During the internship time, it was unavoidable to have many troubles and challenges.
Fortunately, I overcame these problems and completed the project after two months of trying
hard. Besides, I received a lot of support and enthusiastic help that make me overcome this

PART 1: COMPANY PROFILE

1.1. Historical background

1.1.1. The period of establishment

Thai Ha Trading and Service Technology Company Limited (TST Co., Ltd)
was founded on July 1, 2002, by Mr. Bui Xuan Tung, who is the current director and
legal representative of the company. The company started as a small business that
provided information technology services and other related services to customers in
Hanoi and nearby provinces. The company was established with the vision of
providing high-quality information technology services and solutions to customers in
various fields and sectors.

1.1.2. Crisis period and the change in human resources

In 2008, the company faced a major challenge due to the global financial crisis,
which affected the demand and budget of many customers. The company had to
reduce its staff by 30% and cut down some of its projects. However, the company
managed to survive the crisis by focusing on its core competencies and expanding its
customer base. The company also invested in training and developing its human
resources, especially in the areas of technical skills, communication skills, and
customer service skills. The company gradually recovered from the crisis and regained
its growth momentum.

1.2. Historical background

1.2.1. Organizational structure

The company has a simple and flexible organizational structure, which consists
of four main departments: Administration, Sales, Technical Support, and Research and
Development. The director is the head of the company and oversees the overall
operations and performance of the company. The director is assisted by the deputy
director, who is in charge of the administration department. The administration
department handles the financial, legal, and human resource matters of the company.
The sales and marketing department is responsible for finding and maintaining
customers, promoting the company’s products and services, and developing business
strategies. The technical support department provides technical assistance and
solutions to customers before and after sales. The research and development
department conducts market research and data analysis, develops new products, and
services, and improves the existing ones. The following diagram shows the

organizational structure of the company:

1.2.2. Functions and tasks of each department

 Administration Department: The administration department performs the


following functions and tasks:

o Accounting: The accounting section records and reports the financial


transactions and statements of the company, such as income, expenses,
assets, liabilities, and equity.

o Legal: The legal section handles the legal issues and contracts of the
company. This section also advises the company on the legal aspects and
implications of its business activities and decisions.
o Human Resource (HR): HR manages the recruitment, training,
development, evaluation, and compensation of the company’s
employees.

 Sales Department: The sales department performs the following functions and
tasks:

o Business Development: The business development section identifies and


pursues new business opportunities and potential customers for the
company. This section also maintains and strengthens the relationships
with the existing customers and partners of the company.

o Sales: The sales department section contacts and negotiates with


potential and existing customers. It also closes sales deals and contracts
while achieving sales targets and objectives.

o Marketing: The marketing section plans and executes the marketing


campaigns and activities of the company, such as advertising, branding,
and public relations. The department also conducts market research and
analysis to understand the needs and preferences of the customers and
the market.

 Technical Support department: The technical support department performs the


following functions and tasks:

o Customer Service: The customer service section provides customer


support and satisfaction before and after sales. This section also handles
the inquiries, complaints, and feedback of the customers.

o Technical Solutions: The technical solutions section provides technical


assistance and solutions to the customers according to their requirements
and specifications.

 Research and Development department: The research and development


department performs the following functions and tasks:
o Market Research and Data Analysis: The market research and data
analysis section conducts market research and data analysis to collect
and process the relevant information and data, then provides insights and
recommendations to the company based on the results.

o Product and Service Development and Improvement: The product and


service development and improvement section develop new products and
services and improves the existing ones for the company. It also tests and
evaluates the quality and performance of the products and services of the
company.

1.3. Products and services

1.3.1. Products and services provided by the business

The company provides a wide range of information technology products and


services to customers in various fields and sectors, such as education, health, finance,
tourism, and government. The company’s products and services include:

 Hardware and software systems: The company designs, develops, and delivers
hardware and software systems that are customized and integrated to meet the
specific needs and objectives of the customers. The company’s hardware and
software systems include:

o Computer systems: The company provides computer systems that are


suitable for different purposes and functions, such as desktops, laptops,
tablets, and servers.

o Network systems: The company provides network systems that are


secure and reliable, such as routers, switches, firewalls, and wireless
access points.

o Security systems: The company provides security systems that are


effective and efficient, such as antivirus, anti-malware, anti-spam, and
encryption software.
o Database systems: The company provides database systems that are fast
and scalable, such as MySQL, Oracle, and MongoDB.

o Application software: The company provides application software that is


functional and innovative, such as Microsoft Office, Adobe Photoshop,
and AutoCAD.

