Invigilation Rules in Brief

This document briefs the essential points proctors need to consider when invigilating exams. Please read the most
updated “conduct of Examinations Booklet” available on the Google Classroom “DTRC”
• Each invigilator must give their full attention to the examination supervision. It is not permitted for an invigilator to engage in

an activity (for example, reading or marking candidates' work) other than supervising the examination. Invigilators should not be

talking during exams with each other, on the phone or with candidates; except for answering candidates' questions which should be in

a low voice and brief. Under minimal circumstances, invigilators can communicate with each other. Any conversation between

invigilators must be brief, quiet, and confined to discussing matters relating to the examination in progress.

• At least one invigilator must walk around the examination room at regular intervals, without disturbing the candidates, to

ensure that no candidate is engaging in any form of academic misconduct. Invigilators must not remain in one place for an extended

period, but when moving about the examination area, they must avoid distracting the candidates. Invigilators should avoid wearing

heels or jewellery that cause noise.

• One invigilator should be seated at the back of the room so that candidates cannot see which part of the room the invigilator

is observing.

• During the examination, the invigilator must record any events accurately. The following are examples of the type of events

that must be recorded.

o If a candidate is allowed a temporary absence (for example, to go to the bathroom or because of illness), the session

number or name of that candidate must be recorded, as well as the time when he or she left and returned to the

area. Students must be accompanied by a teacher to the bathroom. Students are not allowed to use mobiles or

communicate with anyone on their way to the bathrooms..

o If a candidate is thought to have engaged in misconduct, record the name of the candidate and the nature of the

incident.

• Do not leave candidates unsupervised at any time. For example, if an invigilator must leave the examination area, another

invigilator must supervise the candidates.

• Teachers teaching the same exam subject should not proctor exams. It is strictly forbidden that matrons proctor exams.

• Please ensure to collect from students all exam papers, data booklets and any other papers, even if scrap paper.

• Other than candidates for the examination, only the Head of school, coordinator, invigilators and authorized IB inspectors are

allowed into the examination hall. No other person should be given access except in an emergency or with authorization from the

Assessment Division, IB Global Centre, Cardiff.

• Invigilators must ensure that the minimum distance of 1.5~2 meters between desks is kept throughout the exam period.

Invigilators should not allow students to move the desks.

• Students must bring their stationery and bottle of water to the exam. They are not allowed to eat in the examination room.

• Students are not allowed to borrow stationery from each other. In addition, the school or school staff will not provide them

with stationery.

• Invigilators will ensure that students enter one by one to the examination area and will start by being seated at the back.

• Students are not allowed to take into the examination area: bags, books, mobiles, lucky charms or alike, food and pencil

cases (transparent pencil cases that show what is inside the case is fine).

• It is imperative to ensure that students are not wearing smart watches or air pods.

• Please remind students when leaving the examination hall to immediately leave the school premises after the exam if there

are no further exams for the day.

• Please remember that once the students enter the examination area, the exam is in progress, so students are not allowed to

communicate. Neither before the exam is distributed nor after the exam is finished and papers are collected.

• Exam rules apply to the area around the exam area:

o Students need to be silent.

• Please remind the students that they should remain silent even after handing in their exams.

o They should collect their belongings and leave promptly.

o During the exams, they cannot access their belongings between exam times.
