Abstract

This project provides an effective solution for viewing different information of


the students in a school. This system provides a platform that is easily accessible
and very simple to use. This system is useful for teachers and parents to view the
students’ data and the students can use it for academic purposes. Users can
choose what information they want to access. The application is user friendly and
interactive. To overcome the drawbacks of the previous methods of physical and
paper based, we introduce a project to view information such as attendance, study
materials, result, exam routine, and more. This system is useful for students to
keep up with their assignments and submit leave applications. User must login
with their username and password.

Chapter 1 Introduction

The older system of physical data creates a lot of hassle to record as well as
retrieve the data. Teachers must go through a lot of records to get a student’s
information. Parents are very out of touch with the daily school activities of
their children. The students too do not get to keep track of their basic
information of school activities such as attendance, fees, and results.

Our proposed system is a “School Mobile App”. The system provides more
managed and easy viewing of all the students’ data. This will make the data
retrieving process smooth and user friendly. This system consists of software
components enabling access to different information such as attendance,
transport details, reading materials, teacher details, school fee, exam routine,
result, etc. The user has to login into the app and the app directs to the home
page. Then the user is allowed to access the above-listed information.
Teachers, parents and students can login with their email and password.
Students can also submit a leave application.

1.1 Problem Statement

Traditional methods of communication in schools, such as paper notices and emails,


are often ineffective in reaching all students in a timely manner. Additionally,
students, parents and teachers face difficulties in accessing essential resources, such
as academic materials, school fee and atendance, leading to frustration, and missed
opportunities for involvement. There is a pressing need for a solution that enhances
communication and accessibility to information and promotes engagement among all
members of the school community.

If a teacher wanted to look at a student’s results or attendance, he/she would have to


take out the physical record amongst other students’ records. This takes time and
effort.

Parents do not get to be involved in the students’ activities in the school. They would
be pretty much clueless about many daily school activities like attendance, exam
routines as well as unknown about the teachers.

Additionally, a student would not have the record of his/her attendance, results and
study materials and they also could not ask their queries to their teachers without
physical presence of both student and teacher.

This problem statement highlights the challenges faced by the school community in
communication and access to information, laying the base for the designing of a
school mobile app as a potential solution to address these issues.

1.2 Goals and Objectives

 Improved Communication: Enhance communication between students and


teachers by providing a centralized platform for all the necessary data.

 Increased Engagement: Promote active participation and involvement in


school activities, events, and academic pursuits among students.

 Enhanced Access to Information: Provide easy access to important


information such as exam routine, attendance, result and transportation.

 Support for Learning Outside the Classroom: Facilitate learning beyond


the classroom by offering study materials and allowing students to enter their
queries.

 Parental Involvement: Foster stronger partnerships between parents and the


school by providing opportunities for parents to stay informed about their
child's academic progress and participate in school events and initiatives.

By aligning the objectives of the app with the specific needs and priorities of the
school community, the app can serve as a valuable tool for enhancing
communication, and engagement, ultimately contributing to a more vibrant and
supportive educational environment.

1.3 Scope

This system is useful in communicating basic data from school to the students and
parents. Users can login and access the information they want among all the available
options. This helps teachers as well as parents to track the students’ activities.

Key Features and Functionalities:

 Secure login/authentication for different user roles.


 Academic resources, including study materials, exam routines and results.
 Attendance tracking.
 Accepts queries and leave applications for easy communication.

1.4 Motivation

Students in schools are most of the time unable to be updated with their own basic
information. We ourselves as school students were unaware or did not keep the
records of some data such as fees due, attendance and new notices. We had to hand in
written leave applications to the teachers. Sometimes students couldn’t keep up with
the latest events and notices as well as any changes in the daily schedule and
timetables. Handwritten diaries for daily work and assignments were used and they
required more effort.

On the other hand, parents would need to meet the teachers and ask about their
children to know about their performance in school. Parents were not involved in
daily school activities.

Teachers who needed to get a student’s information also would take longer time
going through all the handwritten and unmanaged system.

For example, I once had to ask a teacher my registration number, and he had to go
through many records of multiple students to retrieve my information.

So, we worked towards designing this application that might help make the data
retrieval process effortless and efficient and encouraged all three parties to be
involved and provide a more supportive environment for students.

1.5 Application

The proposed system is to encourage student and teacher involvement in the


class activities. This system will help teachers, students as well as the parents
to access from anywhere the basic information that was initially recorded
physically. It allows everyone to easily view and retrieve the data needed.

 Engagement: The app serves as a central hub for students, parents and
teachers to engage in basic school activities. It provides study materials
and enquiry for students, attendance for parents and teachers and school
fee for parents, and others.

