Paragraph formatting refers to the 1) ________________________ of the

Let’s Study and Analyze

In the previous module, you defined that Formatting text is the process
of changing the way the text appears on your document. Doing this will help
emphasize the important details in your document. It also helps to make the
text in your document attractive and well-organized. There are two ways to
format text:

1. You can use the Font commands in the Font group of the Home tab.
2. You can use the Font dialog box.

Let us continue to the next topic on paragraph formatting. Paragraph
Formatting lets you control the appearance of the individual paragraphs. For
example, you can change the alignment of text from left to center or the
spacing between lines from single to double. You can indent paragraphs,
number them, or add borders and shading to them.

Paragraph formatting is applied to an entire paragraph. All formatting


for a paragraph is stored in the paragraph mark and carried to the next
paragraph when you press the Enter key. You cannot copy paragraph formats
from paragraph to paragraph and view formats through task panes.

Paragraph formatting refers to the layout of the paragraph on the


page. It includes alignment, spacing, margins and indentation options. It can
be performed using the commands in the Paragraph group of the Home tab
or in the Layout tab.

I. PARAGRAPH FORMATTING USING THE PARAGRAPH GROUP COMMANDS

1. Paragraph Alignment

Paragraph alignment determines how the lines in a paragraph


appear in relation to the left and right margins. The margin is the blank
space between the edge of the paper and the text.

The four paragraph alignment commands, Align Left, Center,


Align Right, and Justify are found in the Paragraph group in the Home
tab.

2. Line and Paragraph Spacing

Line spacing is the amount of vertical space between lines of text


in a paragraph. Line spacing is typically based on the height of the
characters, but you can change it to a specific value. For example,
some paragraphs may be single spaced and some double-spaced.
Word’s default line spacing is 1.15.

Paragraph spacing refers to the amount of space above or below
the paragraph. Instead of pressing Enter multiple times to increase
space between paragraphs, you can set a specific amount of space
before or after paragraphs.

How to Set Line Spacing

a) Select the paragraph or you can set the line spacing first before
encoding.
b) Click Home tab then click the drop-down arrow for line and
paragraph spacing.

c) Select the line spacing options you want.

3. Inserting Page Break to Create Sections

A single page can


have several different
sections, and each
section, for example, it
can have its own
header and footer, page
orientation, formatting,
and spacing.

breaks on the Layout
tab, in the Page Setup
group, choose Breaks,
and then choose the
type of section break
you want.

When typed text


exceeds the amount of text that will fit on page, Word inserts an

amount page break. There may be times, however, when you want to
insert a page break manually. For example, you may want to keep a
heading with the paragraph below it. Word provides you with this
capability.

You can distinguish an automatic page break from a manual


page break by its appearance in the document. In Normal view, an
automatic page break appears as a dotted line. A manual page break,
on the other hand, displays the words Page Break in the middle of
dotted line.

4. Tabs

In a Word document, pressing the Tab key moves the cursor to


a fixed distance to the right. It is known as the tab stop.

When you need to create a document in which the text appears


at fixed locations across the page, you can press the Tab (abbreviation
of Tabulator) key in the keyboard to space the text. Tabs can serve
many functions in a document. For example, you can use tabs to
create a table for an office phone list.

Tab stops appear on a horizontal rule. Word allows you to set


left, center, right and decimal tab stops on the ruler in any
combination.

Tab stops are a component of paragraph formatting and,


therefore, apply to every line in a paragraph. However, each paragraph
can have a different combination of tab stops.

The following illustration represents how text appears with the


various tab settings.

A. Setting Tabs

Step 1: Type some text that you want to line up with the tab
stops. Press the Tab key only once between each
column of information you want to line up. In the
example below, three lines.

Step 2: Select a tab type using the Tab button; assume the
center tab and finally select the paragraph or
paragraphs the tabs of which you want to set. Next
click the ruler where you want the tab to appear, a
tab will appear at the ruler where you just clicked and
the selected portion of text will be adjusted in the
center.

