Miscommunication Issues:
The message comes in a very rude way and the tone of message is harsh and lack of
courtesy. So customer feels upset, disrespected and unclear about what specifically went wrong
Improvement:
A courteous reply would admit the customer concern and offering very helpful
guidance for the customer. For example
Thank you for reaching out. I understand your concern regarding the product warranty. Please
allow me to help you by explaining our warranty terms and feel free to reach out if there are any
other questions.
This response show respect and sympathy and can keep customer satisfaction even if their issues
are not fully resolved.
2. Completeness
Example:
A manager asks an employee to work on a report but does not specify the deadline
or details. The employee assumes that its due date in a week but manager expected it within a
two days.
Miscommunication issues:
When the report is not ready in time, the manager is frustrated and employee is
caught off the guard.
Improvement:
The manager send the request by saying:
Could you please complete the sales report by end of the day on Wednesday? Please include all
the data from past quarter and highlight any trend you may notice.
This clear instruction avoid confusion, and gives the employee all necessary information, and
sets expectations, allowing them to deliver the work as expected
By using Courtesy and Completeness in communication fosters a respectful, efficient and
cooperative environment.
