QUESTION.
Discuss five disadvantages of open office and five disadvantages of closed office.
What is an office? Office can be defined as any
place where records are prepared, for future reference and making them available as and when required.
According to J.C.Denyer."Defined, office as any place where clerical operations are carried out". In other
words office means a place where the clerical work is done. But todays the word office is used in broader
sense . It refers to various functions performed by a certain group of people.

What is office management?


Office management peepers plans for an office of business enterprise in order to achieve pre-determined
objectives by using the efforts of personnel appropriate machines equipment, the cost method of office
work and by proving the most suitable environment. Office management
means the method of controlling an office so as to enable to achieve a given aim.

Functions of an office. -Receiving information :


Information come through letters , telephones, telex,telegrams, invoices , E-mail ,fax, and verbal.
-Recording Information : The office records information so that the information can be available to the
management for references whenever they are required e.g. Account records, Customer Order ,Any
correspondence . -Arranging Information :
Information is arranged in the office in the order or manner they will be readily available i.e filing systems,
reports. -Giving out information: Either verbally or in writing.gives out to the propriate
person's inside or outside. -Safeguarding Assets: Keeping
records of office's valuable property, cash and other vital records e.g . contacts, momorandam of
association.

Open office. Open office the place where


the staff and equipment of all the department are accommodated in a single room.Each department or
section or division of the office is allocated a specific space under the same roof.e.g bank.

Disadvantages of open office. Open office has the following


disadvantages. -Lack of secrecy.
Office sfaffs are performing their work without any privacy . Therefore open office is not suitable if the
secrecy of work is required . -No concentration.
According statical work and policy decision are some of the work which requires concentration of mind .
Besides visitors of an office are also disturbed and movement of staff is also affected in an open office.
-Low morale. Apparent regimentation,
no individuality reduced sense of belonging ness and loss of status to senior staff are responsible for low
morale among the office employees. -
Unhealthy . A large open office is
objected from health point of view. The infectious diseases are easily passed on to any body and there is
insufficient ventilation are the main two frequent complaints against open office. According to G.Mills and
O.Standingford "many people do not like working in an open office".
-Increase stress. A noise environment
is part and parcel of the open office layout.one study found that just three hours of extra noise increased
the participants among of stress hormous.
Over time ,this can lead to heart conditions , high blood pressure, insomnia and aweaked immune system.
Closed office . A closed office is the type of
office system where by different rooms are given to various division of a department in an organization
such that each staff has his or her own office . It is the opposite of the open plan office.the closed office
can be also called a partitioned or private office.

The following are the disadvantages of the closed office. -Supervision can sometimes
be quiet difficult. This is so because workers are in their own private
offices and can a supervisor or the employer might not be able to easily know what the workers are doing
at a particular moment. The supervisor would have to move from office to office in order to properly
monitor or supervise what the workers are doing. This however is not the case in an open plan office.
-communication among staff members is not very effective of how separated workers are from one
another. -closed office can sometimes lead to workers being
unproductive as the privacy that the partitioned offices give them has the tendency of making them lazy.
-Workers can sometimes uses the privacy given to them by their private offices to engage in negative
behaviors such as engaging in office romance and other vices. These things thrive very well in closed or
partitioned offices. -Expensive to build. A closed
office layout requires more information as compered to the open office layout and thus the cost of
building it is more. The quantity of raw materials like wood or stones or electrical fitting is
more so the cost utomatically goes up . Only those offices which have the budget can afford a closed office
layout.

Conclusion. Whether an office is


designed according to an open office layout or a closed layout,the most important factor that determines
the productivity of the workers is his ability and determination to work.The employee who wants to work
can work in any environment that provided to him.so all the employees shall work for the benefit of the
company.
