GETTING STARTED GO

This guidance is to help you complete the NHS Scotland online application form and to
make the most of your application. Please read them carefully before you begin. Good
luck with your application.

Completing the online application form is the first stage in the recruitment process. The
information you provide will be used to decide if you will be invited for interview so please
demonstrate how you meet the essential and desirable criteria which are detailed in
the Job Description and Person Specification for the post.

This process may include initial screening questions to verify that you meet the Person
Specification for the job before you commit further time on the next steps of the
application.

 It is important that you complete ALL sections of the application form. CVs
are not accepted as an alternative to completing the NHSScotland
Application form. If you submit an incomplete application form then you are
unlikely to be shortlisted for interview.

Please read and save a copy of the Job Description and/or Person Specification
documents as these will provide detailed information about the role. Please take note
of the job reference number and quote this if you need to contact NHS Greater
Glasgow and Clyde’s Recruitment Service (NHSGGC Recruitment).

Please be aware of the closing date noted on the recruitment advert, as we are unable
to accept applications after this date.

THE RECRUITMENT PROCESS


Only those applicants who can clearly demonstrate in their application form how they
meet the essential criteria for the post as specified in the job description and person
specification will be shortlisted for interview.

After the closing date (advised in the advert) a Selection Panel (Panel), will complete
the shortlisting and interview stages of the recruitment process.
At the Shortlisting stage, all online application forms are anonymised and only the
Education, Employment and Assessment/Supporting Statement Information sections
are accessible to those involved in the recruitment process. This helps ensure that
shortlisting is fair and consistent and is based on the candidate’s skills, knowledge,
qualifications and experience. The selection panel will assess each candidate against
the Job Description/Person Specification of the post, first against the essential criteria
and where required also against the desirable criteria.
The responsibility for filling vacant posts is normally the NHS Greater Glasgow and
Clyde (NHSGGC) operational manager or supervisor for the service or department who
are recruiting to the post (sometimes referred to as the hiring manager). An interview
panel is normally between 2-4 people depending on the post and will be more senior to
the grade of the post being recruited to. It can also include panel members, external to
NHSGGC, where appropriate to the post.
You will be advised of the outcome of your application via email, after the shortlist sift
has taken place.
Interviews will use value based/competency-based questions, where you will be asked
to provide examples and evidence of work based situations you have been involved in,
for example, telling us about how you have responded to a particular situation.
It may also include specific technical questions and depending on the role it might
include practical exercises sometimes referred to as situational judgement tests/
exercises for example, a keyboard test or presentation of a topic.
Interviews will be either be in person or virtual via MS Teams either way the same format
for the interview will apply.

If you are invited to an interview you may receive an email requesting you select (via
this website) a suitable date/time slot within the range provided, or you may be
allocated a specific date/time and advised.

You will receive update emails via the Jobtrain Recruitment System advising of the
outcome of each stage of your application.

THE NHS SCOTLAND RECRUITMENT SYSTEM

All candidate applications are invited via the NHS Scotland Recruitment system called
Jobtrain. This means that to apply for a post you must complete the NHS Scotland
Online Application Form which you can access when you log into the National
Recruitment Platform.

When you click the button ‘Apply for job’ on the recruitment advert, you will be asked
to create an account using an email address or social media account. Please make sure
the email address submitted is correct as this will be our primary method of contact.

For returning candidates, you will be asked if you wish to copy from a previous
application or create a new one. If you prefer to copy, please make sure that you go
through each section to ensure that the information is up-to-date.

The system will timeout after 30 minutes of inactivity so please save your application
regularly. You can save progress and come back to the application form later if you wish.
Just remember your password so you can log back in.

On the Assessment section, you may find it helpful to prepare your answers to this in a
separate document and copy and paste your answers into the on-line form.

Important information to take note of on when completing the NHS Scotland


Application form:

• Ensure that your email and contact telephone number is correct as these will be
used to contact you.

• You will be asked to provide your National Insurance number.

• Specific requirements such as registration/membership details to a Professional


Regulatory Bodies such as the Nursing and Midwifery Council (NMC) or General
Medical Council (GMC), must be provided if relevant to the vacancy.

• For the Employment section, please start with your current/most recent employer
and work back through your employment history. Please also include any part-time
or temporary jobs, work placements, volunteering roles, or any career breaks
(student/parent/carer/etc.).

• Use the three (3) questions Assessment/Supporting Statement Information to


detail how your qualifications, knowledge, skills, and experience make you a suitable
candidate for the job.

• References will only be contacted if you are identified as the preferred candidate for
appointment to the post. Contacting your references is part of the pre-employment
compliance checks stage. We look for references from your present (or most recent)
employer, and ideally these will cover the past three years of employment history.
Referees will be asked to provide references via an online process.