 Information technology services: The company offers information technology


services that are professional and comprehensive, such as:

o Consultancy: The company provides consultancy services that are based


on the analysis and evaluation of the customers’ needs and expectations.

o Installation: The company provides installation services that are based on


the installation and configuration of the hardware and software systems
and products for the customers.

o Maintenance: The company provides maintenance services that are


based on the regular and periodic maintenance and update of the
hardware and software systems and products for the customers.

1.3.2. Business results

The company achieved remarkable business results in the last 1 year, despite
the challenges and uncertainties caused by the COVID-19 pandemic. The company’s
performance in 2022 can be summarized as follows:

 Revenue: The company’s revenue increased by 15% compared to 2021. The


company’s revenue growth was mainly driven by the increase in the number
and value of the contracts and projects with the customers, especially in the
sectors of education and health.

 Profit: The company’s profit increased by 20% compared to 2021. The


company’s profit growth was mainly attributed to the improvement in the
efficiency and productivity of the company’s operations and processes, as well
as the reduction in the costs and expenses of the company.
 Customer satisfaction: The company’s customer satisfaction rate increased by
10% compared to 2021, reaching 90%. The company’s customer satisfaction
rate was mainly influenced by the enhancement in the quality and reliability of
the company’s products and services, as well as the responsiveness and
professionalism of the company’s staff and personnel.

 Employee retention: The company’s employee retention rate increased by 5%


compared to 2021, reaching 95%. The company’s employee retention rate was
mainly affected by the development and implementation of the human resource
policies and programs of the company, such as performance appraisal,
employee benefits, and career development.
PART 2: INTERNSHIP ACTIVITIES

During the internship period, I was assigned to work as a sales intern in the
Sales Department of TST Co., Ltd. My main tasks were to support the development
and implementation of business strategies through market research and data analysis,
support customer file management, support finding and maintaining potential
customers and expanding the network, and support customers before and after sales to
optimize service experience. I also performed some other tasks such as photocopying,
printing, sorting documents, and translating documents. The following sections
describe the tasks and activities that I undertook during the internship.

2.1. Support the development and implementation of business strategies

One of the main tasks that I performed during the internship was to support the
development and implementation of business strategies through market research and
data analysis. This task involved conducting market research and data analysis to
identify the needs and preferences of customers, the trends and opportunities in the
information technology market, the strengths and weaknesses of the company and its
competitors, and the best ways to promote the company’s products and services.
Particularly, the task entailed the following steps:

Step 1: Identify the objectives and scope of the market research and data
analysis. For example, the objectives could be to understand the customer needs and
preferences, to assess the market size and potential, to evaluate the competitors and
their strategies, to identify the opportunities and threats, and to formulate
recommendations and action plans.

Step 2: Collect the relevant information and data from various sources, such as
online databases, websites, reports, surveys, interviews, and observations. For
example, I used the online databases of the General Statistics Office of Vietnam, the
Ministry of Information and Communications, and the Vietnam E-commerce
Association to collect information and data about the information technology market
in Vietnam and its trends and prospects.
Step 3: Process and analyze the information and data using various tools and
techniques, such as Excel, SPSS, and SWOT analysis. During the process, I used
Excel to organize and summarize the information and data into tables and charts, SPSS
to perform the statistical analysis and tests, and SWOT analysis to identify the
strengths, weaknesses, opportunities, and threats of the company and its products and
services.

Step 4: Present and report the findings and results of the market research and
data analysis to the relevant stakeholders, such as the director, the deputy director, the
sales and marketing manager, and the business development manager. Particularly, I
was given the opportunity to prepare a PowerPoint presentation and a written report
that highlighted the key findings and results of the market research and data analysis,
as well as the recommendations and action plans for the company to improve its
performance and competitiveness in the information technology market.

