CHAPTER ONE

INTRODUCTION

1.1 Background to the Study

The world has turned into a global village, where we can send mails electronically (e-

mail), search for information (WWW), buy goods online (e-commerce), withdraw transfer money

(e-banking), schooling online (e-learning), all of which have affected the society positively to a

great extent. Therefore, computerization of sales should not be exempted. Application of

technology in Sales has been adopted in developed countries for over two decades now, and this

has been attributed to the desire of the governments of these countries to improve the efficiency

of their goods and services, processes, accountability. Errors in recording, the calculation is less

precise, speed in service is often constrained in the Micro, Small and Medium Enterprises

(SMEs), particularly in trade or sale. There are some factors to consider and some problems to

avoid when switching from traditional cash register to a computerized POS system. POS systems

can create detailed reports that can help you make more informed business decisions and it is

more effective than cash register. POS systems saves money, provide productivity gains, and can

cut down the amount of time spent away from the primary focus of your business.

Sales is the fundamental tools in any business organization the profit and loss of any

business depends on detailed information on sales made to aid decision making and

implementations, if accountability is not checked, then the business is sure to collapse. A point of

sale inventory management system allows a business owner to have more than one business

location and adequately keep track of inventory at each without being present. No more worries

about employee theft or pricing inconsistency between one location and another. The boss can be
away and not worry about employee theft. Employee efficiency can be maintained. Point of sale

systems take care of those problems that result when management isn't present.

Ravi (2010) pointed out that manual sales systems are time consuming, it is very tedious,

lots of paper work, slow data processing, it is not user-friendly environment and it is difficult to

found records due file management system. In an early age when the most of the company are

still using the manual system in the sales and inventory most of the company encountered so many

problems and this is because of the process of the existing system is too slow and too long.

According to Morris (2010), manual inventory management system can help sales and

production managers control costs by identifying lost sales due to inventory shortages; inventory

overrides on products that are not selling; losses due to employee’s theft or damage. Implementing

an inventory management system can take a large amount of time depending on the size and

diversity of inventory. ERRORS! Beyond it being time consuming, inventory counts and incorrect

sales figures can be detrimental to your business (Juarez, 2010)

1.2 Statement of the Problem

As much as sales is important in any business, proper and efficient record keeping is of utmost

importance. Lack of proper accountability could lead to business collapse. With the aid of a point

of sales inventory management system, a business owner with multiple outlets can keep track of

inventory without being at all or any of the business locations. Also, the business owner does not

need to worry about employees or customers stealing items from the company because a

computerized and online point of sales system has taken care of that.
It is worthy of note that a company can achieve all these and more in no time unlike the manual

sales system which is time consuming, requires a lot of paper work, slows data processing, very

tedious and is not user friendly.

The problem that this research discusses is the effect of an online computerized point of sales

system has on a business that is multi-located.

1.3 Aims and Objectives

The objective of this research project is to design and implement a cloud-based

computerized point of sales software with the aim of enhancing accountability within points of

sales System in order to have a single centralized database for all branches of the organization.

i. To explore the meaning of point of sales system and its benefits over manual inventory

method.

ii. To analyze Cloud-based Computerized Point of Sales System in order to monitor

transaction in real time.

iii. To investigate the significance of a Cloud-based Computerized Point of Sales System and

know which of the company branch makes the most sales.

1.4 Significance of the Study

This study will help in enhancing a business by creating detailed reports that can help make

more informed business decisions. Small and huge businesses or companies are enforcing

inventory management systems for their organizations due to the massive intake of data that

usually disrupts the flow of manual data recording of the business. Everyone knows how hard it is

to manage a business and without the help of an automated system, everything will be difficult to
manage and searching for a specific data might be extremely lethargic for the employee since

exploring the logbook could be excruciating to filter especially when the logs are filled with many

data. With an Inventory Management System, records will be accessed easily, data intakes will

have a safe storing area and everything will be one click away. One of the important part is the

Point of Sale (POS) where-in the user could easily store the sales data, export the sales data,

product a receipt for the customer and all these can be seen by the owner wherever he or she is.

This will provide a huge ease of access for the employees in the organization as well as the

employer. The old school process of data recording is usually done through writing in a logbook

and handing out written receipts which is terrible for the organization. However, businesses of

today are implementing their own Inventory Management System for the sake of their field, it is

mainly because they need to save their time and effort in terms of filtering the data that usually

takes a lot of time and effort when exploring the logbook. This system will secure and manage the

important data of the business, reduce the massive paper works required in reporting, secure the

system with a login portion, issue billing receipts for the clients, export all required data into excel

or pdf file. The benefits and impact of the Inventory Management System is developed for the

business to fully extend their capabilities as a whole. The group that will benefit the development

of the system are as follows. (1) Clients will benefit from the system with a quick transaction from

the employee together with their billing receipt. Every action or asking for stock will be done

quickly as the user could easily filter the data’s. (2) Employees will benefit from the system as

they will achieve the ease of use in the system. Thus, allowing them to spend lesser time in

exporting data for reports, making transaction with the consumers. (3) Organization will benefit

from the system as they will have a proper flow in their sales and management, have easy access

of reports and employee logs.