• Don’t worry if you are returning to work after an extended period away and have
difficulty in providing us with details of your last employer or other employment
references, please let us know. Your referees should be in a position to provide an
assessment of your suitability for this post. References from friends or family
members are not acceptable.
Other options might include for example providing a combination of:

a) Character references such as someone of standing in the community who can


vouch for you (e.g. a teacher, doctor, lawyer, police officer, etc.)
b) If you have been in education in the last period, a teacher or lecturer or the
academic institution for confirmation.

• You are recommended to contact your referees direct to advise that you have
provided their details to NHSGGC. Please ensure they agree to provide a reference
and that their email and telephone contact details are correct.

• Before submitting your application please make sure you read the Declaration
section. This section will highlight any parts of the form which haven’t been
completed and it also covers the following important information:

 Criminal Convictions Declaration - NHS Scotland is exempt from the 1974


Rehabilitation of Offenders Act (Exclusions & Exceptions) (Scotland) Order 2003.

 Accuracy of Information - False or misleading information can cause


disqualification of the application and dismissal from employment if appointed to
the post.

 General Data Protection Regulation (GDPR) and Data Protection Act 2018 - Your
data will be stored by Jobtrain and will be used only by NHSGGC authorised staff
for the purpose of processing your job application, making recruitment decisions
and for statistical and audit purposes. It will be retained, archived, and deleted in
line with the NHS Scotland retention policy and will not be passed to any third
party organisations without your permission.

If you are unable to complete online application forms due to for example a disability,
please contact the NHS Greater Glasgow and Clyde Recruitment Team to discuss
your requirements.

submit, you will not be able to edit any details or make changes.

PRE-EMPLOYMENT CHECK STAGE


If you are invited for interview and are successful in being offered a job, after your
interview you will receive via the Jobtrain system what is referred to as a Conditional
Offer of Employment. At this stage you are the Preferred Candidate. Please note
you should not hand in your notice to your current employer at this stage.

The standard pre-employment checks cover the following aspects:

 A 2nd Stage Application Declaration


 An Identity Check Document verification appointment, in person, at the NHSGGC
Recruitment Department. This will also include a Right to Work in the UK check. Our
Recruitment team will advise on the arrangements for this stage.
 Qualifications & Professional Registration/Membership of NHS Regulatory Bodies
check if applicable
 Reference Checks
 Occupational Health Check
 Disclosure Scotland Protecting Vulnerable Members (PVG) membership &
Disclosure check , and if applicable, evidence of Overseas Criminal Record check
 Driving licence, only if required for the purpose of carrying out the duties of the job

RIGHT TO WORK IN THE UNITED KINGDOM


A right to work check is carried out for all successful candidates to determine whether
an individual has the legal right and permission to work in the UK. Anyone who is a
Non-British and non-Irish will need permission from UK Visas and Immigration (UKVI)
to work in the UK and may also need entry clearance before travelling here. The UK
Home Office Visa and Immigration governs the way individuals from outside the UK
and Republic of Ireland right to work, train, or study in the UK.

UK Visa and Immigration: Certificate of Sponsorship

Applications from job seekers who require current Skilled Worker or Health and Care
Visa sponsorship in the UK will be considered alongside all other applications subject to
meeting the essential criteria as detailed in the Job Description and Person Specification
for the post.

To obtain a Skilled Worker/Health and Care visa or entry clearance, you will need to
meet certain requirements and demonstrate that you have the right the work in the UK
via:
• the UK points-based immigration system
• the EU settlement scheme
• a biometric residence permit

statement was introduced in January 2021 which provides a route for both European

It applies to everyone from outside of the UK excluding Republic of Ireland passport
holders and European Union nationals who were already in the UK by 31 December

More About Pay and Conditions
When you work with NHS Greater Glasgow and Clyde, you will have access to an attractive
benefits package with training and support to expand your skills and progress your career.
For roles which demand it, we also offer pay enhancements on top of your basic salary for
out-of-hours, shift and overtime working.
Our generous holiday entitlement is 27 days per year, rising to 29 days after five years’
service and 33 days after 10 years’ service, plus eight public holidays. If you join us from
within the NHS, your accrued leave entitlement can be transferred to your new role within
NHS Greater Glasgow and Clyde (NHSGGC)
We also offer comprehensive maternity, paternity and adoption leave schemes with benefits
in excess of the statutory schemes.

from time to time, emergency leave may be required.

Additional Information About the Benefits
Pay
NHSGGC is a Living Wage employer and, as such, this means the lowest available
Agenda for Change salary scale translates into an hourly rate, which is considerably above
the Scottish Living Wage rate.
• Agenda for Change is the NHS pay system for all staff directly employed by NHSGGC
(with the exception of some very Senior Managers, Doctors, and Dentists). The current
Agenda for Change salary scales can be viewed at the NHS Scotland Management
Steering Group website.
• The salary scales for medical and dental professionals (including Consultants, Junior
Doctors, the Scottish Public Dental Service, Specialty Doctors and Associate Specialists)
can be viewed at the NHS Scotland Management Steering Group website.
• The salary scales for very senior managers (including executive directors and
seniormanagement) can be viewed on the NHS Scotland Publications library.

