Measuring Equipment
1.0 Purpose
The purpose of this procedure is to describe the system which is followed for ensuring that all
the instruments used for inspection, measuring and controlling the parameters affecting quality
and product safety of the product and used for maintaining safe product standards are properly
selected, calibrated or verified to ensure that the equipment used is capable of required
accuracy and precision.
2.0 Scope
2.1 This procedure applies to all the inspection, measuring and test instruments used in inspection
and testing area and production area to ensure safe production practices and quality of products
and to measure process parameter for product safety.
2.2 It does not include equipment used for indication purpose only (like voltmeter, and other
instruments).
3.0 Responsibility
3.1 Head of Maintenance is responsible for the selection, procurement, calibration or verification,
and maintenance of inspection, measuring and testing equipment / instruments, which are
appropriate, accurate and precise for the intended purpose. He maintains calibration status of
instruments / equipment and all verification or calibration records and related instructions.
3.2 It is the responsibility of Functional Heads and All Employees that only calibrated or verified
equipment is used for all measurements or tests intended to demonstrate the conformance of
the product to specified requirements.
3.3 Top Management, Concerned Functional Heads and All Employees are responsible to get
all the instruments/ equipment, etc. used for inspection calibrated before the validity of the
calibration is over. They are also responsible to maintain the calibration status for the same.
4.0 Description of Activity
4.1 Equipment Selection / Specifications
4.1.1 Head of Production ensures that inspection, measuring and test instruments are used with the
required precision, accuracy, range, etc., at the various work places. If he finds anything lacking
then the same is procured with the permission of HOD / Top Management. The least count /
accuracy of instrument is decided based on our process / inspection requirements and verified
with equipment available with us.
4.1.2 Instruments used in the inspection and testing and process control are identified for the
calibration and are recorded in the Calibration Status of the Instruments (F/SYS/11).
4.2 Calibration Periodicity
4.2.1 The periodicity for calibration of the identified instruments / equipment used for demonstrating
the conformance of the product to the specific requirements in the company has already been
established and recorded in the Calibration Status of the Instruments (F/SYS/11). Identified
instruments, which have potential to influence product quality and safe product practices are
identified and recorded in the Calibration Status of the Instruments (F/SYS/11) with the details of
the frequency of calibration and method of calibration etc.

Measuring Equipment
Equipment is calibrated at regular intervals and frequency is established on the basis of stability,
purpose and usage, thereby ensuring about the capability and also about the accuracy and
precision of it.
4.3 System of Calibration of Instruments
Majority of the process and QC instruments are calibrated through Outside Calibration Lab
against certified equipment having a known valid relationship to nationally / internationally
recognized standards.
The salient features of traceability of the calibration system established and maintained are
described below:
4.3.1 All critical instruments used for inspection are included for calibration. The equipment used for
indication only (like voltmeter, etc) are not taken for calibration.
4.3.2 Head of Production has identified list of critical instruments / equipment after considering
measurement requirements, test criteria, and process / product. The calibration of only such
instruments is needed. Instruments used for indication or not relevant with our system are
uncritical and considered as indicator only and therefore do not need calibration or verification.
4.3.3 The process employed for the calibration of inspection, measuring and test equipment includes
following details:

These details are given in calibration records for each instrument which requires calibration, and
in calibration status of instrument / equipment.
4.3.4 Equipment while in use or under calibration is handled in a manner to avoid damage and to
ensure validity of the results and fitness for use. Trained persons handle the instruments to
ensure the validity of calibration.
4.3.5 In-house calibration is done as per the standard operating procedures for calibration. Where
calibration is done by outside calibration agency, the procedures used by the party responsible
for calibration is applicable and that is referenced in the reports issued. Head of Production
reviews the calibration report received from the calibration agency. Reviewer’s initial on the
reports indicates review.
4.3.6 Head of Maintenance considers the following during review of calibration reports received from
outside / prepared by In-house facilities:
 Errors noticed  Errors against acceptance criteria
 Status of instrument after calibration  Validity of masters being used for calibration
 Photocopies of calibration reports of masters to establish traceability with national /
international standard
 Systematic errors, if any
 Usability of instruments after calibration for a particular measurement or testing etc.

4.3.7 If the accuracy of the instrument is in question, irrespective of due date for calibration, the
instrument is calibrated immediately.
(a) Any unauthorized person safeguards the instruments from the adjustments. For this purpose,
Head of Production conducts surprise checks of calibration settings.
(b) Environmental conditions are suitable for calibration and inspection tasks. It is not a specific
requirement for calibration of our instruments. Effect of environmental variables like temperature,
pressure, humidity, lighting, cleanliness are controlled and taken into account during calibration
of instruments, if required for specific instrument’s calibration.
(c) If any equipment is calibrated by in-house method and calibration traceability to national /
international recognized standard is not established then in such cases equipment is inspected
and proven periodically to ensure fitness for purpose with the help of procedure suggested by
manufacturer or by in-house established SOPs. In such cases the basis of calibration is fully
documented in calibration operating procedure to ensure accuracy.
4.4 New / Repaired Instruments
All new or repaired measuring instruments received for use are calibrated before they are issued
for use, unless accompanied by a calibration certificate from the manufacturer. They are also
given a unique identification number in continuation and issued by Head of Production for use to
the concerned work area.
4.5 Identification of Calibration Status
4.5.1 The calibration status of the equipment is identified by stickers / tags or records to recall when
calibration is due.
4.5.2 Each instrument used in the company is given a unique identification number. The calibration
label can identify the calibration status of any equipment in use. A tag is affixed on the
instrument for next due date of calibration, wherever possible. Records of the calibration status
of all the equipment are also maintained. In the absence of calibration labels / tags, records are
used for calibration status. The copy of calibration status report is given to Functional Heads and
users for their ready reference. The Functional Head and all employees ensure that instruments
used by them are calibrated before due date for calibration.
4.6 Withdrawal of Equipment
4.6.1 In case of any equipment is found having systematic error nearer to the acceptance criteria or
some part of instrument not working, then a label giving information for correction factor / limited
use is affixed on the instrument. If unsystematic error or major fault is found, the instrument is
either sent for repairing or identification of withdrawal is put on it.
4.6.2 Whenever an instrument suffers a failure in calibration or it cannot be repaired, it is withdrawn
from further usage till the necessary repairs have been carried out. A notification of withdrawn is
issued and an alternative instrument may be issued, if available. A sticker is affixed on the
instrument and all employees ensure that the "withdrawn" instrument shall not be used until the
"withdrawn" notice is nullified. Concerned person considering the seriousness of problem and its
effect on an end product quality and safe product practices assesses the previous test records of
product quality and safe product practices. If required, customers are informed to take action
considering seriousness of effect on end product.

4.7 Calibration Recall Service


Based on the record of calibration status, a calibration recall service is operated by Head of
Production in which he advises the user to submit instruments of their work areas for calibration,
at least one week before the calibration validity expires.

4.8 Records
Calibration records, including measurement and accuracy data, are maintained and reviewed
with respect to measurement accuracy by the QC In-charge. It is made available for review by
client representatives or third-party inspectors. The detailed records of calibration / verification
are maintained in calibration status of instruments / equipment and in calibration record file.
