Conferencing
Conferencing is when you conduct a real-time, virtual meeting with two or more participants from
various locations, locally or internationally via a conference bridge. You can conduct conferencing via a
Transmission Control Protocol (TCP), Internet Protocol (IP), or Voice over Internet Protocol (VoIP)
connection, and this function is standard on most business phone systems.
Conferencing over the internet has revolutionized the way people connect and collaborate, breaking
down geographical barriers and enabling real-time interaction. It encompasses various concepts and
technologies that facilitate communication and information sharing among multiple participants.
3. Accessibility and Scalability: Internet conferencing leverages the global reach of the internet,
Page 7
allowing participants from anywhere in the world to join meetings. It also offers scalability,
accommodating small group discussions as well as large-scale webinars with hundreds or thousands of
attendees.
5. Security and Privacy: Secure conferencing solutions employ encryption and access controls to
protect sensitive information and ensure privacy during meetings. This is crucial for business
discussions, confidential consultations, and personal interactions.
1. Video Conferencing: This involves real-time video and audio communication between participants,
enabling face-to-face interaction and visual cues. It is widely used for business meetings, remote
collaboration, and personal communication. The main purpose of a video conference is to establish a
visual link between the participants. It does have potential for collaborative capabilities, so it can also be
used for team meetings.
Companies maximize the experience by setting up specialized equipment (screen, camera, and
microphone) in a dedicated room. This way, everyone from the office can join a meeting from that
specific location.
3. Audio Conferencing: This focuses on voice communication over the internet, allowing
participants to join meetings via phone or computer. It is a cost-effective solution for simple discussions
and meetings where visual interaction is not essential.
4. Webinars: These are online seminars or presentations delivered to a large audience over the
internet. They often involve a presenter sharing slides or videos, with attendees able to ask questions via
chat. A webinar (web-based seminar) is a presentation conducted over the internet. Potential guests
typically sign up in advance to join. Over the course of the webinar, the presenter is in control and may
Page 8
solicit feedback from the audience through a poll, survey, or question-and-answer session.
2. Education and Training: Online conferencing facilitates remote learning, virtual classrooms,
and online training sessions, making education more accessible and engaging.
Advantages of Conferencing
• Save records of your meetings for future references and for those unable to attend by recording
your conference.
• Save resources, time, and money on traveling to and fro to physical meetings.
• Share files with attendees where any authorized participant can make immediate revisions.
• Edits are done in real-time and participants can discuss this via the video feed.
3.2 Mailing List
In order to send same email to a group of people, an electron list is created which is know as
Mailing List. It is the list server which receives and distributes postings and automatically
manages subscriptions.
Mailing list offers a forum, where users from all over the globe can answer questions and have
them answered by others with shared interests.
E-mail mailing lists are a classic yet still relevant tool in internet applications, serving as a way
to distribute information to a large group of people simultaneously. They function by using a
single e-mail address that, when sent a message, forwards that message to all subscribers on the
list
Page 9
Compiled List
The compiled list is prepared by collecting information from various sources such as surveys,
telemarketing etc.
Announcements
These lists are created for sending out coupans , new product announcements and other offers to the
customers.
Discussion List
This list is created for sharing views on a specific topic suchas computer, environment , healt, education
etc.
How does mailing list work?
Before joining a mailing list, it is mandatory to subscribe to it. Once you are subscribed, your
message will be sent to all the persons who have subscribed to the list. Similarly if any
subscriber posts a message, then it will be received by all subscribers of the list.
After sending the email, you will receive a confirmation email for your subscription. This email will
include list of commands that will help you to perform various operations such as unsubscribing,
receiving acknowledgement, and find out what list you are subscribed to.
There are many list servers available, each having its own commands for subscribing to the list.
Some of them are described in the following table:
• Cost-Effective: Compared to other marketing channels, e-mail mailing lists offer a cost-
effective way to reach a large audience.
• Measurable Results: E-mail marketing platforms provide analytics to track open rates,
click-through rates, and other metrics, enabling campaign optimization.
USENET NEWSGROUP CONCEPT
Like mailing lists Usenet is also a way of sharing information. It was started by Tom Truscott
and Jim Ellis in 1979. Initially it was limited to two sites but today there are thousands of Usenet
sites involving millions of people.
Usenet is a kind of discussion group where people can share views on topic of their interest. The
article posted to a newsgroup becomes available to all readers of the newsgroup.
Page 11
3.2.2 Newsgroup Classification
There exist a number of newsgroups distributed all around the world. These are identified using a
hierarchical naming system in which each newsgroup is assigned a unique name that consists of
alphabetic strings separated by periods.
The leftmost portion of the name represents the top-level category of the newsgroup followed by
subtopic. The subtopic can further be subdivided and subdivided even further (if needed).
For example, the newsgroup comp.lang.C++ contains discussion on C++ language. The leftmost
part comp classifies the newsgroup as one that contains discussion of computer related topics.
The second part identifies one of the subtopic lang that related to computer languages. The third
part identifirs one of the computer languages, in this case C++.
Page 12
Page 13
Conventional subjects such as religion, politics
Talk.* Soc.politics.india
etc.
