UNIT 5 : Case Studies based on TPS




 Online Admission Process –

 The online admission management system is software that enables educational


institutions to conduct student admission and enrollment procedures online.

 It manages student admission form collection, collects documents, and shortlists


candidates to complete the admission process online.

 The increasing numbers of students seeking admission in the academic institutes


(School, Colleges, and Universities) are causing tremendous pressure on the
administrative body of the institutes to manage and arrange the admission
process manually.

 It is difficult now to conduct the process accurately and in a timely manner.


Hence, the need for online admission is there.

 The goal of the 'Online Admission System is to automate the academic institute’s
admission structure and its related operation and functionality.

AIMS AND OBJECTIVES -


• Effectively and efficiently process students admission.
• Alleviate problems with the application process and record keeping.
• Enhance the university document management.
• Allow admission decisions to be made faster and more efficiently.
• Gain easy access to students record.
• Help the management in the effective distribution of information.
• Reduce queuing up of students during admission.
• Provide easy retrieval of students data.
• Alleviate computational error of student result.

 The online admission system has the following three modules : Administrator,
Applicants and the System.


1. Administrator:
 As an administrator, you can set the student enrolment & online admission
benchmark & maximize the efficiency and productivity of their educational
institution seamlessly.

o Open Admission:
You can begin the process by opening the online registration & admission
procedure link where students would be able to send online application
forms along with registration fees.

o Set up Seats :
According to different factors like, category, sports quota, religion, specially-
abled quota, etc., seats division must be there. You can manage seats division
criteria for online admission. So, the admission will be given according to seats.

o Set up Criteria:
You get the provision to predefine the eligibility criteria for online student
admission based on various factors such as marks, caste, category, religion,
specially-abled quota, etc.

o Verification :
All the uploaded scanned copies of the required documents like previous
mark-sheets, caste certificate, bonafide certificate, etc., must be verified.

o Merit List Generation:


Once you start receiving the online applications for college, school, or
university you might be administrating, you can generate a merit list by
filtering out most eligible students who fit into the admission criteria.

o Consecutive Merit List:


After the first merit list has been declared and admissions were done, if seats
are still available, the consecutive merit list will be declared for the next
rounds.

o Close the Admission:


Next step is the online verification of the student documents that are
shortlisted for admission. You can verify & scrutinize the scanned copies of
documents directly & close the admission.

2. Applicants:
The online admission management system simplifies the hassles of a student's journey
of admission to their desired college, school, or university.

o Registration & Application for Admission:


As a student, you can register & apply for online admission for college, school,
or university by login the student portal for admission by entering your
credentials.

o Document Upload:
To confirm your eligibility for admission in the desired institution, you need to
upload scanned copies of the required documents such as previous mark-
sheets, caste certificate, bonafide certificate, etc.

o Online Payment:
Along with the documents, you will need to pay nominal registration fees via
the admission system integrated with a secured payment gateway.

o Status checking in merit list: You can keep a tab on the status of your
admission application via the dashboard of the system.

o Admission Confirmation: You’ll get a notification on your portal as well as


email/SMS if you get shortlisted for admission. You will need to pay the
admission fees to confirm your admission.


3. System:

every step of the admission process.

o SMS Confirmation:
The dynamic admission management system portal offers SMS & email
integration to send an online notification whenever required. For instance, if a
student in college pays the admission fees online, he/she’ll receive e-receipt

system immediately.

o Online Payment Processing:

5. Payroll module

6. Front office module

The features are :


(1) Appointment, new registration, follow up, ward details, admission, transfer,
discharge, registration, fee structure.

7. Ward management module

The features are :


(1) Occupancy of ward/bed no, vacancy, doctor visit details, discharge summary, OT
issue to patient, ICU employee duty details, instruments allotted to ward details.

8. Clinical module

The features are :


(1) Master file which include OPD control, pre-defined prescription, manufacturer of
medicines, medicines, diagnosis, doctors, notes, etc.
(2) History and investigation, which include clinical history of patient, discharge notes,
reports, certificates, diagnoses, x-ray, clinical request to laboratory.
(3) Reports like pathology investigation, discharge certificates, clinical history,
prescription, medical summary report, OPD bill pending, IPD bill pending, medicines,
manufacture of medicines, etc.

9. Accounts module

The features are :


(1) Master file of A/C, A/C master, cash or bank set transaction series,

transaction type, purchase control etc.


(2) Voucher like cash receipt voucher, cash payment voucher, bank receipt, bank
payment, journal voucher, etc.

blood transfusion, blood discard, stock register, staff list, doctor master and
donor’s list.

 Hotel Management System –

Hotel industry is like any other industry operated on a scientific system. The main
function of the hotel is to provide :

Food and accommodation to the guests, for a price, as these are the basic needs
of a tourist / traveler.
Other subsidiary services offered by the hotel to the tourists to satisfy their needs
are such as :

 Hotel and catering have become a business like any other business with the
objective of earning maximum profits in conduct of its activities.
 The two major and important revenue producing departments of the hotel are :
(a) Food and beverages (b) Room sales department.