Now select the right tab using the Tab Button and

the text at the right side. A right tab will appear at the
ruler where you just clicked and the selected portion
of the text will be right-aligned.

the tab setting. Drag the tab sign available at the ruler
to the left or right.
Step 2: A vertical line marks its position as you drag and when
you click and drag a tab, the text moves with the tab.

5. Using and Applying Styles

A style is a predefined text format using a combination of


commands such as font, color, size, or effects. Styles help you format
your text to achieve a polished and professional appearance.

Use styles to apply a set of formatting attributes automatically to


a particular word, phrase or an entire document. Here are the suggested
steps:

1. Select the text to which you want to apply a style.


2. On the Home tab, in the Styles group, click the style that you
want to apply.

Modifying Existing Style Attributes

If the formatting style that you want is not available, you can
modify an existing style and customize it to suit your needs.

You can modify existing style attributes by updating it to match


the formatting in your document.

If you have text in your document that already has a style applied
to it, you can change the formatting of that text and apply it to the style
in the Styles gallery. Here are the steps:

1. Select text in your document that has a style applied to it, such
as Heading 1.
2. Format the selected text with the new attributes that you want.
3. On the Home tab, in the Style group, right-click the style that
you want to change, and then click Update (Style Name) to
Match Selection.

Note: All text with the style that you changed will automatically change
to match the new style that you defined.

6. Indenting paragraphs

A. Creating a left indent

Indenting a paragraph refers to moving it away from the left, the


right, or both margins. This feature has many uses, including calling
attention to text and others sections in a document. Additionally, the
first line of paragraphs in many letters and documents is often
indented from the left to improve readability.

You can use the Increase Indent button on the Formatting


toolbar to indent a paragraph to the right in half-inch increments. You
can use the options available in the Paragraph dialog box to select a
different increment or a different type of indentation.

B. Indenting the first line of paragraphs

There are several ways in which you can indent a paragraph


from the left margin. For example, you can indent only the first line of
a paragraph. This type of indent is often used to begin a paragraph. It
is easy to create a first-line indent using the horizontal ruler.

The indent marker on the left of the horizontal ruler is actually


composed of two indent markers and a box. The top triangle is the
First Line Indent marker and the bottom triangle is the Hanging
Indent marker. The First Line Indent marker and the Hanging Indent
marker move independently of each other. However, you can drag the
Left Indent marker (the box) to move the First Line Indent and Hanging
Indent markers simultaneously.

C. Procedures
1. Select the paragraphs you want to indent.
2. Drag the first-line indent marker to the desired position on the
horizontal ruler.
3. Release the mouse button.

D. Creating a Right Indent

You can indent a paragraph from the right margin. You may
want to do this, for example, to make a paragraph stand out on a page.

You can indent selected text from the right margin by dragging
the right margin marker on the horizontal ruler. The right margin
marker is identical to the left margin marker, except it appears alone
at the right end of the horizontal ruler.

7. Border

Microsoft Word allows you to place a border on any or all of the


four sides of selected text, paragraphs, and pages. You can also add
different shades to the space occupied by the selected text,
paragraphs, and pages.

Steps in Adding Border to Any Text or Paragraph:

Step 1: Select the portion of text or paragraph to which you


want to add border. You can use any of the text
selection method to select the paragraph(s).

Step 2: Click the Border command to display a list of
options to put a border around the selected text or
paragraph. You can select any of the option
available by simply clicking over it.

Note: If you select the Border and Shading option available at the
bottom of the list of options as shown in the screenshot
above, this will display a Border and Shading dialog box.
This dialog box can be used to set borders and shading
around a selected portion of text or page borders.

Step 3: Try to add different borders like left, right, top or


bottom by selecting different options from the
border options.