2.2. Support customer file management

Another task that I performed during the internship was to support customer file
management. This task involved managing the customer files, which contained the
information and records of the current and potential customers of the company, such as
their names, contact details, purchase history, feedback, etc. The steps are as follows:

Step 1: Create and update the customer files using the company’s CRM
(customer relationship management) system. In this task, I was directed and guided to
create and update the customer files with the information and data such as the
customer’s name, contact details, products and services purchased, payment status,
feedback, and complaints.

Step 2: Classify and categorize the customer files according to the criteria and
indicators such as the customer type, segment, value, loyalty, and satisfaction. In this
step, I classified and categorized the customer files into groups such as new customers,
existing customers, potential customers, loyal customers, and dissatisfied customers.

Step 3: Monitor and evaluate the customer files using the metrics and measures
such as the customer retention rate, the customer acquisition rate, the customer lifetime
value, the customer satisfaction rate, and the customer feedback score. I monitored and
evaluated the customer files using the metrics and measures to assess the performance
and effectiveness of the company’s customer relationship management and to identify
the areas and aspects that need improvement and enhancement.

Step 4: Share and communicate the customer files with the relevant
stakeholders, such as the sales and marketing department, the technical support
department, and the research and development department. During this task, other
interns and I were guided to share and communicate the customer files with the
relevant stakeholders to ensure coordination and collaboration among the departments
and to provide the necessary information and data for the decision-making and
problem-solving processes.

2.3. Support finding customers and expanding the network

Another task that I performed during the internship was to support finding and
maintaining potential customers and expanding the network, which aimed to increase
the sales and revenue of the company and enhance its reputation and brand awareness
in the market. This task involved the following steps:

Step 1: Identify and research the potential customers using various sources and
methods, such as online platforms, social media, referrals, events, and cold calls.
Particularly, I used online platforms such as LinkedIn, Facebook, and Zalo to identify
and research the potential customers who are interested in or need the information
technology products and services that the company provides.

Step 2: Contact and communicate with the potential customers using various
channels and tools, such as email, phone, and chat. In this step, I contacted and
communicated with the potential customers using email, phone, chat, and video call to
introduce the company and its products and services, to answer the questions and
inquiries, to address the concerns and objections, and to persuade and convince the
potential customers to buy the products and services.

Step 3: Follow up and nurture the potential customers using various strategies
and techniques, such as sending newsletters, offering discounts, providing free trials,
and requesting testimonials. This step was conducted by using various strategies and
techniques to maintain and strengthen the relationship, to increase the trust and
confidence, to create and deliver the value, and to encourage and motivate the
potential customers to buy the products and services.

Step 4: Convert and retain the potential customers using various actions and
measures, such as sending invoices, confirming orders, delivering products and
services, providing after-sales support, and requesting feedback. For example, I
converted and retained the potential customers using various actions and measures to
finalize and complete the transactions, to ensure the quality and satisfaction, to provide
the assistance and solutions, and to collect and analyze the feedback.

2.4. Support customers before and after sales to optimize service experience

The final main task that I performed during the internship was to support
customers before and after sales to optimize the service experience. This task is of
great significance as it aims to ensure their satisfaction, retention, and loyalty, and to
generate positive word-of-mouth and referrals for the company. The involved steps are
as follows:

Step 1: Understand and anticipate the customers’ needs and expectations using
various methods and tools, such as listening, questioning, observing, and empathizing.
During this step, I understood and anticipated the customer's needs and expectations
using various methods and tools to identify and clarify the problems and goals, assess
and evaluate the situations and conditions, and propose and recommend the products
and services that best suit the customer's needs and expectations.

Step 2: Provide and demonstrate the products and services using various ways
and means, such as explaining, showing, illustrating, and comparing. Particularly, I
provided pre-sales support to customers, such as demonstrating the features and
benefits of the company’s products and services, answering their questions and
concerns, and helping them choose the best solutions for their needs and goals.

