1. Introduction

This manual has been designed for all those who operate with the
CashGuard Intelligent Cash Management System using the
BackOffice, model S8.

A full PDF version of the Manual is available in BackOffice, under the


Help menu.

1.1 About the BackOffice program

CashGuard is a comprehensive and easy-to-use cash management


system.

• Offers total control of cash flow.

• Considerably reduces cash differences because the risk of making


errors is minimized in an often stressful environment.

•Simplifies the alternation of employees in the processes of


change.

• Speeds up customer traffic: 6 more customers per hour in supermarkets


markets at peak times.

• Allows you to save a lot of time in cash accounting


without employee intervention because the box is always
square.
• Generates a safe and highly effective anti-theft environment.

CashGuard is integrated into the existing collection system


management program, replacing the traditional cash register.
CashGuard records the cash entered and returns the correct
change.

The BackOffice is responsible for all management tasks, periodic


maintenance and user management, which, together with the
CashGuard protection system, contributes to a cash handling
device of extraordinary security, in a work environment. calmer

Warranty
The CashGuard Systems warranty is complete for the first year on
parts and operation.

Establishment staff must be responsible for cleaning and


maintaining the CashGuard System. The periodicity of cleaning the
CashGuard System will be determined by the type of work
environment where it is located. The way to carry out cleaning
tasks and their period are reflected in chapter 4.

Configuration parameters not described in this document but


included in BackOffice should not be modified and have been
adjusted to an optimal value in terms of performance. If, despite
this, these parameters are modified, CashGuard is exempt from
all responsibility for possible lower performance of the
equipment.

1.3 Clarification of terms

1.4.1 Buttons and menus

In BackOffice you can choose to use quick icons to access different


functions. In the instructions, the icons are displayed at the top left
of the screen.

2. Daily management of the


CashGuard System

2.1 S8 Coin Recycler

The CashGuard System includes a coin recycler, where


coins are introduced, stored and dispensed in the form
of change to the customer.

The coin recycler can be aimed at the customer who, at the


time of payment, inserts the coins on his own into the upper
slot, and thus obtains the coin change. Another form of
management is carried out in the recycler oriented towards the
clerk, in this way, CashGuard reduces the risk of nickel allergy
among staff.

• The coin recycler is capable of handling up to eight coin values ​of


the same currency.

• The coin recycler includes a hopper (coin hopper) for each


denomination, which is responsible for dispensing the correct
number of coins into the container. Depending on the
denomination, it has a capacity of between 200 and 400 coins
per hopper.

• The coin recycler integrates a display that, among other


possibilities, informs about the amount entered. If necessary,
information about the number of coins in it can also be obtained
by carrying out an inventory.

2.2 Ticket
management
The CashGuard System includes a bill recycler, operated by the
employee, which inserts the bills received from the customer into the
various mouths. If necessary, change in banknotes will be dispensed.
The bill recycler contains a set of bill boxes, which, in turn, manage
one or two values, depending on the model.

• CashGuard's bill recycler is available with


four and five bill openings, which can be combined up to a
maximum of seven boxes. A maximum of 200 bills can be
stored inside each drawer.

• CashGuard is capable of handling up to 14 denominations of banknotes


of the same currency, being able to accept two denominations per box.

• CashGuard recognizes the value of the banknotes, having the


possibility of choosing total validation boxes (according to ECB
standards) or intermediate validation boxes, with the possibility of
mixing, in the same banknote recycler, total validation boxes with
intermediate validation.

• Emptying the bill recycler is done with the help of the emptying
drawer.

• The Change button (a green ring) is used when clearing CashGuard

2.3 Increase in the level of


change
This function is used when you want to increase the level of change
of bills and/or coins. To increase the coin exchange level see Quick
Coin Replenishment:

1. Enter the bills you want to exchange, which can be the same or
different denominations.

2. Press the Change button on the keypad. The most appropriate


change with the highest possible value will be dispensed.

2.4 Change control

A controlled exchange means that you can exchange a bill or coin and
determine in what value you receive the change:

1. Enter the bill or coin you want to exchange. You can only carry
out the controlled exchange of one bill or coin at a time.

2. Next insert the reference coin or bill (the value in which you want
the change).

3. Press the Change button, the change will be dispensed.

Example: Enter a 20 euro bill and then a 1 euro coin. Pressing the
Change button will dispense 21 1 euro coins.

2.5 Change optimization

In a traditional cash register, the clerk has to try to manually


balance the different values ​contained in the cash register. The flow
of values ​can vary greatly, but no value can be exhausted.

CashGuard offers the unique possibility of automatically keeping


exchange rates balanced. This function is called Adapt change to
low level, which in simplicity means that the change is dispensed
in the most abundant values.

When a value approaches the upper or lower warning limit, the


change values ​are automatically adjusted to compensate for the
corresponding excess or deficit.

The following illustration shows how the levels are adapted to each
value.

A customer buys a product for €1.10 and hands over a €5 bill. The
change (€3.90) can be distributed as follows:

An optimized change is calculated in several dimensions and is


dispensed from the stocks of the different values. The priority order
of the values ​is estimated based on the warning levels configured.

