1) Application Letter
An application letter is one of the first few things that you need to prepare when applying for a job.
Your appl letter, together with your resume are two of the most immportant documents you need in your
bid to get a job and finally join the company.

Your application letter serves as your formal introduction with your potential employer. It contains
your background, summarizes your knowledge and experiences and includes a few more details as to why
you are qualified for the job. More importantly, your application letter expresses your intent to apply for a
specific job within an organization, business or company,
Here's an overview including its social function, structure, and linguistic features:

1) Social Function
The primary social function of an application letter is to persuade the employer that you are a suitable
candidate for the position. It aims to:
 Introduce yourself to the employer.
 Highlight your qualifications and experiences.
 Explain why you are interested in the job and the organization.
 Encourage the employer to consider your resume and invite you for an interview.

2) Structure of the Text


An application letter typically follows a structured format:

1. Header
 Your contact information (name, address, phone number, email).
 Date of writing.
 Employer's contact information (name, title, company, address).

2. Salutation
 A formal greeting (e.g., "Dear Mr./Ms. [Last Name]").

3. Introduction
 State the position you are applying for.
 Mention how you found out about the job opening.
 Briefly introduce yourself and your interest in the role.

4. Body Paragraphs
 First Paragraph: Highlight your relevant qualifications and experiences. Connect your skills to
the job requirements.
 Second Paragraph: Provide specific examples of your accomplishments and how they relate to
the job.
 Third Paragraph (optional): Mention additional skills or experiences that make you a strong
candidate.

5. Closing Paragraph
 Express your enthusiasm for the position.
 Indicate your desire for an interview.
 Thank the employer for considering your application.
 Provide your contact information again.

6. Signature
 A polite closing (e.g., "Sincerely," "Best regards").
 Your handwritten signature (for printed letters) and typed name.
3) Linguistic Features of the Text

1. Formal Language
 Use professional and respectful language.
 Avoid slang or casual expressions.

2. Positive Tone
 Maintain a positive and confident tone.
 Focus on your strengths and achievements.

3. Conciseness
 Be clear and to the point.
 Avoid unnecessary details or repetition.

4. Active Voice
 Use active voice to convey a sense of confidence and directness (e.g., "I managed" instead of
"was managed by me").

5. Specificity
 Provide specific examples and details to back up your claims.
 Tailor the letter to the job and company.

6. Correct Grammar and Spelling


 Ensure there are no grammatical errors or typos.
 Proofread the letter multiple times before sending it.

2) Resume
A resume is a formal document that displays an individual's professional background and relevant skills.
Those interested in finding a new job write a resume. Hiring managers or recruiters usually collect resumes
through an organization's career website, a job search engine, a professional social media page or in person.
Most resumes consist of work history, education, a professional summary and a list of skills.

1. Why is a resume important?

Resumes are usually the first impression a potential employer has of you. Resumes are often the
most important step in the application process. Here are some additional reasons why resumes are
important:

 Provides an opportunity to market yourself to employers


 Outlines your skills, background and education so employers can easily see how your experience
contributes to the success of a company
 Helps employers eliminate unqualified candidates

2. What to include on a resume


You should include these specific sections on your resume:

a. Contact information
Name, Telephone number, address and email address

b. Professional summary
This is a short summary of your professional experiences, skills and goals that you may write to reflect
the job to which you’re applying. A professional summary is typically two to three sentences long.
You can place this underneath your header so it appears first on your resume and introduces the rest of
your work history and skills.

c. Education
Name of school, Majoring, Year gradute.

d. Work experience
List of position, Name of company, Address, Time of working/training
Administration staff; Responsible for employee attandent list, assist HR related to the administration
and documents.

e. Skills/ Qualification

- Able to operate computer
- Able to speak English
