The Planning Process Group is a critical phase in the Project Management lifecycle,

focusing on defining and refining objectives, and determining the course of action required to
achieve those objectives. This phase involves detailed planning to create a comprehensive
project management plan, which guides the execution, monitoring, and control of the project.

Key Processes in the Planning Process Group

1. Develop Project Management Plan:

o Purpose: To create a detailed plan that integrates and consolidates all
subsidiary plans and baselines for the project. This plan serves as the primary
guide for project execution and control.
o Key Outputs: Project Management Plan
 Integration of All Plans: Combines various management plans, such
as scope, schedule, cost, quality, resources, communication, risk,
procurement, and stakeholder management plans.
2. Plan Scope Management:
o Purpose: To define and manage all the work required to complete the project
successfully. This includes determining what is included and excluded from
the project.
o Key Outputs: Scope Management Plan, Scope Baseline
 Scope Management Plan: Describes how scope will be defined,
validated, and controlled.
 Scope Baseline: Includes the approved project scope statement, WBS,
and WBS dictionary.
3. Collect Requirements:
o Purpose: To gather and document stakeholders' needs and expectations for the
project deliverables.
o Key Outputs: Requirements Documentation, Requirements Traceability
Matrix
 Requirements Documentation: Details the project requirements,
including stakeholder needs and expectations.
 Requirements Traceability Matrix: Links requirements to project
objectives and deliverables to ensure they are met.
4. Define Scope:
o Purpose: To develop a detailed description of the project and product scope.
o Key Outputs: Project Scope Statement
 Project Scope Statement: Provides a detailed description of the
project deliverables, boundaries, and acceptance criteria.
5. Create WBS (Work Breakdown Structure):
o Purpose: To break down the project deliverables into smaller, manageable
components.
o Key Outputs: Work Breakdown Structure (WBS), WBS Dictionary
 WBS: A hierarchical decomposition of the total scope of work.
 WBS Dictionary: Provides detailed descriptions of each WBS
component.
6. Plan Schedule Management:
o Purpose: To establish policies, procedures, and documentation for planning,
developing, managing, and controlling the project schedule.
o Key Outputs: Schedule Management Plan
 Schedule Management Plan: Describes how the project schedule will
be developed, monitored, and controlled.
7. Define Activities:
o Purpose: To identify and document the specific activities that need to be
performed to produce the project deliverables.
o Key Outputs: Activity List, Activity Attributes, Milestone List
 Activity List: A detailed list of all project activities.
 Activity Attributes: Information about each activity, such as its
description, predecessor and successor relationships.
 Milestone List: Significant points or events in the project schedule.
8. Sequence Activities:
o Purpose: To determine the logical order of activities and their dependencies.
o Key Outputs: Project Schedule Network Diagrams
 Project Schedule Network Diagrams: Visual representations of the
sequence of activities and their dependencies.
9. Estimate Activity Durations:
o Purpose: To estimate the time required to complete each activity.
o Key Outputs: Duration Estimates
 Duration Estimates: An estimate of the time needed to complete each
activity, including any assumptions and constraints.
10. Develop Schedule:
o Purpose: To create a detailed project schedule based on activity sequences,
durations, resource requirements, and constraints.
o Key Outputs: Project Schedule, Schedule Baseline
 Project Schedule: A timeline of project activities and milestones.
 Schedule Baseline: The approved version of the schedule used as a
reference for measuring project performance.
11. Plan Cost Management:
o Purpose: To establish policies and procedures for managing the project's costs.
o Key Outputs: Cost Management Plan
 Cost Management Plan: Describes how costs will be estimated,
budgeted, and controlled.
12. Estimate Costs:
o Purpose: To determine the estimated costs of each project activity or
deliverable.
o Key Outputs: Cost Estimates
 Cost Estimates: An estimate of the costs associated with project
activities and resources.
13. Determine Budget:
o Purpose: To aggregate cost estimates to establish an authorized cost baseline
for measuring project performance.
o Key Outputs: Cost Baseline, Project Budget
 Cost Baseline: The approved version of the project budget used to
measure cost performance.
 Project Budget: The total cost estimate for the project, including
contingency reserves.
14. Plan Quality Management:
o Purpose: To define the quality standards and procedures for ensuring that
project deliverables meet the required quality.
o Key Outputs: Quality Management Plan
 Quality Management Plan: Describes how quality will be managed
and controlled throughout the project.
15. Plan Resource Management:
o Purpose: To define how project resources will be managed, including human
resources, materials, and equipment.
o Key Outputs: Resource Management Plan
 Resource Management Plan: Details how resources will be planned,
acquired, managed, and controlled.
16. Plan Communication Management:
o Purpose: To establish an effective communication strategy for stakeholders.
o Key Outputs: Communication Management Plan

information will be communicated, including methods, frequency, and
responsibilities.
17. Plan Risk Management:
o Purpose: To define how risks will be identified, assessed, and managed
throughout the project.
o Key Outputs: Risk Management Plan
 Risk Management Plan: Describes the processes for identifying,
analyzing, and responding to project risks.
18. Plan Procurement Management:
o Purpose: To determine what needs to be procured, how procurement will be
conducted, and how contracts will be managed.
