Individual Assignment

Objectives
• Demonstrate proficiency in MS Word features essential for translation work
• Practice document formatting and cleanup techniques
• Apply document standardization skills discussed in class

Instructions
Part 1: Document Selection/Creation (15 points)

Choose ONE of the following:

1. Find a "messy" document (minimum 1000 words) from:


o Your old assignments or notes
o A blog post or article you've copied from the web
o Any scanned and OCR-converted document
2. Create your own "messy" document by:
o Typing text with deliberate formatting mistakes
o Mixing content from different sources

Your document should have at least 8 of these problems:

• Mixed fonts (e.g., some text in Arial, some in Times New Roman)
• Mixed font sizes (e.g., some text in 12pt, some in 11pt)
• Different line spacing (e.g., some paragraphs single-spaced, others 1.5)
• Too many blank lines between paragraphs (e.g., three or four blank lines)
• Different styles of quotation marks (e.g., "like this" and "like this")
• Inconsistent bullets or numbering (e.g., some round bullets •, some dashes -)
• Random line breaks (pressing Enter in the middle of a paragraph)
• Extra spaces between words (pressing the space bar twice)
• Different margins on different pages
• Mixed formats for dates (e.g., 01/01/2024 and January 1, 2024)
Part 2: Document Cleanup (40 points)

First, turn on the paragraph marks by clicking the ¶ button in Word. This will help you see
spacing problems.

1. Fix all spacing issues:


o Find and remove double spaces between words
o Keep only one blank line between paragraphs
o Remove any manual line breaks within paragraphs
2. Standardize formatting:
o Change all text to Times New Roman, 12pt
o Set all line spacing to 1.5
o Set all margins to 2.54 cm (1 inch) on all sides
3. Fix structure:
o Make all quotation marks consistent (use Word's smart quotes)
o Make all bullet points or numbered lists use the same style
o Apply proper heading styles (Heading 1, Heading 2, etc.)

Part 3: Advanced Formatting (25 points)

1. Create and use three custom styles:


o Heading style (e.g., bold, 14pt, with space after)
o Body text style (e.g., 12pt, 1.5 spacing)
o Quote style (e.g., indented, italics)
2. Add document elements:
o Insert page numbers (bottom center)
o Create a header with your name and date
o Add a table of contents if you have headings

Part 4: Quality Check (20 points)

1. Run spell check thoroughly


2. Use Find and Replace to clean up:
o Double spaces between words
▪ Click Ctrl+H
▪ In "Find what:" press the space bar twice
▪ In "Replace with:" press the space bar once
▪ Click "Replace All"
o Extra paragraph marks (shows as ¶ in Word)
▪ Look at your document with paragraph marks showing (¶ button)
▪ Where you see multiple ¶¶¶ marks, delete the extras
▪ Keep only one ¶¶ between paragraphs (appears as one blank line)
o Spaces before punctuation
▪ Look for spaces before periods, commas, etc.
▪ The correct format is like this: word, word. (no space before , or .)
▪ Not like this: word , word .
3. Final visual check:
o Scroll through your document slowly
o Every paragraph should look the same with:
▪ Same font and size
▪ Same line spacing
▪ One blank line between paragraphs
o All headings should use the same style
o Page numbers should be correct and consistent

What to Submit
1. Your original messy document
2. Your cleaned-up final document
3. A short report (max 300 words) explaining:
o Where you got your messy document
o What problems you found
o How you fixed them
o Any tough problems and your solutions

Grading
• Finding/creating a good practice document (15%)
• How well you cleaned it up (40%)
• Using Word features correctly (25%)
• Your report (20%)

Technical Needs
• Use MS Word (2016 or newer)
• Save as .docx files