Step 3: Handle and prevent customer issues and complaints using various skills
and techniques, such as apologizing, acknowledging, explaining, and compensating in
a timely and professional manner. For example, I resolved and prevented customer
issues and complaints by first apologizing and acknowledging the mistakes and errors.
Then I proceeded to explain and justify the causes and reasons. Finally, I proposed
compensating and rectifying the damages and losses of the products and services.

Step 4: Enhance and improve customer satisfaction and loyalty using various
measures and actions, such as thanking, appreciating, rewarding, and following up.
This step was carried out by using various measures and actions to thank and
appreciate the customers for choosing and buying the products and services.
Particularly, I was guided to enhance customer experience by offering customer
incentives and rewards, such as discounts, coupons, vouchers, freebies, etc. to
encourage repeat purchases and referrals. I also followed up and updated the
customers on the status and performance of the products and services.

2.5. Other tasks

Besides the main tasks, I also performed some other tasks that supported the
daily operations and activities of the company. These tasks included:

Photocopy, printing, and sorting documents: I photocopied, printed, and sorted


various documents that were related to the company’s business, such as contracts,
invoices, reports, and proposals. I used the photocopy machine, the printer, and the
paper folders to perform these tasks. I also labeled and filed the documents according
to the categories and criteria, such as customer name, product name, and date. The
particular steps that I followed in this task were: (1) Receiving and checking the
documents from the relevant departments or staff; (2) Photocopying and printing the
documents using the company’s photocopier and printer machines; (3) Sorting and
organizing the documents according to the categories, such as date, name, type, etc.;
(4) Labeling and filing the documents in the appropriate folders and cabinets; (5)
Distributing and delivering the documents to the intended recipients or destinations

Translate documents: I also translated some documents that were in English or


Vietnamese, depending on the needs and requirements of the company and the
customers. In order to save time and enhance productivity, I used online translation
tools, such as SDL Trados, Google Translate, and different online dictionary
platforms. I also checked and edited the translations for accuracy and clarity, using the
grammar checkers. The particular steps that I followed in this task were (1) Receiving
and checking the documents from the sales and marketing department or line manager;
(2) Translating the documents using my own language skills and knowledge, and using
online tools and dictionaries as references; (3) Proofreading and editing the translated
documents to ensure accuracy, clarity, and consistency; (4) Formatting and designing
the translated documents to match the original documents; (5) Submitting and
presenting the translated documents to the sales and marketing department or manager
for approval and feedback.
PART 3: SELF-EVALUATION

3.1. Strengths

One of the strengths that I demonstrated during the internship was my ability to
conduct market research and data analysis. I was able to collect, process, analyze, and
present the relevant information and data for the company’s business strategies. My
proficiency extended to processing and analyzing the collected data. Leveraging tools
such as Excel, SPSS, and SWOT analysis, I organized data into comprehensible tables
and charts. Furthermore, I effectively communicated the findings and results of market
research and data analysis to relevant stakeholders. This included preparing a detailed
PowerPoint presentation and a written report. This experience not only showcased my
analytical abilities but also honed my presentation skills, ensuring that complex data
was conveyed in a clear and accessible manner. My strength in market research and
data analysis lies not only in technical skills but also in the ability to strategically
interpret and communicate insights. This proficiency played a pivotal role in shaping
the company's strategies and contributed to its success in a challenging market
environment.

A second strength that I exhibited during the internship was my problem-


solving and critical-thinking skills. I was able to identify and resolve various issues
and challenges that I encountered during the internship. For example, during the
internship, I faced some technical difficulties and errors when installing and
configuring the products and services for the customers; however, I did manage to
troubleshoot and fix the problems using my technical knowledge and skills, as well as
the great assistance and guidance from the technical support department. I also faced
some customer complaints and dissatisfaction when the products and services did not
meet their expectations or requirements. Yet, I was able to handle and prevent
customer issues and complaints using various skills and techniques, such as
apologizing, acknowledging, explaining, and compensating. I also followed up and
communicated with the customers to ensure their satisfaction and loyalty. My ability
to think critically and propose effective solutions under pressure proved valuable in
various situations. As a result, I received positive feedback and recognition from the
technical support department and the sales and marketing department for my problem-
solving and critical thinking skills.

