Introductory Message

Welcome to the Reading and Writing Self-Learning Module on Features of and


Requirements in Composing Professional Correspondence: E-mail.

This Self-Learning Module was collaboratively designed, developed, and


reviewed by educators from the Schools Division Office of Pasig City headed by its
Officer-in-Charge Schools Division Superintendent, Ma. Evalou Concepcion A.
Agustin, in partnership with the City Government of Pasig through its mayor,
Honorable Victor Ma. Regis N. Sotto. The writers utilized the standards set by the K
to 12 Curriculum using the Most Essential Learning Competencies (MELC) in
developing this instructional resource.

This learning material hopes to engage the learners in guided and independent
learning activities at their own pace and time. Further, this also aims to help learners
acquire the needed 21st-century skills especially the 5 Cs, namely: Communication,
Collaboration, Creativity, Critical Thinking, and Character while taking into
consideration their needs and circumstances.

In addition to the material in the main text, you will also see this box in the

Requirements in Composing Professional Correspondence: E-mail.

The hand is one of the most symbolized parts of the human body. It is often
used to depict skill, action, and purpose. Through our hands, we may learn, create,
and accomplish. Hence, the hand in this learning resource signifies that you as a
learner is capable and empowered to successfully achieve the relevant competencies
and skills at your own pace and time. Your academic success lies in your own hands!

This module was designed to provide you with fun and meaningful
opportunities for guided and independent learning at your own pace and time. You
will be enabled to process the contents of the learning material while being an active
learner.

RECAP

In the previous lesson, you learned the basic features in composing


memorandum and circular. These correspondences are used in formal set-
up. A memorandum is addressed to person or group within an organization,
an office or a department. It usually discusses a single topic and is
disseminated to someone or specific group of people within the organization.
A memo is released to give information, issue instructions, request for help
and to provide suggestions. On the other hand, a circular is for mass
distribution. In addition, circular is a kind of written announcement that is
distributed to a large number of people to convey any commercial and non-
commercial message at a minimum time, costs and efforts.

LESSON

A professional e-mail (electronic mail) is a message sent via internet


along with the web in a formal workplace. In contrast with a regular mail, it
does not require detailed and elaborative content.

Basic features/requirements in composing a professional e-mail

1. A concise subject line. This must be succinct, yet descriptive. This will
help the recipient determine the significance of the message. It
encapsulates the content of the message. It also aides the recipient to
easily locate it.

2. A proper greeting. It is necessary to easily identify the recipient of the


message. It addresses the recipient, use name and honorifics.
Example: Dear students, Dear Sir Managuelod

3. Comprehensive and direct body/text. The writer creates a vivid


message that is easily understood by the recipient. It explains the
purpose of the message concisely. It must be free from grammatical
errors and the like. In addition, on this part the sender may introduce
himself/herself in the beginning sentence of the first paragraph. At the
end of it, you may request the recipient for an action regarding the
matter or any attachment.
Example:

I am Jayson D. Managuelod. I am your teacher in Reading and Writing


for this semester. Attached herewith is your self-learning modules in
lesson 1 to 6 for the first quarter.

Kindly read the lessons and answer the activities on separate sheets
of paper.

Submission of your answers/outputs shall be on or before October 20,


2020.

4. Polite and Formal closing. The sender may use sign off depending on
the level of formality. The sender indicates full name and contact
details. It can leave lasting impression.
