter the registration

3.1 User Guide (Require future development)

User Guide has tutorials for commonly used features.

4 User Profile

4.1 Modify Profile

The user modifies the basic personal information on this page. The business unit,
geo, role and group information are modified by the administrator. The current login
user can only view and cannot modify them.

5 Search

5.1 Stand Search

Select from the listed options. Then enter the order information regards to
the selected option. At last, click the button ‘Submit’ to obtain the order
query results.

5.2 Order not yet processed

The data for those orders is received from upstream system to OVP to
demonstrate on our website. Sometimes those order might be stuck while data
flowing. This feature is able to search for those stuck orders. If you find out that
your order is stuck, please submit a ticket to us to solve your issue.

5.3 Quick Search

Enter one of the listed values to search for result.

6 Custom Report

6.1 Create Custom Report

6.1.1 Filter Condition

1) View:
▪ Common user can only choose those reports are ‘Owned By Me’.

▪ Geo admin is able to choose both ‘Owned By Me’ & ‘Owned By


My Group’.


WW admin is able to choose ‘Owned By Me’, ‘Owned By My
Group’ and ‘Owned By SSO Users’.
2) Frequency types:
• ‘All’: Show all types of frequencies.

• ‘NA’: This is the type for unscheduled report.

• ‘Daily’: Show daily report. Also refer to the ‘Frequency’ type at


the last step of ‘Create New’.

• ‘Weekly’: Show weekly report. Also refer to the ‘Frequency’ type

at the last step of ‘Create New’.

• ‘Monthly by date’: Show monthly report by date. Also refer to the


‘Frequency’ type at the last step of ‘Create New’.

• ‘Monthly by day’: Show monthly report by day. Also refer to the


‘Frequency’ type at the last step of ‘Create New’.

• ‘Custom’: Show customized scheduled report. Also refer to the


‘Frequency’ type at the last step of ‘Create New’.

3) Execute result types:


• ‘All’: show all types

• ‘Execution succeed’: Display when reports are executed


successfully.

• ‘No records in report’: Display when reports have no records.


(Only when status is scheduled reports)

• ‘Records have exceed the limit (100K line items)’: Display when
the records with more than 100’000 line items. (Only when
status is scheduled reports)

• ‘Report query timeout’: Display when the report is timeout


more than 30mins. (Only when status is scheduled reports)

• ‘Execution exception’: Display when there is malfunction in the


OVP system.

• ‘Mailing exception’: Display when there is malfunction in the


OVP mailing system. (Only when status is scheduled reports)

4) Application:
• The purpose of this feature is to differentiate the type of reports were
created by SSO users.

• When a SSO user redirect into our portal, we can track which group they
come from and assign an application type to their reports base on their

group.

5) Report Name/Owner/Creator:

Enter specific value for precise search result.

6) Status:

Has All/Unscheduled/Scheduled/Pause reports.

6.1.2 Button functionality

1) Create New:

a. New: Creating new report

1) Drag the attributes you wish to include within your report.

2) Click on the selected field on the right-hand column to enter conditions


& value.

The conditions are (Note: if you leave a value blank, the system will
recognize it as ‘all values in that field’):
• Equal to (single value): Enter one exact value to pull all data from
our database relates to this value.
• Contains: Enter a couple of digits or letters to pull all data contains
those digits or letters.
• Starts with: Enter a couple of digits or letters to pull all data start
with those digits or letters.
• Ends with: Enter a couple of digits or letters to pull all data end
with those digits or letters.
• Not equal to (single value): Enter one exact value to pull all data
except this value from our database.
• In (Multiple value): Enter a list of values separate by comma to
pull all data from database relates to these values. (Note: Please
be aware of trimming those ‘space’ before/after each value and
comma.)
• Is blank (single value): Enter a value to pull all data from our
database that has null value in your selected field.

3) Click ‘Continue’ when you wish to proceed to the next step.

4) There is a table that summarize all the fields you selected for you to check
errors, if you find an error, you can click ‘Back’ to fix it. Once you wish to
proceed to the next step, please click on ‘Continue’.

5) In the last step of this process, you have to enter ‘Report Name’,
‘Description’, and select whether to schedule this report.

b. By template: Create report by using one of the template reports.

1) Choose a template type to filter your result.

2) Either enter the template name to select one, or scroll down the list
to find one.

3) Click submit to finish.

2) Preview (single select):

Able to preview the result of a report.

3) Edit (single select):

Able to edit report field.

4) Copy (single select):

Able to copy a report with the same field.

5) Delete (multiple select):

Delete a report, the report will go into Archived List after deletion.

6) Archived List:

Store a list of deleted report, you can reactivate it if you accidental delete a
report. once you remove a report from Archived list, it will be permanently
deleted.

6.1.3 Email notification

1) Email notification types:


• Add Email notification system when ‘Execute result’ types are

• ‘No records in report’

• ‘Records have exceed the limit (100K line items)’

• ‘Report query timeout’

• ‘Execution exception’.
2) No records in report:

• Once you create a scheduled custom report with no record in, we will
start sending notification email for reminding you to update your report.

• Meanwhile, the system will start counting how many times we have
notified you.

• When we have notified you for more than 10 times, the system will
automatically pause this report, and stop sending those notifications
emails.

• Once the report is paused, you can update your report in order to
resume your report. Once the report is resumed, the system will reset
count number to zero.

6.2 Report Template

Report Template has four features: ‘Private Template’, ‘Shared with me template’,
‘Shared with others template’, and ‘Trash Can’.

1) ‘Private Template’:

You can create your own report template in this feature. In addition, if you have
created a report in ‘Create custom report’ feature, this feature will also have a copy
of it.

You can also share your selected template to other users.

Click on ‘To GEO User’ to share to all user within in this GEO.

Click on ‘To User’ to share to specific user by entering ‘User Email’.

Click on ‘Archive’ button to move your report to ‘Trash Can’.

2) ‘Shared with me template’:

This feature contains a table of all reports that are shared from other users
with you.

3) ‘Shared with others template’:

This feature will keep a record of the reports you shared with other users.
You can revoke it if you wish to stop sharing a template with someone.

4) ‘Trash Can’

This feature stores reports that you archived. You can click ‘Reactivate’ from
‘Action’ to restore you report template back to ‘Private Template’.

7 Document Download

7.1 Invoice Download

7.1.1 Selected by order information

Select from a listed option to enter the correct information regards to your
selected option.

Then select the invoice from your search result to download.

7.1.2 Selected by customer information

Enter those criteria in order to search for an order regards to customer


information.