Pensions
The NHS Scotland Pension Scheme provides NHSGGC staff with a high-quality pension
scheme that offers defined benefits at retirement and protection for your dependents based
on your career average earnings.
The amount you pay towards your pension scheme depends on your ‘pensionable pay’
(which is your salary, wages, fees and any other regular payments but not any bonuses,
expenses or overtime payments).
NHSGGC contributes 20.9% of your pensionable pay into the scheme on your behalf.
Key features of the NHS Scotland Pension Scheme include:
• Benefits accrued on a Career Average Revalued Earnings (CARE) basis.
• Normal pension age the same as your State Pension Age.
• Pension accrual rate of 1/54th of pensionable earnings each year.
• Benefits for active members revalued each year using the Consumer Prices Index
(CPI) plus 1.5%.
• Benefits for preserved members increased using the CPI each year.
• Valuable death benefits for your dependents.
• Option to take part of your pension and continue working.
• Enhanced pension for working longer than normal pension age.
• Option to purchase additional pension.
• Option to buy out the actuarial reduction if retiring from age 65 and before state
pension age.
• Option to take up to 25% of pension pot as a tax-free lump sum.

Staff are welcome to opt-out of the NHS Scotland Pension Scheme at any time. Staff are also
welcome to contribute to an alternative pension provider if this is preferable.

Annual Leave
Employees of NHSGGC are entitled to a generous amount of annual leave, surpassing the
statutory entitlements.
Agenda for Change
The annual leave entitlement for employees on the Agenda for Change pay system ranges
depending on the length of service within the National Health Service.
• On appointment, employees will be entitled to 27 days annual leave and an additional
8 days Public Holiday.
• After 5 years NHS service, employees will be entitled to 29 days annual leave and an
additional 8 days Public Holiday.
• After 10 years NHS service, employees will be entitled to 33 days annual leave and an
additional 8 days Public Holiday.

Medical and Dental
Medical and Dental employees are entitled to annual leave ranging from 5.6 weeks to 6.6
weeks, plus an additional 8 days Public Holiday.
Travel
The NHSGGC Travel Plan Office provides initiatives that makes it cheaper, easier and more
environmentally sustainable for staff to travel to and from their place of work and between
sites. These benefits include:
• Public Transport – annual ticket loan schemes

NHS Credit Union


Like all credit unions, the NHS Credit Union is a financial co-operative, owned and controlled

Discounted gym membership
NHSGGC have teamed up with neighbouring local authority leisure providers to offer staff the
chance to sign up to discounted leisure memberships.
The scheme works by NHSGGC paying the annual membership fee, entitling staff to a 12
months membership. Staff sign a salary mandate form and the payments are deducted on a
monthly basis from salary for a period of 12 months.

Staff Flu Vaccination Programme


All NHSGGC healthcare workers are eligible for an annual flu vaccination. Social care
workers and independent contractors (GP, dental and optometry practices, community
pharmacists and their staff) who regularly deliver direct personal care and/or treatment are
eligible for flu vaccination. This includes housing support workers and personal assistants.
The vaccinations are arranged via the NHSGGC Occupational Health Service.
Volunteering
As well as fulfilling a rewarding career within NHSGGC, there are opportunities for you to
help Grow our Great Community by supporting a range of additional programmes of work.
The NHS Scotland Global Citizenship programme aims to increase NHS Scotland’s global
health contribution by making it easier for all NHS staff to participate in global citizenship,
both here in Scotland and overseas.
The NHSGGC Health Ambassadors programme encourages people working or studying in
healthcare to volunteer one hour of their time per year to speak in schools and colleges about

Staff Bursary Scheme


The NHSGGC Staff Bursary Scheme is available to all employed staff who currently work
within NHSGGC – from any service area, discipline or grade. It’s just one of a range of
resources to support the development of our staff and your ongoing learning.
Continuing Professional Development
All employees within NHSGGC (regardless of grade, role or discipline) will benefit from an
annual personal development plan and review to support your career aspirations. The annual
review provides an opportunity to build on the regular conversations that you have with your
manager throughout the year.
All medical staff employed by NHSGGC will undertake an annual appraisal. Annual appraisal
is a contractual obligation for all Consultants and SAS doctors employed by NHS Boards in
Scotland. It is also a statutory responsibility for all Consultants, SAS doctors and Career
Grade doctors, who wish to retain a Licence to Practise, to regularly undertake appraisals in
accordance with The General Medical Council (Licence to Practise and Revalidation)
Regulations Order of Council 2012.

frameworks across NHSGGC.

The NHSGGC Library Network provides library and information services to all staff working
within NHSGGC and its partner organisations.
With nine staffed libraries across NHSGGC, we offer access to an extensive collection of
healthcare and associated resources, in print, online and on time.