2.6 Check the amount of coins/bills

BackOffice allows you to easily check the number of bills and coins
contained in a box. Here you can check the specific number of bills
and coins for each denomination and in each CashGuard box.

There are three ways to find out the change level of a box:

A. Double-click the POS icon whose change level you want to check.

B. Right-click the POS icon whose change level you want to


check. Select View levels.

C. Click on Window and choose the point of sale whose cash


level you want to verify.

A bar will be displayed for each value, indicating its content within
the CashGuard System. The amount in figures on the right will only
appear if you have registered.

Green The level of change is within the established warning


limits with a sufficient margin.

Yellow The level of change begins to approach the defined warning


limits.

Red The level of change has exceeded or does not reach the
established warning levels. A warning will also be shown to the
clerk at the point of sale.

27 Empty

The CashGuard System integrates an emptying drawer from which


banknotes are transferred from the bill recycler to the emptying drawer.

This operation is carried out through BackOffice, within the menu


Accounting. You can choose to empty the boxes one at a time or all at
once.

2.8 Emptying the box

1. First you must detach the insertion tray and then fit the emptying
drawer.

2. To activate emptying you must press the Change button button.

2.8.1 Emptying 5-mouth recycler (5c)

The 5-mouth banknote recyclers are emptied in two steps. First, the
emptying drawer is inserted into the first four openings (those with
the lowest value), then the emptying drawer is inserted into the
opening with the highest value.

At the beginning of the emptying process, a message is shown on


the customer display at the time of moving the emptying box, to
also empty the most valuable box to finish the process.

2.8.2 Emptying the last accounted box

This function is used to empty a cash register that you have


previously posted with the Post Cash option. You can only perform a
dump of the last accounting.

1. Check that the charging program must be closed before starting


the emptying. A red light is displayed next to all BlackOffice boxes.

2. Click on Accounting/Empty last posted.

3. Select a box.

If applicable, the delay time will start counting down.

4. Go to the point of sale with the emptying drawer.

5. Detach the insertion tray. Then insert the emptying drawer into the
bill recycler.
6. Press the Change button (0) on the external keypad.

emptied.

7. The bills come out of the bill recycler and the coins come out
of the coin recycler. If an error occurs during emptying, an error
signal will be notified on the display.

8. Once emptying is complete, remove the emptying drawer from the


bill recycler.

The emptying will be completed when the text - - DONE - - CLOSED


- appears on the display. Additionally, a signal will be heard.

An emptying report will automatically print to the Management


System printer.

2.8.3 Emptying several/all boxes

If you want to empty several or all of the boxes you can use the function
Empty with empty list. This will allow the CashGuard change boxes
included in the selected emptying list to be emptied of cash.

1. Check that the charging program is closed before starting the


emptying. A red light is displayed in front of each checkout in
BackOffiice.

2. Click Accounting/Emptying with emptying list.

If applicable, the delay count will start.

3. Select a dump list by opening it.

4. Press OK. If applicable, the waiting time will count down.

If any of the checkouts have not recorded any sales, BackOffice will
automatically skip it and move on to the next one.

5. Move the emptying drawer to the box to be emptied.

6. Detach insertion tray and attach to emptying drawer on

3. Error codes

This chapter details the error codes that the CashGuard System can
generate, their possible causes and the measures that must be
taken to solve the problems. Please note the software version used.

If an error code occurs in a bill box, the light in that box will flash
red/green. If the fault is not corrected with the methods described
below:

41 Cleaning the validator

The validator should be cleaned once a month with isopropanol


applied to a piece of lint-free paper/rag.

Don't forget to turn off the power before handling the validator
(however, it must be activated when unlocking the coin recycler).

7. Press the validator discard lever and insert the cleaning stick into
the slot. Rub to clean both sides of the slot. Do not deploy the loose
part of the validator.

8. Replace the pieces following the previous steps but in reverse


order.

9. Plug the CashGuard power cable back in and refresh the box.

4.2 Cleaning coin channels

There are two coin channels at the top. These channels lead to the
coin hoppers at the bottom.

Dirt on coins can cause layers of deposit on the channels, which


increase friction and can cause coins to jam. Therefore, they
should be cleaned once a month with isopropanol applied to lint-
free paper/rag or with the swab provided in the Cleaning Kit.

1. Click on Accounting/Unlock currency exchanger

reregister the box.

An asterisk will now flash on the coin changer display.

2. Press the combination V + A + OK.

The coin changer will unlock and you can open it within 10 seconds.

3. Take out the coin boxes.

Clean by rubbing both coin channels with a piece of paper/rag


until dirt is removed. The easiest way to do this is by lifting up
a couple of coin hoppers to gain access.

5. Close the coin boxes.

4.3 Cleaning the drawers

It is advisable to periodically clean the entrance to the bill recycler


drawers because their dirt can accumulate deposit layers on the
entrance openings. Therefore, they should be cleaned once a month
with isopropanol applied to a piece of paper or with the swab
supplied with the Cleaning Kit.
