What is a report and
why do we write a progress report?
❑ A short report is a formal document written to inform a specific
audience about a certain subject or project. Such type of work is
used in business, journalism, science and even university
assignment.

❑ Once you have written a successful proposal and have secured the
resources to do a project, you are expected to update the client on
the progress of that project. This updating is usually handled by
progress reports, which can take many forms: memos, letters,
short reports, formal reports, or presentations.

❑ Short reports is our focus.

progress report?
Any Report must have these:

❑ Organization—to organize your report, include :

1. Identification lines
2. Main Headings which are:
✔ Introduction
✔ Discussion
✔ Conclusion/Recommendation

❑ Under each main heading, there are


Subheadings or subsections which differ from
one report to another .

✔ To (the audience) full name + title
✔ From (The Sender) full name + title
✔ Subject the topic (Type of Report) and a focus

What do we write in the introduction?
Introduction:
❑ Purpose—why you are writing and what you are writing about
❑ Dates—Time period covered
❑ Personnel— people involved in the project ( the department who is
responsible for the project)
❑ Project Phase — Which phase the project is in?
❑ The project plans — List the work accomplished, work remaining just
like the book sample. (not detailed)

NOTE:
The introduction is written in a form of a paragraph

Introduction Example:

This report responds to your request on the progress of XYZ project, starting
date is 12th of December. Expected date of submission is at 3rd of March. The
department responsible for the project is Civil department. The project is in phase
1/ 2 / 3. The project plan includes the following:
1. These include carpeting, new furniture, walls moved to create larger
cubicles, the construction of conference rooms, cafeteria and fitness center, health
clinic and lightening.
2. Parking lot, exterior landscaping, a child care center, and handicapped
accessibility.
Second main heading is the Discussion.

What do we write in the discussion?

To complete our project, we need to accomplish the

but also to show the reader/manager where you will need
help to complete the project.

Sample Report Question 1
Your company is renovating its home office. Many changes
have occurred. These include carpeting, new furniture, walls
moved to create larger cubicles, the construction of conference
rooms, cafeteria and fitness center, health clinic and lightening.
Other things are still in progress, such as parking lot, exterior
landscaping, and a child care center,. The supervisor wants to know
when these things will be concluded. You need to write a progress
report to quantify what has occurred, what work is remaining, and
when work will be finished.

Practice Question 2
You work for a famous Construction Company. Your company is
building a new compound now. Your job is to supervise work on the site.
The deadline for finishing the project is arriving. You need to write a
progress report to your boss to inform him with the current situation and
if you are meeting the deadline or not. When are you finishing and what
problems you have. Your report should include the accomplished and
non-accomplished work in these areas (finished and unfinished housing
units-public utilities e.g. electricity and gas supply-public services e.g.
schools ,hospitals, sporting clubs and shopping malls-parking lots- roads
and pavements)
