1.0 Introduction

TTC Education Center is a tuition center focusing on


high school and IGCSE students seeking additional
resources for their studies. TTC Education began
operating their first branch at Klang Valley in 2000 and
has since been dedicated to ensuring that every child
in the area receives top-quality education. Now, they
have opened a total of 17 branches all over Selangor
and Kuala Lumpur.
TTC Education Center provides its students with
professional tutors who are highly skilled and
experienced in assisting students with various subjects
such as Math, English, Chemistry, and Physics. TTC
Education Center consistently review their teaching to
ensure it meets high standards, and we continually
seek out new approaches to enhance its quality even
further. For years, TTC Education Center has been
registering new students through manual communication
channels, such as phone calls and
WhatsApp messages.
1.1 Organization Background

The TTC Education Center is currently grappling with a range of organizational


challenges that stem from the absence of a systematic registration system.
This disorganization significantly hinders the ability to accurately track which
students are enrolled, maintain up-to-date contact details, monitor the status
of their payments, and manage their course choices. Without a proper
registration system, it becomes exceedingly difficult to communicate essential
information to students, such as deadlines, course offerings, and scheduling
changes, leading to communication issues that can adversely affect students'
academic planning and success. Moreover, the lack of a precise count of
enrolled students increases the risk of overbooking or underbooking classes,
which can result in logistical problems and dissatisfaction among both students
and instructors.

In the absence of automation, administrative personnel are burdened with an


inordinate amount of time spent processing registrations manually, creating
reports, and keeping track of students' progress and information. This not only
creates a manufactured workload but also reduces the efficiency of the staff,
diverting their attention from more strategic tasks. Additionally, financial
management becomes a daunting task as it is challenging to keep accurate
track of tuition payments without a robust registration system. This can lead to
financial losses and mismanagement, further straining the resources of the
center. These cumulative weaknesses underscore the critical need for TTC
Education Center to adopt a comprehensive registration and management
system to streamline operations, enhance communication, accurately manage
student enrollment and payments, and ultimately improve the overall
efficiency and effectiveness of the institution.
1.2 Problem / Issue
The TTC Education Center faces several significant problems and issues that hinder its operational
efficiency and effectiveness.

1. Disorganization

One of the primary challenges is the lack of a systematic registration system. This disorganization
makes it difficult to accurately track which students are enrolled, maintain their contact details,
monitor the status of their payments, and manage their course choices. Without this essential
system, the center struggles to keep reliable records and ensure that all necessary information is up
to date.

2. Communication Issues

Without a proper registration system, communicating crucial information to students becomes a


major issue. This includes informing students about important deadlines, available course offerings,
and any changes to scheduling. The inability to efficiently disseminate this information can lead to
confusion, missed opportunities, and dissatisfaction among students, ultimately impacting their
educational experience.

3. Overbooking or Underbooking Classes

The center also risks overbooking or underbooking classes due to the lack of precise enrollment
counts. Without accurate data on student registrations, the center cannot effectively plan class sizes
and schedules, which can result in overcrowded classrooms or underutilized resources. Both
scenarios can negatively affect the quality of education and student satisfaction.

4. Manufactured Workload for Administrative Personnel

In the absence of automation, administrative staff are required to spend an excessive amount of
time manually processing registrations, creating reports, and keeping track of student information.
This creates a manufactured workload that not only overwhelms the staff but also reduces their
productivity and ability to focus on more strategic initiatives.

5. Financial Losses

Another significant issue is the difficulty in tracking tuition payments without a robust registration
system. This can lead to financial losses, as the center may struggle to ensure all payments are
collected and recorded accurately. Mismanagement of finances can strain the center's resources and
hinder its ability to invest in improvements and expansions.
1.3 Purpose & Project Objective

The new online registration method benefits


everyone involved: teachers, staff, and
students. Students will enjoy a quicker and
simpler registration process compared to the
previous manual method.
The manual registration process is time
consuming and requires both staff and
customers to invest a lot of time and energy.
With the new online system, registration
becomes much simpler as it can be done from
anywhere, eliminating the need to travel to the
tuition center.
Additionally, the new system improves data
organization, reducing the risk of data loss
compared to manual methods. Customers can
easily modify their subscriptions online at any
time and from any location, eliminating the
need to visit the tuition center for such
changes. Overall, this new process streamlines
operations and enhances convenience for
everyone involve

Conclusion

In summary, TTC Education Center's primary problems and issues include disorganization,
communication challenges, risks of overbooking or underbooking classes, excessive manual
workload for administrative personnel, and potential financial losses. These issues highlight the
urgent need for a comprehensive registration and management system to streamline operations,
enhance communication, accurately manage student enrollment and payments, and ultimately
improve the center's overall efficiency and effectiveness.
