Key Terms and Definitions

Here are the key terms used in the course:

The SDS is an important component of product stewardship, occupational safety and health,
Safety Data Sheets
and spill-handling procedures. It may include instructions for the safe use and potential
(SDS)
hazards associated with a particular material or product.

Environmental,
Health, and Safety EHS implements practical aspects of environmental protection and safety at work.
(EHS)

Cover Sheet Document the accompanies the SDS with summary of info to customer.

Report Information Repository that holds all currently “released” EHS Documents (ex: Product & Vendor SDS’s).
System

Report Shipping Ability to send / distribute documents thru various methods (ex: email SDS to customer).

Key Terms and Definitions (cont’d)

Here are the key terms used in the course:

Report Shipping
A transaction that requests to distribute an EHS document (ex: SDS).
Order

Subsequent Ability to automatically re-send to customer’s those SDS’s that have had a “major” revision
Shipping when that customer already received a prior version within the last 12 months.

SD_CALL Automatic report shipping of SDS triggered by delivery.

SUB_CALL Automatic report shipping of SDS for a “major” revision.

MAN_CALL /
Manual report shipping of SDS.
PRT_CALL

Key Terms and Definitions (cont’d)

Here are the key terms used in the course:

Final Report Generated SDS that contains all info needed for use including the product name.

Raw Report Generated SDS that does not have the final info such as the product name.

2
Introduction to Product Safety Process

EHS product safety is a business process that supports:

Authoring Safety Data Sheets (SDS)

Automatic or manual shipping of SDS to the customers via e-mail, fax, or

print, and post

Subsequent shipping or sending of SDS to fulfill regulatory requirements

Safety Data Sheet
Management

The relationship between Product Safety and Substance Volume Tracking (SVT) is described below.

Basic Data Tools Substance Volume Tracking

• A material is marked as SVT relevant in the Material • When a document is created (production, import, and
Master, and is assigned to a Real Substance export scenarios) with a SVT relevant material, the
system checks the composition of the real substance
• A Real Substance is a combination of Pure
to which the material is assigned
Substances
• There are 3 types of compositions available:
• Only those Pure Substances which are associated with o Legal Composition
environmental consequences or legal issues, have to o Standard Composition
be tracked
o Custom SVT
• For these kinds of Pure Substances, Company • The system checks the Legal Composition of the
Registration data and regulation data is maintained in material by default
the Specification database • Calculations are done by the system and quantity data
• Company Registration details comprises of: of the Pure Substance is matched with the threshold
requirements and prescribed regulatory content
o License to produce the Pure Substance • The cumulative value is tracked and warning
o Threshold quantity messages are shared till the threshold quantity level is
reached
o Region specific regulations • If the threshold quantity level of the Pure Substance is
attained, the system will block the document

Safety Data Sheet
Management

The relationship between Product Safety and Safety Data Sheet (SDS) Management is described below.

Basic Data Tools Safety Data Sheet Management

• A material is marked as Dangerous Goods (DG) which • When a delivery is created for a DG material an output
is maintained in the Material Master is triggered
• A material is assigned to a Real Substance which has • For that particular material, the Generation Variant and
its own properties languages are retrieved by the system based on
country and language in Ship-to-Party
• CG02 t-code is used to create a report for a particular
Generation Variant or language, for the Real • The report is selected and sent to the customer
Substance depending on the communication method stored in the
customer database
• The report must be released in the system in order to
ship the SDS • All the data printed in the SDS originates from the
property data of the Real Substance, for which report
was created and released

Key Process Changes and Benefits

Here are the key changes and their impact / benefits on the course:

• The phrase manager will create and edit phrases • Better control of required phrases/ translations
• Quarterly SERC updates for templates, phrases,
expert rules will require additional testing

Roles and Responsibilities

The key roles for EHS product safety process are:

EHS – SS – Hazard Communication EHS - PSS - Dangerous Goods Safety Advisor

• Author and manage Safety Data Sheets • Identify Dangerous Goods

• Provide regulatory labels for product • Classify Dangerous Goods
shipment • Import Regulatory Data for LS_UN_SUB
• Create Dangerous Goods Data
• Evaluate Dangerous Goods Data on
Transportation Documents
• Evaluate errors that occur on Dangerous
Goods Checks
