COMMUNICATION SKILLS

1) What is the communication cycle? What are its components?


Communication cycle is the process by which a message is sent by an
individual and it passes through a chain of recipients. The timing and
effectiveness of a communication cycle is based on how long it takes for
feedback to be received by the initial sender.

Components of a communication cycle

 Sender: the person or entity originating the communication

 Message: the information that the sender wishes to convey

 Encoding: how the sender chooses to bring the message into a form
appropriate for sending

 Channel: the means by which the message is sent

 Receiver: the person or entity to whom the message is sent

 Decoding: how the receiver interprets and understands the message

 Feedback: the receiver's response to the message

2) What are the different types of Verbal Communication

Interpersonal Communication: This form of communication takes place


between two individuals and is thus a one-on-one conversation. It can be
formal or informal.

Written Communication: This form of communication involves writing words.


It can be letters, circulars, reports, manuals, SMS, social media chats, etc. It
can be between two or more people.

Small Group Communication: This type of communication takes place when


there are more than two people involved. Each participant can interact and
converse with the rest.
Public Communication: This type of communication takes place when one
individual addresses a large gathering.

3) What are advantages of Verbal Communication

It is an easy mode of communication in which you can exchange ideas by


saying what you want and get a quick response.

4) What are the disadvantages of Verbal Communication

Since verbal communication depends on written or spoken words, sometimes


the meanings can be confusing and difficult to understand if the right words
are not used.

5) What are types of Non-verbal Communication

• Facial Expressions • Posture • Gestures or Body Language • Touch •


Space • Eye Contact • Paralanguage : tone, speed and volume of our
voice.

6) Explain the barriers to Effective Communication

Physical Barriers

Physical barrier is the environmental and natural condition that act as a


barrier in communication in sending message from sender to receiver.

Linguistic Barriers

The inability to communicate using a language is known as language barrier to


communication. Language barriers are the most common communication
barriers, which cause misunderstandings & misinterpretations between
people

Interpersonal Barriers

Barriers to interpersonal communication occur when the sender’s message is


received differently from how it was intended.
Organisational Barriers

Organizations are designed on the basis of formal hierarchical structures that


follow performance standards, rules and regulations, procedures, policies,
behavioral norms, etc. All these affect the free flow of communication in
organizations

Cultural Barriers

Cultural barriers is when people of different cultures are unable to understand


each other’s customs, resulting in inconveniences and difficulties. People
sometimes make stereotypical assumptions about others based on their
cultural background.

7) What are the ways to Overcome Barriers to Effective Communication

• Use simple language

• Do not form assumptions on culture, religion or geography

• Try to communicate in person as much as possible

• Use visuals

• Take help of a translator to overcome differences in language

• Be respectful of other’s opinions

8) What is a sentence? What are the types of sentences

Sentences A sentence is a group of words giving a complete thought. A sentence


must contain a subject and a verb.

Types of senetences are simple ,compound and complex

Simple- A simple sentence is one independent clause that has a subject and a
verb and expresses a complete thought.

Compound- A compound sentence allows us to share a lot of information by


combining two or more related thoughts into one sentence.
Complex- A complex sentence is a sentence that combines one independent
clause with at least one dependent clause.

9) What is a phrase?

Phrases are a group of words that work together to communicate an element


of speech.

A phrase is a group of related words that is used as a single part of speech and
does not contain a verb and its subject.

Types of phrases are prepositional, Appositive, participle, gerund, infinitive

10) What are the parts of a sentence?

Every sentence can be broken into two parts a) Complete Subject b) Complete
Predicate

•The complete subject consists of simple subject ( The noun or the pronoun is
the subject is about) and its modifiers •The complete predicate is made of
up of verb and its modifiers.
