Question:

Choose any two of the seven Cs (e.g., Courtesy, Completeness) and provide
one real-life example against each C where the lack of that element caused
miscommunication. Furthermore, describe how the situation could be
improved.

Answer:

Courtesy Completeness is a concept used in Customer Service or


Communication. It means that when you are communicating with someone,
you try to respect them and understand their point of view fully, so that your
response aligns with their expectations.

The seven CS of effective communication:

1. Courtesy
2. Completeness
3. Clarity
4. Correctness
5. Conciseness
6. Consideration
7. Concurrency
This concept has two main aspects:

 Courtesy
 Completeness
1. Courtesy :

Courtesy means communicating in a respectful and polite manner,


considering the feelings of others. When courtesy is missing, the message
can be perceived as rude or confrontational, which leads to
misunderstandings, strained relationships, and often escalates the issue
rather than resolving it.
Example:

An employee felt his hard work was being overlooked at the office, and in
frustration, he sent an email to his manager saying, “My work seems to be of
no importance to anyone here.” This message, written in a complaint-driven
and harsh tone, made the manager feel attacked. As a result, the manager
responded defensively, and the situation became even more tense. Instead
of resolving the issue, the conversation spiraled into a conflict.

How it could be Improved:

If the employee had communicated in a more respectful and positive


manner, the situation could have been much different. For example, the
employee could have said, “I would appreciate your feedback on my
performance so I can improve and better contribute to the team’s goals.”
This approach, which conveys respect and a desire for constructive feedback,
would have encouraged a positive conversation, making it easier for the
manager to offer support. Courtesy in communication fosters a healthy,
respectful atmosphere where problems can be discussed openly and solved
effectively.

2. Completeness:

Completeness means ensuring that a message includes all necessary


information so that the receiver fully understands what is required. When a
message lacks important details, the receiver is left to make assumptions,
which can lead to mistakes, confusion, and inefficiency.

Example:

A project manager sent a brief message to the team saying, “Start on the
new project.” However, the message lacked important information such as
the specific tasks to be done, the project goals, or the deadline. This
incomplete communication left the team members unsure about what
exactly was expected of them, leading to miscommunication, delays, and
suboptimal work.

How it could be Improved :

The project manager should have provided a more detailed message,


including clear instructions, expected outcomes, and deadlines. For example,
the message could have said, “Please start on the new project by focusing on
the initial research phase. The preliminary report should be completed by
next Friday. Let me know if you need any resources or clarification.” This
complete message would have given the team clear directions, ensuring that
they understood their tasks and deadlines. By providing all necessary details,
the manager would have reduced confusion and helped the team work
efficiently and accurately. Completeness in communication saves time,
minimizes errors, and ensures that everyone is on the same page, leading to
better outcomes.
