Q: Choose any two of the seven Cs (e.g., Courtesy, Completeness) and provide one real-life
example against each C where the lack of that element caused miscommunication.
Furthermore, describe how the situation could be improved. (20 marks)

6. Consideration
Taking into account the viewpoint, requirements, and emotions of the recipient is known as
consideration. It all comes down to showing empathy and tailoring the message to the
recipient.

 Example: Without taking into account that not every team member had a technical
background, the team leader issued a very technical email regarding a project update to
every employee. Non-technical employees were perplexed by the project's
development and felt excluded.

 Improvement: The team leader might have sent a simplified, general version of the
communication to non-technical workers and a technical version to the appropriate
team members. This strategy would guarantee that everyone understood the message
and felt included.
4. Courtesy
Courteous communication shows professionalism and respects the feelings of the recipient.
Being courteous helps strengthen bonds and foster a positive atmosphere.

 Example: When a customer service representative told a furious client, "Your complaint is
not our responsibility," the client's annoyance increased and the matter was escalated.

 Enhancement: The representative may have replied with a more courteous statement, such
as "We are sorry for the inconvenience and will try our best to help you." This would have
de-escalated the issue by demonstrating empathy and respect.