Step 4: To delete the existing border, simply select the No
Border option from the border options.
Note: You can add a horizontal line by selecting the Horizontal
Line option from the border options. Otherwise, type ---
(three hyphens) and press ENTER. A single, light
horizontal line will be created between the left and the right
margins.
8. Shading

The following steps will help you understand how to add shades on
a selected portion of text or a paragraph(s).

Step 1: Select the text and click the Shading command drop-
down arrow to display a list of options to put a color
behind the selected text, paragraph or table cell.

Step 2: Hover your mouse over the color and this should be
applied to a paragraph or a portion of text you
selected (even without you clicking on the color).

II. PARAGRAPH FORMATTING USING THE PARAGRAPH DIALOG BOX

1. Click the Home tab.

2. Click the dialog box launcher for paragraph settings.

3. The paragraph dialog box appears. In here, you can set all paragraph
formatting like spacing, paragraph alignment, line spacing,
indentation, page breaks and tabs.

Activity 3: Hands-on

Directions: In a new Microsoft Word document, encode the essay below and
apply the following paragraph formatting:

1. Use font type Georgia size 13.


2. Make all the words “attitude” bold.
3. Indent the first lines of each paragraph.
4. Justify the paragraphs.
5. Make the paragraphs in 1.5 line spacing.
6. Apply shading (use light gray color) to the entire paragraph
7. Apply outside borders to the whole essay.

Note: Your output should look like the essay below. Be guided by the provided
rubric.

Attitude encompasses how an individual perceives and interacts with

behaviors. The saying "Attitude is everything" reflects the idea that those who
possess a positive attitude toward life are the ones who attain success.
Adopting a positive attitude can trigger transformative changes in one's life.
Our aspirations and dreams drive us forward, but they lack substance
without a positive attitude. While some individuals may feel entitled to wealth
and success, their attitude alone will not lead them to triumph unless they put
in diligent effort. The way we treat others reveals our upbringing and our
perceptions of others. It is crucial to treat others with the same respect and
kindness that we desire for ourselves. Anna Sewell, the author of Black Beauty,
aptly stated, "It is good people who make good places." Individuals with a
positive attitude radiate a warm and inviting atmosphere, attracting others
and fostering friendly relationships. They are reliable individuals who often
exhibit sound judgment. On the contrary, a negative attitude carries
significant risks. People generally prefer to avoid the company of individuals
who display negative personality traits such as rudeness, ingratitude, and
unruliness. Fortunately, we can improve our attitude by reshaping our thought
processes. By cultivating a belief in the greater good, we can develop a positive.

Paragraph formatting is the process of setting layout of the


paragraph on the page. It involves alignment, spacing, margins and
indentation options. Alignment refers the relative location of text to the
margins. Spacing refers to the distance between lines above, below, or within
a paragraph.

Glossary

Border specifies the borderline displayed to the right of the page around
the paragraph, regardless of the paragraph direction. The border spans the
length of the top or between border at the top and the bottom or between
border at the bottom.

Line and paragraph spacing is the spacing between each line of the
paragraph.

Page break is a marker in an electronic document that tells the


document you that the content which follows is part of a new page.

Paragraph is a distinct section of a piece of writing, usually dealing with


a single theme and indicated by a new line, indentation, or numbering.

Paragraph alignment is the process in which text is lined up against


the margins of the page.

Paragraph formatting is a process of organizing and arranging texts in


a document that uses alignment, bullets & numbering, spacing, and
indentation commands to make documents presentable.

Paragraph indentation is a blank space between a margin and the


beginning of a line of text. Standard paragraph indentation is about five
spaces or one-quarter to one-half of an inch, depending on which style used.

Ribbon is a command bar that organizes a program’s features into a


series of tabs at the top of a screen.

Shading changes the color behind the selected text, paragraph, or table
cell.

Style is a predefined text format using a combination of commands


such as font, color, size, or effects. Style helps you to format your texts to
achieve polished and professional appearance.

Tab is a term used for aligning text in a word processor by moving the
cursor to a predefined position and usually accomplished with help of the tab
key or options provided in the word processor.