 Access to Information: The app provides easy access to a variety of


important information and resources, including teacher information,
student details, transport details, etc. This helps students, parents, and
teachers stay organized and informed about various aspects of school
life.

 Attendance Tracking: The app simplifies attendance tracking for


teachers and parents, allowing them to record and monitor student
attendance more efficiently. Parents can also view their child's
attendance records in real-time, enabling them to stay informed about
their child's attendance status.

 Academic Support: The app offers academic support by providing


access to educational resources, study materials, and enquiry for
students. Teachers can share course materials, assignments, and
resources with students through the app, facilitating learning both inside

and outside the classroom.

 Parental Involvement: The app facilitates parental engagement by


providing parents with insights into their child's academic progress,
attendance, and school activities. Parents can track their child's
performance, and participate in school events and initiatives, fostering
stronger partnerships between home and school.

1.6 Feasibility Study
From all the study done regarding the feasibility of the proposed system, it
can be said that the system is moderately feasible. Feasibility study on the
project can be categorized in the following.

1.6.1 Technical Feasibility:

The proposed system is technically moderately feasible. The proposed


system for data collection for training and test purposes requires the use of
Figma. The system provides basic layout and design of the system
application.

1.6.2 Operational Feasibility:

Operational Feasibility aspects of the project are to be taken as an important


part of the project implementation. Therefore, the proposed system is
moderately feasible from an operational point of view. This system is further
modified with the new features and technology which be implemented in
future as a more advanced system in most schools and even colleges.

1.6.3 Economic Feasibility:

This study is carried out to maintain an easy, efficient and time saving
environment and further it may be used as a business purpose. This system
can be further modified with the new features and technology which is to be
implemented in future as a more diverse and advanced Mobile App which
can be implemented even in offices and different workplaces for office
workers and employees.

Chapter 2 Literature Review

School Mobile App is greatly beneficial to such educational institutions, but


only if it is utilized to its maximum capacity. In our country majority of
school apps are not developed and designed in such detailed and interactive
manner.

2.1 Study on Existing systems

Before we analyze the design of the proposed system, we need to carefully


highlight the problems of the existing system to avoid recurrence. The
problems of the current system should be outlined. Below are some of the
problems associated with the existing system.
 Lack of options for interactions for students, teachers, and parents.
 Less attractive to users.
 No attendance tracking.
 Basic information of students is not recorded.
 Facilities for students like leave application submission and study
materials are not provided.
 Important records like transportation details and fee details are not
kept.

Chapter 3 System Design

A system design is a conceptual model that defines structure, behavior and


more view of the system. It is a formal description and representation of
system, organized in a way support reasoning about the structure and system
architecture can comprise the system component, the externally visible of
those component, the relationship between them. It provide a platform thatwill
work together to implement whole system.

CHAPTER 4 Expected Output

Below is the menu page of the School Mobile App. It consists of all the different options that
the user can access. Different icons represent the related informations.

1. Transport: It shows the transportation


details including map, driver information
and transportation coordinator.
2. Reading Material: This contains all the
study materials for the students. Videos and
PDFs are available to help students with
their education.
3. Teacher Details: It shows the details of
several teachers. This shows data such as
position, contact, address, subject and other
information of teachers.
4. School Fee: This option allows to keep
record of the fees due and receipts of fee
payments.
5. Exam Routine: It provides users with the
exam routine, date and time of the
examination.

6. Attendance: It keeps track of the students’


attendance every day. It also shows details
of if leave application is received on the day
of absence or not.

7. Result: Result keeps report card of the recent examination. It
helps in tracking the progress of students.

9. Enquiry: It allows the user to enter any problem/query or
suggestion.

10. Leave Application: This option allows the students to submit a


leave application.

11. Notification: Notifies about latest updates such as a new study


material added by a teacher.

12. Logout: The user can logout and return to the login page after
completing the task.

Chapter 5 Conclusions

Technology is introducing new innovations day by day, thus reducing the time
required to do things. The proposed system can be used to know the basic activities
ongoing in the classroom and school. The mobile application can be used by teachers,
students, and parents to access the required information effortlessly and efficiently. It
also provides them with the facility of being updated with things going on in the
classroom. The Mobile application is developed using Figma which is a cloud-based
design tool used for creating user interfaces, prototypes, and collaborative design
projects. We recommend schools to use the school mobile app for the effective
benefits it holds.

The results obtained from the experiments and testing ensure that the
proposed method is efficient and user-friendly. As compared to existing
methods, this project which yields centralized information makes the work of
teachers, parents and students easier and provides detailed information about
the topic of users' interest in just one mouse click.
