In SAP PM, master data is used to define the objects that are required to
perform maintenance tasks.

Master Data

1. Work center- Work center is a group of people who physically

carried out the maintenance activity It also Includes information
about labor, tools, and machines. To create work center, we use T
code is IR01, IR02, IR03. (Create, change and display).

2. Functional Location- Function location represent the system area

where an equipment can be installed, and maintenance tasks are
performed. Functional location is very much important master data
for execution and recording of maintenance task. A function location
can be created using T Code IL01, IL02, IL03. (Create, change, display)

3. Equipment- Equipment represents a physical object which can be

independently maintained in the industry. Equipment is an asset that
can be moved from one place to another. Examples of equipment
can be transportation utilities, measurement devices, PC systems,
machine spare parts, etc. SAP equipment master record contains the
details regarding actual industry objects as required from the plant
maintenance perspective. To create an equipment T code is IE01,
IE02, IE03 (Create, change, display).
4. Bill of Material (BOM)- To understand it, we will consider a simple
example, BOM for a computer. Here when an assembly process is
executed for a computer, its components will be automatically made
available according to BOM. Similarly, in plant maintenance, if there
is a requirement for some components to be replaced during the
time of maintenance and they have BOMs, then such BOM will be
automatically exploded for a particular equipment or location. To
create BOM T Code is IB01, IB02, IB03, IB11, IB12, IB13 (Create,
change, display) (Equipment Bom and FL Bom).
5. Task list- Task Lists are used to plan and manage maintenance work.
Task lists help in planning, scheduling, and executing maintenance

work efficiently. T code IA01, IA05, IA11 (Gen Task List, Equipment
task list, FL task list)

6. Maintenance Plan- Maintenance Plan is used to schedule and

manage preventive maintenance tasks. It helps to ensure that
equipment and technical objects are maintained regularly to prevent
unexpected breakdowns. It can be time-based, performance-based,
Condition based.

7. Measuring Points and Counters- Measuring points and counters are

essential for monitoring the condition and performance of
equipment. They help in capturing and analyzing data to support
preventive and predictive maintenance strategies.
8. Permits- Permit ensure that all safety and regulatory precautions are
taken before performing maintenance activity.

9. Serial Numbers- Serial numbers are used to uniquely identify

individual pieces of equipment or materials. This functionality is
crucial for tracking and managing assets throughout their lifecycle.
Imagine you have a fleet of vehicles that require regular
maintenance. Each vehicle is assigned a unique serial number. This
allows you to: Track the maintenance history of each vehicle, monitor
usage and performance, Ensure timely servicing and repairs.

10. Maintenance Strategy- Maintenace strategy is used to define the

frequency and sequence of maintenance tasks. It helps in planning
and scheduling preventive maintenance activities efficiently. Imagine
you have a fleet of delivery trucks that require regular maintenance.
You can create a maintenance strategy with the following
packages: Monthly Inspection: Every 1 month. Oil Change: Every 6
months. Brake Check: Every 12 months. By assigning this strategy to
the maintenance plans for your trucks, SAP PM will automatically
schedule these tasks at the defined intervals, ensuring that your fleet
is maintained efficiently and consistently.

11. Class and Characteristics- are used to categorize and describe

technical objects such as equipment and functional locations.
Imagine you have a fleet of motors with different specifications. You
can create a class called “Motors” and define characteristics such as:

Power (kW)
Voltage (V)

Speed (RPM)

Manufacturer

Each motor in your fleet can be assigned to the “Motors” class, and you
can enter the specific values for each characteristic. This allows you to:

Search and Filter: Easily find motors based on specific attributes

(e.g., all motors with a power rating of 10 kW).

Reporting: Generate reports based on characteristic values (e.g., list

of all motors from a specific manufacturer).

Consistency: Ensure that all relevant information is captured and

organized consistently.