Another strength that became apparent during my internship was my ability to


work effectively within a team. I embraced teamwork, collaborated with colleagues,
and adhered to assigned tasks and schedules. The detailed Excel table used for task
assignment facilitated transparent communication within the team, enabling efficient
tracking of the working schedule. This experience enhanced my discipline and
responsibility, contributing to the overall success of the team's projects. Additionally, I
demonstrated self-motivation and initiative throughout the internship. Despite
encountering a professional setting for the first time, I proactively sought opportunities
to practice research and data analysis, expanding my skill set beyond assigned
responsibilities. This proactive approach allowed me to gain practical experience and
build a network with experienced professionals in the field.

3.2. Weaknesses

While I am proud of my achievements, I also recognize areas for improvement.


One of the weaknesses that I recognized during the internship was my public speaking
and presentation skills. While I was comfortable communicating one-on-one and in
small groups, I felt less confident presenting to larger audiences. I sometimes
experienced nervousness and lacked clarity in my delivery during formal
presentations. In an attempt to address this weakness, I sought opportunities to practice
public speaking through classroom courses at school and workshops or volunteering
for presentations within the company. Furthermore, when it comes to the value of the
company's products and services, I felt less comfortable negotiating with customers on
price or terms. As a result, I believe that further training and role-playing exercises
could help me develop my negotiation skills and feel more confident in securing
favourable deals for the company.

Another weakness that I recognized during the internship was my time


management and organizational skills. I was not very good at managing and
organizing my time for the internship. I sometimes struggled to balance and prioritize
multiple tasks and deadlines during the internship, despite being assigned clear tasks
within a particular timeline. Particularly, I had to conduct market research and data
analysis, manage customer files, find and maintain potential customers, support
customers before and after sales, photocopy, print, sort, and translate documents, and
prepare and present reports and proposals. Limited exposure to multiple new tasks and
lack of experience caused me to feel overwhelmed and become stressed when
encountering large workloads and being under great pressure. As a result, I sometimes
missed or delayed some tasks and deadlines, which affected the quality and efficiency
of my work. Therefore, for further improvement, I could utilize time management
tools and techniques, prioritize tasks effectively, and seek guidance from colleagues or
supervisors when needed.

I also recognized a tendency to be passive in seeking feedback and guidance. I


tended to be less assertive in asking for clarification or guidance in areas where I
lacked knowledge or experience. For example, when confronted with new technical
challenges, I sometimes hesitated to proactively seek assistance from the technical
support department, relying more on my own problem-solving skills. Besides, during
formal feedback sessions or team discussions, I often took a more reserved approach.
Instead of actively seeking feedback on specific aspects of my performance, I
sometimes waited for others to initiate the conversation. This passive stance might
have hindered the depth and specificity of the feedback I received. Moving forward, I
am committed to adopting a more proactive stance in seeking feedback. This involves
actively identifying areas where feedback could contribute to my growth, whether in
technical skills, negotiation strategies, or overall professional development.
Additionally, I plan to schedule regular feedback sessions with colleagues and
supervisors to create structured opportunities for continuous improvement.

3.3. Lessons learned

There is a saying, “Practice without theory is blind. Theory without practice is


sterile”. What I have learned at Thang Long University is not merely theory-based but
also genuine and practical, since most of the time, we are given chances to practice.
All the English language courses that I have taken lately are well implemented through
the internship. To illustrate, we have been taught a lot about how to use language
properly or how to not only apply the techniques but also to blow our senses and
feelings into the writing. And since we are English majors and are most likely to work
in multinational cooperation, we all have to possess a good command of both source
and target languages. Therefore, in addition to the courses relating to our
specialization, we are also given chances to be proficient in both English and our
mother tongue before stepping into the real working zone.

