Step 10 Make the appointment

When you have made your selection, it is best to put the offer of employment
in writing. Make sure the letter of offer states:

 the name of the traineeship/apprenticeship so there is no doubt about


the nature of the employment
 the pay and conditions
 the start date
 the name of the person to whom the trainee/apprentice should report
and
 any special requirements e.g. dress code, protective footwear, and so
on.

Thank you for attending the interview for the traineeship position last week. I
am pleased to offer you the position. As discussed at our meeting:
 the position is a Certificate III Business Administration (Legal)
Traineeship
 the traineeship is 12 months in duration with an initial probationary
period of one month
 the gross pay is $21,000 per annum
 normal working hours are from 8.30 am to 5.00 pm each weekday
 you are entitled to 4 weeks annual leave and 10 days sick leave (5 with
a medical certificate, 5 without a certificate).

Please respond to this offer in writing as soon as possible. I look forward your
starting work with us on Monday 24 June. Please come to the reception desk
and ask for me.

On the start date, it is important to make sure that there is someone available
to show the new person around, somewhere for them to sit (if appropriate), a
place for personal belongings to be stored, and that they have clear and
achievable tasks for them to start with. Avoid overloading your recruit with too
much information too quickly. Introduce the trainee or apprentice to their
supervisor as soon as possible.

Contact your Australian Apprenticeships Centre to arrange to finalise the


signing up the trainee/apprentice within 14 days. At this point you will be
asked to select a training provider to support the training and assessment
process − your Australian Apprenticeships Centre can assist you.

When you have chosen the training provider, make contact with them quickly
and arrange for a trainer to organise the training and assessment that best
suits you, your trainee/apprentice and develop a Training Plan.

Making the appointment

 Prepare the letter of offer, including:


− the name of the traineeship or apprenticeship
− the pay and conditions
− the start date
− the name of the staff member the appointee should report to on the start
date
− any special requirements e.g. footwear or clothing requirements
− ask for confirmation of acceptance − in writing − prior to the start date.

 On the start date


− Is there someone available to meet, greet and show the appointee around?
− Have you prepared a schedule/order of tasks with which the appointee is to
be familiarised?
− Have you identified a training provider and organised arrangements for
training?
