2024 OISCA International Board of Directors Meeting


Tokyo, 9 October 2024 (Optional Tour: 10 – 11 October 2024)

Dear OISCA International Officers and Board Members,

We are pleased to inform you that OISCA Headquarters will convene the 2024 OISCA International
Board of Directors Meeting (BOD Meeting) according to the following schedule and venue. Your
participation and preparatory inputs will be highly appreciated. Please send us by 24 July 2024 the
attached attendees' forms duly filled out. Your cooperation would be highly appreciated.

Registration Time: Tuesday, 8 October 2024 (15:00 – 20:00)


Accommodation/Venue The National Olympic Memorial Youth Center, Tokyo
8 – 9 Oct. (Two Nights Stay): (Location: 3-1 Yoyogi-Kamizono-cho, Shibuya-ku, Tokyo 151-0052)
BOD Meeting: Wednesday, 9 October, 9:30-17:30
Reception: Wednesday, 9 October, 18:00-19:30

Optional Tour: Thursday, 10 October – Friday, 11 October (Saturday, 12 October Break Up)
Visits to Gekko Astronomical Observatory, founded by the OISCA Founder, Kannami, Shizuoka, and
OISCA College for Global Cooperation in Waji, Hamamatsu, Shizuoka.
Besides, OISCA HQ plans to arrange visits to some companies or institutions of OISCA supporters, in
Shizuoka.
*The Tour is to break up on the morning of Saturday, 12 October, at the Hotel (in Shizuoka Pref.), where
the participants will stay on 11 October. Locations of accommodations in and near Hamamatsu or Shizuoka
station.

Program and Agenda Items Proposed:


The HQ would like to propose the following. We would greatly appreciate if Board Members could
provide us with your ideas and suggestions specifically related to finalizing the agenda items.
(1) Message by OISCA President,
(2) OISCA International projects review,
(3) Approval of new chapters,
(4) Approval of Members of the Board for 2025-2026,
(5) Report on results of activities from October 2023 – September 2024,
(6) Report from Chapters and OB-OG Alumni Association (former OISCA trainees)
(7) Discussions on the Pacific Rim Strategic Partnership Initiative and others
Finalization of Topics of the Meeting
We would appreciate your proposals of agenda items before 30 June 2024. We will discuss the
proposals, and finalize the agenda items by the end of July.

Participation by Proxy and Observers:


If an officiated Member cannot attend the Meeting in person, their proxy officially selected by the
Chapter is most welcome to participate on their behalf. We also welcome observers, but as mentioned
below, we have a limit to the total number from a chapter. That is due mainly to the limitation of the
capacity of transportation and accommodations. The HQ secretariat is informed that some OB/OG
Alumni Associations are prominently contributing to the OISCA Movement. Over the past two years,
the Board Meetings highlighted the “ Greater Asia and the Pacific Rim Strategic Partnership
Initiative”, and we consider it imperative to involve OISCA's former trainees. So, we would like
to invite leaders of the Alumni Association.

Limitation to the Number of Participants representing National or Regional Chapters*


(*India has two regional chapters, OISCA North India and OISCA South India. Other countries have
national chapters)
The number of participants from each national or regional Chapter shall be a maximum of five
persons in principle, including board members, proxy(ies), and observers.
(This limitation does not apply to OISCA International officers such as vice presidents and deputy
secretary-generals. As mentioned above, the HQ also wants to invite some ex-trainees/ resource
persons separately who we expect to introduce their ideas and results of activities for the benefit of the
Board. The limitation does not apply to those resource persons).

Schedule:
Date Activity
Tue. 8 October (15:00-20:00) Registration Period

We expect each participant to arrive at the National Olympic Memorial


Youth Center, 3-1 Yoyogi-Kamizono-cho, Shibuya-ku, Tokyo, between
15:00 and 20:00 on Tuesday, 8 October. If a participant expects to reach the
Center later than the designated registration period, 15:00 - 20:00, they are
kindly to advise the Secretariat beforehand.

Wed. 9 October (7:30-8:30) Breakfast at a Restaurant in Olympic Center
(9:00 a.m.). Opens the International Conference Room
(9:30-17:30). Board of Directors Meeting Program
(18:00-19:30) Exchange Dinner Party
Chapters are asked to make presentations or give performances like speeches
or cultural performances (5 min by each Chapter.)

Registration fee:

250 US Dollars per person for participation in the Board of Directors Meeting

For your convenience, each participant, including officers, members of the Board, their proxy(ies),
and observers, is kindly requested to pay the registration fee in cash upon arrival at the
venue/accommodations (National Olympic Memorial Youth Center) on 8 October. This payment
will cover the expenses of your accommodation (8 and 9 October’s night), meals (three meals on 9
October and breakfast on 10 October), and part of the expenses incurred in the Board Meeting from
8 October through the check out time on 10 October. Please note, these payments will not cover
medical costs or premiums of medical insurance.

(If a participant arranges their accommodation outside the National Olympic Memorial Youth
Center, the registration fee will be 150 US Dollars per person. In that case, the participant must
arrange transportation during the events.)

Expenses for the Optional Tour

250 – 350 US Dollars per person. The actual expenses vary depending on the number of
participants, locations of visits, accommodations, and others. We will inform you about the exact
amount in August 2024.

We greatly appreciate your attention and understanding. We are eagerly looking forward to