This internship is an opportunity to test what I have learned at school. It


provides me with experiences, lessons, and the tools I will need to get a full-time gig
in the future. Being a sales intern, I was also given a chance to practice research and
data analysis for the information technology industry. Therefore, my research skills
have become well-versed more than ever. During my time working with my
colleagues as well as my supervisor, they taught me how to conduct market research
and data analysis using various tools and techniques, such as Excel, SPSS, and SWOT
analysis, as well as offered me useful feedback which helped refine my work
considerably. I also learned how to present and report the findings and results of
market research and data analysis using various formats and styles, such as
PowerPoint and written reports.

By grasping the opportunity to work with experienced seniors, I have also


learned how to achieve effective teamwork and accurate prioritization. We had been
assigned tasks in accordance with a detailed Excel table, which enabled our supervisor
as well as my teammates to keep track of the working schedule, and, as a result, forged
my discipline and responsibility. Despite working in a professional setting with lots of
experienced staff for the first time could be difficult for me to get used to, I managed
to get along well with them. As the result, I built myself a networking relationship,
which empowers me with several potential opportunities in the future.

The internship also raised my awareness of the importance of problem-solving


and critical thinking skills in the information technology field. I learned that problem-
solving and critical thinking skills are essential for identifying and resolving various
issues and challenges that may arise during the internship, such as technical difficulties
and errors, customer complaints and dissatisfaction, and workload and pressure. I also
learned how to handle and prevent customer issues and complaints using various skills
and techniques, such as apologizing, acknowledging, explaining, and compensating. I
also learned how to follow up and communicate with the customers to ensure their

During eight weeks of internship, apart from professional competence, I could


also improve my interpersonal skills. I was originally not a good communicator.
Beneath my confident exterior, lurked a mass of insecurities. I was always afraid of
carrying on a conversation with strangers, especially those who are old stagers, since
there is a fact that the longer the conversation lasts, the easier it is for my superficiality
to be exposed. However, I have come to realize that being involved in a working
affair, and meeting and interacting with different kinds of people is inevitable. Thus, I
had no choice but to fortify my courage, get rid of all of my insecurities, and be brave
to communicate with others. Thanks to the internship opportunity, I learned that
communication and interpersonal skills are essential for contacting and
communicating with potential and existing customers, introducing and demonstrating
the company’s products and services, answering and addressing questions and
concerns, persuading and convincing the customers to buy the products and services,
and building and maintaining the relationships with the customers.

Although the internship did not last long, it still gave me some valuable results
which can be beneficial in my future career development. That is to say, this internship
course helps me get access to my career and lets me understand how I will work after
graduation and make timely adjustments along with more appropriate training
strategies. The process of applying the knowledge learned at school into reality helps
me identify my strengths and weaknesses, as well as what knowledge and skills I must
equip myself to meet job needs. Admittedly, this internship course has changed my
viewpoint about how demanding the working environment requires, or how flexible I
must be when dealing with difficulties. Therefore, I think the Internship course has
become even more essential for students not because of not only its usefulness but also
its practicality.

In conclusion, the Internship is undoubtedly critical to the future job decision.


Throughout the internship, I was equipped with experience, practical knowledge, and
new skills, which probably have never been one of my endowments. The internship
course allowed me to apply what I have learned in university to a real working
professional environment, and, at the same time, helped me reinforce my perseverance
to deal with different kinds of people and situations. I yet have a long way to go, and
what I can do is learn from these precious experiences. It is also a good chance for my
reflection, to look at myself thoroughly, and to discover my weaknesses as well as my
potential when it comes to a real-life situation. The internship has changed much of
my perspective. Despite the short period of time, the internship provided me with a
variety of useful knowledge, and skills necessary for my future career. The practical
experiences gained from the internship probably marked the transition from a student
to a working person, as well as from the university to society. In summary, the world
is dealing with numerous economic issues, terrible pandemics, natural calamities, and
so on. As a result, it is a must for graduate students to continuously hone the necessary
abilities in order to be adaptable to the current environment. Accordingly, I make
every effort to continuously strengthen my ability to meet the current social
requirements. I was taught to let myself be heard and to step outside my comfort zone.
Despite having a blend of emotions, the internship was yet an unforgettable and
rewarding experience for me.
