RECORD KEEPING IN SECONDARY SCHOOLS INTEGRATED SCIENCE PROGRAM

School Records, according to Durosaro(2002) are important tools for effective planning and
administration of a school.

School records are books and files containing essential information on students, school
persono,facilities and programmes(Ijaiya,1991)

School Records in secondary school and integrated science are official documents, book and files
containing essential and crucial information of actions and events which are kept and preserved in the
school office for utilization and retrieval as needed. such records are kept by principals, teachers,
counsellors and administrative staff.

WHY KEEP RECORDS?

We keep secondary schools and integrated science programs for many purposes including the
following:-

1. For Monitor students progress: track individual student understanding and identify areas needing
improvement.

2. For Assessment and evaluation: use records to inform assessment decisions and evaluate students
learning.

3. Inform instruction: Adjust teaching strategies based on students performance and understanding.

4. Parents-teacher communication: share student progress with parents, promoting collaboration and
support.

5.Curriculum compliance: Demonstrate adherence to curriculum standards and requirements.

TYPES OF SCHOOL RECORDS IN SECONDARY SCHOOLS.

School records are broadly divided into two(2), they are:--

1. Statutory Records: are the record kept in accordance with the education law and they must be
produced on request By the agent of ministry of education on official inspection. Such records include:-
Admissions/withdrawal register, Log book, Examination records book,Attendance register, school
timetable,diary of work, visitors book,time movement book,national curricula on different
subjects,Assignment book for teachers,query books, history of the school, transfer certificate book,etc
2. Non-statutory records: are school records kept for the purpose of administrative convinces. Such
records include:- Stock book, cash and account book,School calendar, Health book,inventory book, and
staff minutes book,etc

SOME STATUTORY RECORDS.

1. Admission register: is kept under the custody of the school principal Incoming secondary schools
students are formally registered in the admission register to become bonafide member of the school.

2.Attendance Register: the documents is kept by the classroom teacher and it is used to record in
detailed form when a child is present or absent from school. The record indicate total times a child
present or absent from school in weekly and term basis.

3.Syllabus: The external examination bodies such as WAEC And NECO provides the school syllabus to
the principals. The syllabus is drawn from the curriculum and it covers the curriculum and extra
curriculum activities of yearly programme for each stream/class.

4. School time-table: is used to direct and energize the classroom management skills of teachers. It
shows when lessons starts and ends.

5. Schemes of work:- Is drawn from the syllabus and the subjects in it are broken into weekly lessons
for a term or session to enable the teacher write the lesson plan/notes and have attainable instructional
objectives.

SOME NON-STATUTORY RECORDS.

1.Cash book and other financial record: this record are kept by school bursar. Cash book is used in
schools to record incoming cash to the school.

2. Inventory book: this record is kept By the school principal. It is used to take stock of school
documents, properties and facilities.

3. Minutes of staff meeting: this book is kept by the staff secretary and contains the officials meetings
held by the teachers with principals or school heads and other school administrative members.

METHODS OF KEEPING RECORDS.

There are two (2) basic method of storing and retrieving records in secondary schools. These
methods are :- MANUAL AND ELECTRONIC.

1. Manual storage system:- involves keeping schools records in written form in the following formats;-

1. Files.

2.Shelves/ cupboards.

3. Cabinets/drawers.
2.Electronic storage system: involves the use of electronic devices in storing school data either in written
or graphics form. They have very large memories for storing information. Such devices including the
following:-

1. Handset.

2. Personal computers (Desktop, laptops, etc).

3. Microfilm: important events and school activities can be record into tapes/films and stored for future
viewing/project.

IMPORTANCE OF KEEPING RECORDS IN SECONDARY SCHOOLS.

1.For proper placement of students and teachers.

2. To avoid embezzlement of school fund, and school properties.

3. Preservation and retrieval of information.

4. For reference purposes.

5. For promotion or demotion of school staffs

6.For counselling services.

7. Enforcement of discipline in schools.

8. Perpetuation/ continuity of school.

CHALLENGES IN KEEPING RECORDS IN SECONDARY SCHOOLS.

1. Fire outbreaks.

2. Flooding.

3. Pest and rodents.

4. Improper storage.

5. Cost of data in digital storage system.

6. Data security and monitoring.

ESSENTIAL REQUIREMENTS OF SECONDARY SCHOOLS RECORDS.

1. The records must be full and complete.

2. They must be truthful and honest.

3. They must be available when needed.


4. They must be used to take appropriate actions.

5. They must be kept safe from excessive humidity and heat that can spoil them.