Then each news server compares if both carry the same newsgroup. If yes, then by comparing
the files it checks that if there are any new articles in the file, if so they are appended to the file.
The updated file of the news servers is then sent to other news servers connected to it. This
process is continues until all of the news servers have updated information.
Page 14
Reading Articles
If user wants to read article, user has to connect to the news server using the newsreader. The
newsreader will then display a list of newsgroups available on the news server where user can
subscribe to any of the news group. After subscription the newsreader will automatically
download articles from the newsgroup.
After reading the article user can either post a reply to newsgroup or reply to sender by
email. The newwsreader saves information about the subscribed newsgroups and articles
read by the user in each group.
Posting an Article
In order to send new article to a newsgroup, user first need to compose an article and specify the
names of the newsgroup to whom he/she wants to send. An article can be sent to one or more
newsgroup at a time provided all the newsgroups are on same news server.
It is also possible to cancel the article that you have posted but if someone has downloaded an
article before cancellation then that person will be able to read the article.
Replying an Article
After reading the article user can either post a reply to newsgroup or reply to sender by email.
There are two options available Reply and Reply group. Using Reply, the reply mail will be sent
to the autor of the article while Reply group will send a reply to whole of the newsgroup.
Cancelling an Article
To cancle an article after it is sent, select the message and click Message > Cancel message. It
will cancle the message from the news server. But if someone has downloaded an article before
cancellation then that person will be able to read the article.
Searching. Searching is always a powerful information sorting function. For example, you can
search a newsgroup for messages that have senders or subjects that match certain keywords of
interest to you. This can be useful if the newsgroup has a lot of messages so you can quickly
Page 16
find those discussing subjects you are interested in. Once you find a message you want to read,
you can highlight that message, sort the message window by sender (see below), and then read
any other messages by the same author.
The newsgroup search function is typically under an application menu item like “Edit / Find” or
“Edit / Search Messages”. Some news readers will even let you search through the contents of the
messages without downloading them, by sending a message to the news server which does the
search and returns the results.
Sorting. You usually select a newsgroup by clicking on its name in the newsgroup list
of your news reader. Typically a window will open that lists all of the messages posted
to that newsgroup in the past several days. You can then sort the list by clicking on the
title at the top of the column that you want the list to be ordered by, such as those listed
below:
o Date. Sorts the list from first to last by the time they arrived on your news server.
News servers usually normalize all message times according to the GMTdate of their
origination, so that later messages are consistently listed after earlier messages.
o Lines. Orders the messages from smallest to largest, so that you can see approximately
how much space each one takes up.
o Sender. Orders the messages so that all those sent by the same sender are
collected together, so that you can see successive messages by the same person.
o Subject. Sorts the list into an alphabetical listing by subject, with similarly spelled
subjects grouped together.
Video Conferencing
Video conferencing is a technology that enables us to conduct a meeting online by using some
platforms which offer such facilities. It is very helpful for many people involved in different
sectors like education, businesses, Information Technology Industries, or even for Courts.
Meetings for different purposes, like routine meetings, business deals, or interviews, are often
conducted through video conferencing.
Page 17
camera and screen of their respective devices. This makes video conferencing a more favourable
option than a telephone conference. The video conference also helps improve the relationship
with the other person compared to the telephone conference, as people feel more connected
because they can see each other while having a conversation.
Technology requirement of video conference:
If we talk about the factors which can affect video quality is firstly the speed of the internet.
Poor internet connection or slow connection acts as a barrier because people aren’t able to see
each other, sometimes their video or audio got paused. Although with the advancement of new
technology motion pictures can work in slower internet connection, but again people have to
compromise with the video quality.
There are some minor factors too that can also affect the quality of video conferencing like the
placement of the microphone. In video conferencing the audio plays an important role, without
any audio one cannot decode the message of others. Thus, the placement and quality of the
microphone also matter. At the same time, the placement of meeting, one should sit in the light
before attending the video conference as in darkness your face will not visible to others. Also,
during the presentation, the size of fonts and images matters a lot. If the font size of the
presentation is too small or images are blurred then no one can read your presentation or
understand your images.
Usefulness of Videoconferencing
The new normal already taught us a lesson about the importance of digital literacy. Nowadays,
whether an office meeting or school all are happening from home, and they all are using video
conferencing to meet each other. Video Conferencing also used to host live events and
seminars. Now let’s look at in detail :
Page 18
1. Distance Learning: Even before the Covid situation, many people are using video
conferencing in the education field. This enables to set up a classroom-type environment
where teacher and student can both interact with each other. However, there are some
limitations, and one is the lack of human touch.
2. Business meetings: Again this is very popular, people meet and do their work together
over a distance.
3. Telecommuting/Home Office: No one has ever thought that people can work from home
and the only thing which made it possible is the advancement of Information technology
which includes video conference.
4. Legal environment: The use of video conferencing becomes a more frequent practice in
the courtroom. It helps to testify witnesses to appear in court without physically travel to
the courtroom.
5. Telemedicine: There are many times a patient needs medical advice but he/she is not able
to visit a doctor physically, then video conferencing comes into the picture where staying at
home one can take medical advice from the doctor or specialist.
