The purpose of this document is to present a detailed description of the Online Time Management
System(OTMS) for NSPIRA Management Service Pvt Ltd to manage their resources well.
The goal of the system is to develop such an application which help people to live a stress-free life
by organizing their daily routine effectively and help managers to monitor the team and improve
the productivity. OTMS will organize the tasks according to the priorities given by the users which
will help to increase their overall productivity at the end of the day.
This document covers high level business needs and objective, scope, time and cost, risks,
constraints of the project, stakeholder involved including the project team and approval
requirements.

PROJECT CHARTER
1. PROJECT GOALS
Problem Statement
✓ NSPIRA Management Services is a service-based company which provide multiple services like
Education, IT, Infrastructure, etc., It employed 40,000 resources across country and paying a
salary of INR 75 crores every month. The employees are spread across 750 different branches
across country. The organization is managing their employee work hours manually where
tracking of working hours of employees is tedious and challenging. This inefficient system leads
to resource un-utilization. Internal audit team investigated this and suggested to implement
an automated system which can track the working hours of employees. This initiative expected
to bring in employee utilization and cost reduction up to 5% i.e., INR 3.75 Crores every month.
Business Need
✓ The objective is this project is to develop an online time tracking system which is expected to
track the efforts spent for each task and prioritize the task set by the managers.
✓ The software delivers dashboard exhibiting the complete tracking of man hours and reports
to all core stakeholders in the management hierarchy.
✓ The software is compatible to work on Laptops, Desktops and Android Mobile Phones.
✓ Proposed Project budget – INR 3.75 Crores.
✓ The Project is expected to go live by 1st January 2023.
✓ The App should help the management to reach their savings goal by at least 90% (i.e., 90% of
3.75 Crores) from 2023.
✓ Payback period is one year.
2. DELIVERABLES
1. Web Application for Online Time Management Application for users.
2. Mobile Application for Online Time Management Application.
3. Web Application for Admin to create master data and create users and access rights.
4. Screens to capture all tasks given to the employee.
5. Screens to capture the priorities set by the managers or employee itself.
6. Services to capture login and logout times automatically.
7. Services to capture the number of hours spent on each task automatically.
8. APIs to support the payroll system to generate salaries end of the month.
9. Reports and dash boards to all levels in reporting hierarchy.
3. SCOPE DEFINITION
This Online Time Management System(OTMS) is a multi-functioning system where the team member or the
managers can create list of tasks which will be including simple drag & drop interface to rearrange the tasks as
per the priority. It creates a hierarchy of tasks & subtasks. Once you have added due dates & dependencies, the
application will automatically generate a smart list of actions that require immediate attention. OTMS will suggest
through notifications about how you can complete the left-out tasks throughout week in spare times you have
in a week and according to your response given to the application and through various algorithms that we will be
using system will learn from inputs given every day and will suggest best ways to utilize time in daily routine to
enhance your productivity for the next day. The system should also alert the team member as well as the manager
on underutilization of resources and underperforming resources. This software will be built using HTML, CSS, C#,
Angular JS, MS SQL Server.
4. PROJECT MILESTONES
Assumptions:
1. Resources are onboarded on or before Project start date by the HR team.
2. Required IT infrastructure and development environment is ready.
3. Software successfully works in older Android versions.
4. Technical team is ready with Architecture design, Development (for both Web & Mobile) and Testing.
5. Business team will allocate time as and when required.
6. Technologies, Tools, and Servers are ready by start date of Project.
7. Training plan is prepared and informed to business to schedule their works accordingly.
Constraints:
1. Inhouse resources cannot be expected to work overtime.
2. Current lead time in getting Angular resources is more than 3 months.
3. Financial constraint in releasing funds to partners during Pandemic situation.
4. Skill gap of the existing resources in the latest technologies may delay the project.
Dependencies:
1. Dependency on Infrastructure components.
2. Dependency on Tools and software licenses.
3. Integration with Payroll is dependent on Payroll Development team.
4. Dependency on availability of business team on requirements gathering.
5. UAT is dependent on business team.

1. Sponsor should agree & approve the business requirements given by the business.
2. SME must approve the business requirements of the project.
3. HR Head or Product Owner should approve the business requirements of the project.
4. Finance Head or The Sponsor should approve the budget for Human Resources.
5. Finance Head or The Sponsor should approve the budget for IT Infrastructure, Software
Licenses, Tools.
6. CTO must approve Technical Requirements, Software Specifications and Technical
Architecture of the project.
7. Project manager must approve the business requirements of the Project.
8. Any deviations in the budget should go to Finance Head for approval.
9. Any deviations in the time should go to Sponsor for approval.
