Academic year, 2024-2025
I. Login instructions
Step 1: Open the web browser and enter the Google
Mail (@hvnh.edu.vn) address at:
https://accounts.google.com/,
Press Enter to go to the gmail login interface.

Step 2: Log-in
- Username: Enter the email address provided by
HVNH (domain name @hvnh.edu.vn).
- Password: Enter the email password provided by
HVNH to log in to the password box (Note: the
password distinguishes upper/lower case characters,
turn off Vietnamese typing when entering/changing
the password).
-B3: Select Google meet applications to open Meet
system.

II. Using Google meets


1. Create a meeting
Step 1: Select New meeting
Step 2: Choose 1 of 3 ways to create a
classroom-If you choose to create a meeting
for later use, you will be provided with a link
to access Google meet
- Start an instant meeting
- Create a meeting for later
- Schedule in Google Calendar
Step 3: Invite student into class by either copy the link (Meet-google.com/id of the meeting) or
click into the copy icon

After sending the link to student, please approve to student to join the meeting.

2. Join a meeting: You can join the meeting either by including the meeting code or click on
the meeting invitation link
3. Meeting control: are in one place on the bottom bar of the meeting window
- Consolidated controls provide more room for participants and content.
- When you point to a control, its name appears.
- To prevent accidental hang-ups, the Leave meeting button is on the right, away from the
camera and mic buttons.
- All captions and participant tiles appear above the bottom bar.
Add people to a video meeting in progress

1. At the bottom right, click People Add people .


2. Enter the name or email address Send email.

Share joining info with people you add

1. At the bottom right, click meeting details .


2. Click Copy joining info.
3. Paste the meeting details into an email, or other app, and send.

Remove people during a video meeting

1. At the bottom right, click Show everyone .


2. Next to the participant you want to remove, click More actions .
3. Select Remove from the call.
4. On the box that opens, select one or more of the following options:
 To just remove a participant, select Remove.
 To remove and mark a participant as abusive, select Fill out an abuse report.
 To make sure a participant doesn’t rejoin the same meeting, select Block.
 Important: If you block a user, they are only blocked from the current meeting
or concurrent meetings which use the same meeting code. They can still join
other meetings you host. To allow users to rejoin a meeting they are blocked
from, they must be manually re-invited from within the meeting.

4. Share screen: will be used to share a window or everything appear on computer screen.
❖ In the bottom-right corner, select Present now.

❖ Select Your entire screen, A window, or Chrome tab. If


you present a Chrome tab, it shares that tab's audio by
default.
❖ Tip: If you are sharing audio/video mute your own
window to prevent a feedback loop.
❖ Sharing is indicated by a blue square on a tab or blue
border around a window.
❖ To present a different tab, select the tab you want to
present, click Share this tab instead. Select Share.
❖ Important: If your camera is turned on, your video is active while you're presenting.
Stop presenting
❖ In the Meet window, click Stop Presenting. In the bottom-right corner, you can also click You
are presenting Stop presenting.

View participants while simultaneously presenting screen


There are two easy options for viewing your participants at the same time you are sharing
content on your screen. These options allow you to monitor student engagement, assess their
understanding or to take questions.
❖ Open a new browser window with the content you’d like to share. Select Present on the lower
right menu bar and choose A window. Arrange the windows on your desktop so that you can see
both your participants and content.
Change your background Before a video call
❖ On the bottom right of your self view, click Change Background .

➢ To slightly blur your background, click Slightly blur your background .

➢ To completely blur your background, click the second button .

➢ To select a pre-uploaded background, click a background.

➢ To upload your own image for your background, click Add .

❖ Click Join Now.

5. Create breakout rooms: Create breakout rooms during a video meeting

1. On your computer, start a meeting.


2. At the bottom right, click Activities Breakout rooms.
 Tip: To prevent students from having the ability to create breakout
rooms, admins should reserve Meet creation privileges for faculty or staff only .
3. In the Breakout rooms creation panel, choose the number of breakout rooms. You can
create up to 100 breakout rooms in a call.
4. Call participants are distributed across the rooms. To manually move people into
different rooms, you can:
 Enter the participant’s name directly into a breakout room.
 Drag and drop a participant’s name into another breakout room.
 Click Shuffle to randomly mix up the groups.
5. At the bottom right, click Open rooms.

6. Track attendance in Google Meet

Inside a meeting:

1. From the bottom, click Host controls .


2. From the side panel that opens, toggle Attendance tracking on or off.

7. Use a whiteboard in Google Meet


Start or open a Google Jamboard while in a video call. A Jamboard is a virtual dry erase board
where you can brainstorm ideas live with others.
Important: You can only start or open a Jamboard during a Meet call if you joined the call on a
computer. Video call participants on a mobile device or tablet will get a link to a Jamboard file
and be directed to the Jamboard app.
Start or open a Jamboard in a video call
❖ In the video call at the bottom right, click More
options Whiteboard.
❖ To create a new Jamboard, click Start a new
whiteboard. To open an existing Jamboard from
your drive, shared drives, or computer, click
Choose from Drive.
Tip: The Jamboard file will open in a new tab and a
link is shared automatically via the in-call chat. Click here for more information on using
Jamboards.

8. Raise hand to start conversation.
