Chapter 17: Document Production

17.1 Organise Page Layout

Page Size and Orientation

Steps to Change Page Size and Orientation:

1. Open the document in your word processing software.

2. Go to Layout or Page Layout on the ribbon.

3. Click on Size and select the desired page size (e.g., A4).

4. Click on Orientation and choose either Portrait or Landscape.

Setting Margins

Steps to Adjust Margins:

1. Navigate to Layout or Page Layout.

2. Click on Margins and choose a preset option or select Custom Margins.

3. Adjust the top, bottom, left, and right margins as required.

4. For booklets, add a Gutter by selecting Gutter Position and inputting the desired width.

Page, Section, and Column Breaks

Steps to Insert Breaks:

1. Place the cursor where you want the break.

2. Go to Layout or Page Layout.

3. Click on Breaks and select the appropriate break type (e.g., Page Break, Section Break, Column

Break).

Columns
Steps to Create Columns:

1. Highlight the text that needs to be formatted into columns.

2. Go to Layout or Page Layout.

3. Click on Columns and select the number of columns (e.g., Two, Three, or More Columns for

custom settings).

4. Adjust Column Width and Spacing if needed.

5. Check Line Between to add a vertical line between columns.

17.2 Format Text

Text Alignment

Steps to Align Text:

1. Highlight the text you want to align.

2. Go to the Home tab.

3. Choose the alignment option from Align Left, Center, Align Right, or Justify.

Text Enhancements

Steps to Apply Enhancements:

1. Highlight the text you wish to modify.

2. Use the options on the Home tab to select Bold, Italic, Underline, Subscript, or Superscript.

Tabulation Settings

Steps to Set Custom Tabs:

1. Go to the Home tab and click on the Paragraph dialog box launcher (small arrow).

2. Click on Tabs at the bottom.

3. Set the Tab Stop Position, choose the alignment (e.g., Left, Center, Right, Decimal).

4. Click Set and then OK.


Creating and Editing Lists

Steps to Create Lists:

1. Go to the Home tab.

2. Click on Bullets or Numbering and choose a style.

3. Type your list items; press Enter to add new items.

- To Edit List Style: Right-click the list and select Bullets and Numbering to customize.

Find and Replace

Steps to Use Find and Replace:

1. Go to the Home tab and click on Replace or use Ctrl + H.

2. Type the word or phrase you want to find in Find what.

3. Type the replacement text in Replace with.

4. Click Find Next to locate instances or Replace All to replace all at once.

Bookmarks

Steps to Add Bookmarks:

1. Place your cursor where you want to add the bookmark.

2. Go to the Insert tab.

3. Click Bookmark, type a name, and click Add.

- To Navigate to a Bookmark: Press Ctrl + G, select Bookmark, and choose the desired one.

Hyperlinks

Steps to Insert Hyperlinks:

1. Highlight the text or select the image to hyperlink.

2. Go to the Insert tab and click on Link or Hyperlink.

3. Enter the URL or select Place in This Document to link to a bookmark.


4. Click OK.

Example Tasks

- Task 17a:

- Instructions: Change the document to A4, adjust margins, add a gutter, and print.

- Steps: Open Layout > Size > A4, then Margins > Custom Margins to set values. Add a gutter

under Multiple Pages and print via File > Print.

- Task 17b:

- Instructions: Insert a section break, add columns, and adjust margins.

- Steps: Place the cursor, go to Layout > Breaks > Section Break. Select Columns and set desired

options.

- Task 17c:

- Instructions: Format selected text with enhancements.

- Steps: Highlight text, go to Home, and select Bold, Italic, etc.

- Instructions: Set tab positions for a table.

- Steps: Open Paragraph settings, click Tabs, set positions, choose alignment, click Set, and OK.
