Specific Objectives: At the end of the lesson students should be able to:

1. State the definition of the letter of complaint.

2. Identifying situations that require writing a letter of complaint.

3. Lists the parts of a letter of complaint.

4. Develop competency in writing by writing a letter of complaint.

Instructional Material: A Comprehensive English Course CXC English A 243-249, laptop,

sample complaint letters

Engage: Teacher will present the following scenario to the class asking for their input.

What would you do if you bought a cell phone and when you get home you realized

that it’s not working?

Would you:

a) Call the store to inform them of the issue?

b) Would you go to the store and create a scene?

c) Would you call it a loss and purchase another one?

Explore: Sample complaint letters will be distributed to students

Students will identify elements that make these letters effective.


Explain: With the use of notes or Powerpoint presentation teacher will lead students into

discussion of the definition of the letter of complaint, identifying situations that

require writing a letter of complaint, parts of a letter of complaint and the

developing competency in writing by writing a letter of complaint.

Elaborate: Students will be provided with the following scenarios and complete the

activities attached

a) Students receive a damaged product and must write a clear complaint letter to

the manufacturer.

b) Students will receive a complaint letter with excessive emotion/unnecessary

details. Students will be asked to remove irrelevant information.

c) Students will be provided with a disorganised list of issues related to a

situation. Students will be asked to organise these issues logically

Evaluate: 1) Write a letter to the principal detailing a pressing problem facing the school.

Explain what makes the issue worthy of attention and suggest possible solutions.

2) Write a letter of complaint to a business that has disappointed you. Explain what

dissatisfied you about the product or service offered by that company and what

you expect the company to do to remedy the situation.

3) Write a letter complimenting a business or company for its outstanding services

or products. Be specific about what you like, and give details on your positive

experience with the company.


4) Pretend you went to your favourite fast food restaurant and while there you

received poor service. Write a letter of complaint to the manager of the restaurant

in which you describe in detail what happened and how you would like the

situation to be addressed.

5) You ordered a new phone online. However, when it arrived it was broken. Write a

letter of complaint to the company you ordered phone. Explain the condition of the

phone when it arrived to you and what you would like them to do about it.

6) In your community, the local park has a swing set with broken chains, basketball

hoops without nets and trash bins that are overflowing. You want to write a formal

complaint to the Parks and Recreation Director. His name is Mr. Ralph Blank. His

address is as follows: Office of Parks and Recreation, 123 North Park Street,

Logan, Ohio, 43138.

7) You have wanted a pair of Tike neon colored tennis shoes for months. You finally

talk your mother into buying them for you. One week after the purchase, the sole is

loose at the toes, and the thread in the stitching is loose. The brand name of the shoes

is Tike, and the store where the shoes were purchased was The Big Shoe Store. The

customer service manager for Tike is Mrs. Belinda Bowers. Her address is 456 South

Shoe Street, Columbus, Ohio 45612.


CONTENT
A complaint letter is a formal way of bringing attention to a problem or issue that you have
with a product, service, company, or individual. It is important to write a complaint letter in a
professional and polite manner, as this will help ensure that your issue is taken seriously.
When you are responding in in written form, you should avoid angry, hostile or sarcastic
tones.
You are more likely to get specific action on what you want, if your written response reflects
tact, courtesy and emotional intelligence.

Tone
The writer’s tone is his/her attitude towards a subject. The writer’s tone is created by the his
use of language, that is, the style of address, word choice, point of view and voice.

Reasons to Write a Complaint Letter


One may need to write a complaint letter if a product doesn’t work correctly or if it doesn’t
work at all. Or, they may need to complain about problems in their community to business
owners or to leaders in the community.

Block Letter Format

In the block style, there is no indenting. All parts of the letter need to line up on the left
margin. The order of the letter parts are as follows:

Your address (sender’s address)


Date
Address where the letter is going (inside address)
Salutation (Dear Mr. Johnson:)
Body of letter
Closing
Signature
Structure of a Letter of Complaint

Purpose of the letter


Begin with a detailed description of the product or service
State what is exactly is wrong with the product or service
Briefly describe the inconvenience you have suffered
Indicate precisely how the situation should be corrected
Ask for prompt handling of the claim

Body of the Letter

Paragraph 1: Describe what is wrong with the product or describe the issues/problems. Give
the date of purchase and place of purchase, if applicable.

Paragraph 2: Explain how you would like to resolve the problem.

Paragraph 3: Explain that you look forward to receiving a reply with a resolution. Set a date
or time limit in which to receive the reply. Give a phone number where you can be reached.

Language Structure of the Letter of Complaint

Here are some helpful language structures that are used in letters of complaint:

Introduction

On the subject of….
To draw your attention to…..

Complaint

I must object…..
I must complain about…..
I find it quite distressing that …..
I feel something ought to be done/ said about……
