CHAPTER 6 (Part 2)

SPREADSHEETS – AN INTRODUCTION

CLASS VII
1. Undo and Redo:
a. Undo – Sometimes, we need to reverse the last action. Just click Undo icon on topmost Quick
Access Toolbar.
b. Redo – Sometimes, we want to repeat an action. Just click Redo button on topmost Quick Access
Toolbar.

2. Insert Rows and Columns:


a. Insert Rows – To insert rows, steps are
i. Select the row by clicking at its position number where you want the new row to appear. e.g.
7th row.
ii. Now on the Home tab, click the Insert command.
iii. Click on its small down arrow and then click command Insert Sheet Rows.
The new row appears in you worksheet

b. To Insert Column – To insert columns, steps are


i. Select the column by clicking at its letter name, where you want the new column to appear e.g.
E.
ii. Now on the Home tab, click the Insert command.
iii. Click on its small down arrow and then click command Insert Sheet Columns.
The new columns appears in your worksheet

3. Delete Rows and Columns:


a. To delete rows, steps are
i. Select the rows you want to delete by clicking at the row number.
ii. Now on the Home tab, click the Delete command.
iii. Click on its small down arrow and then click command Delete Sheet Rows.
The selected rows are deleted from your worksheet.

b. To Delete columns, steps are


I. Select the columns you want to delete by clicking at its letter.
II. Now on the Home tab, click the Delete command.
III. Click on its small down arrow and then click command Delete Sheet Columns.
The selected columns are deleted from your worksheet.

4. Copying Data: To copy data from a source range onto a destination range using Copy and Paste
operations follow these steps:
a. Select the source range i.e. the range to be copied from.
b. Now, either click copy button on Home tab or click the right button of mouse to display the
shortcut menu wherefrom you can select copy command.
c. Now select the target range
d. Select Paste command either from Home tab or from shortcut menu.
Now the data pastes on the target range.
5. Moving Data: In move, the original data get copied at the specified new location but get deleted from
the original location. To move data onto a new location using Cut and paste operation, steps are
a. Select the source range i.e. the range to be moved.
b. Now, either click Cut button on Home tab or click the right button of mouse to display the shortcut
menu wherefrom you can select Cut command.
c. now select the target range
d. Select Paste command either from Home tab or from shortcut menu.
Now the data pastes on the target range.

6. Using Autofill Feature – A range in a worksheet can be filled with various types of values in adjacent
cells. In Autofill feature, if you drag a range's boundary in specific manner, the series gets automatically
filled. e.g. If the first three cells of range contain 1, 2, 3 the autofill will next fill values as 4, 5, 6, 7.
Autofill works this way using fill handle.

7. Fill handle – A fill handle is the small black square in the corner of the selection. When you point to the
fill handle, the pointer changes to a black cross. To copy contents to adjacent cells or to fill in a series
such as dates, days, months, drag the fill handle.

8. Filling by Dragging Fill handle (AutoFill) –


a. Copying data within a Row or Column – If you have selected one cell only and you drag the fill
handle of this single cell over a range, then the contents of this single cell get copied on to the
range covered by fill handle.

b. Extending the Series – To fill series by extending it, steps are


i. Select the first cell and enter the starting value for the series.
j. To increment the series by a specified amount, select the next cell and enter the next item in
the series.
k. Select the cells that contain the starting values.
l. Drag the fill handle over the range you want to fill.
To fill in increasing order, drag down or to the right. To fill in decreasing order, drag up or to the
left.
e.g. 1, 2, 3, 4, 5, 6, 7, 8, 9
2, 4, 6, 8, 10, 12, 14, 16
Jan, Feb, Mar, Apr, May
Sunday, Monday, Tuesday, Wednesday
