Part 1: Overview of the Reports and Scheduling Process

Slide 1: Introduction to the Reporting Module


"Good [morning/afternoon], everyone. Today, I’ll walk you through the Reporting Module in the
fastenal system. The goal is to provide a comprehensive understanding of the reports available,
their purpose, and the scheduling functionality that streamlines report generation. We'll then dive
into the report scheduling process and finally review the underlying data structure supporting the
reporting module and then we will have a walkthrough of reports in different modules."

Slide 2: Reports Overview


"Let's start with the overview of the available reports. As shown in the table, the reporting
module consists of various reports categorized under different functional areas such as
Inventory, Catalog, Orders, and Assets. Each report has a specific purpose, helping us analyze
and act upon critical business data effectively."

(Refer to the table for the first row and proceed category-wise).

1. Inventory Reports:
o Transaction Report: Tracks all activities affecting inventory, ensuring
traceability. This report supports templates and scheduling.
o Value Snapshot Report: Provides a real-time overview of inventory's financial
and quantitative value at a specific point in time. It also supports templates and
scheduling.
o Non-Contributing Inventory Report: Highlights items that are not actively used
or generating revenue. This report doesn’t currently support scheduling.
2. Catalog Reports:
o Top Movers Report: Tracks the most frequently ordered or used catalog items,
ensuring stock availability. This report isn’t schedulable.
3. Order Reports:
o On Time Delivery: Monitors the efficiency of supplier deliveries to assess
timeliness and reliability.
o Order Deadline Report: Ensures orders meet their deadlines by tracking
statuses. This supports templates but not scheduling.
o On Order Report: Tracks the status and details of items ordered from suppliers.
o Requisition to Order Report: Tracks the time between requisition creation and
order placement, giving visibility into processing times.
4. Work Order Reports:
o Work Order Transaction Report: Provides a detailed breakdown of
transactions related to work orders. This supports templates and scheduling.
5. Asset Reports:
o Asset Downtime Tracking: Tracks asset downtime and its impact on operations.
o Asset Transactions: Provides insight into check-ins, check-outs, and utilization
of assets.
o Certification Expiration Report: Highlights upcoming certification expirations
to ensure compliance.

Slide 3: Templates and Scheduling


"From the table, you can see the Template/Schedule column. Reports marked with 'Y' indicate
they support templates and scheduling. Scheduling allows reports to be generated and delivered
automatically based on predefined intervals. However, to schedule a report, a corresponding
template must be created first."

Part 2: Report Scheduling Process Walkthrough

"Now, let's discuss the process of scheduling reports. Scheduling saves time by automating
repetitive reporting tasks and ensures timely delivery of critical information. But as I mentioned
earlier, the process starts by creating a report template."

Slide 2: Steps to Schedule a Report


"Here are the steps to schedule a report, as per the training we've gone through. I’ll walk you
through these in detail:"

1. Step 1: Create a Report Template


o Navigate to the relevant report, for example, the Transaction Report.
o Apply the filters you want, such as Transaction Type, Date Range, or Location.
o Save the configuration as a template by clicking the green '+' button.
o Name the template, select the desired columns, and save it.
2. Step 2: Access Scheduling
o Go to the Reporting module, and select Scheduled Reports.
o Click the Create button in the top-right corner.
3. Step 3: Define the Schedule
o Provide a name for the schedule, e.g., 'Weekly Inventory Transactions'.
o Link the schedule to the template you created in Step 1.
o Choose the delivery frequency: daily, weekly, monthly, or yearly.
4. Step 4: Assign Recipients
o Select the users who will receive the report.
o You can add multiple recipients as needed.
5. Step 5: Save and Activate the Schedule
o Save the schedule.
o If you want the schedule to be active immediately, ensure the Active checkbox is
selected. Otherwise, you can activate it later.

"This process allows us to:
 Save time by automating report generation.
 Ensure reports are consistently delivered on time.
 Provide key stakeholders with the data they need without manual intervention."
