INTRODUCTION

This module contains the overview of the different Software. It explains the
different types of software and its type, where these applications are best suited
to use. Microsoft Office Suite are the basic software that we can used to develop
output. Each lesson has the following parts:
Learning Outcomes and Objectives. Begin by reading and
understand the objectives and Learning outcome, these will tell you
what you should know and be able to do after reading this module.
What I Need to Know. Gauge what you already know by taking the
Pretest then check your answer using the Answer Key.

What’s In. It contains review about the previous lesson before


proceeding to the lesson proper.

Different Types of Software

Did you know that once you turn on your computer or your cellphone, a software
is already running inside of it? Ye, because without a software, a device cannot be
turned on and off, it can’t open an application, or even connect to a wifi. But what is a
software?
A software are programs which enable a computer to perform specific tasks. It
tells the computer what to do. It controls the hardware and other software installed. The
people who developed these softwares are what we called the programmers. They
design, program and write codes to build a software. According to a blog of QArea
Expert, generally, here are the 7 steps in software development cycle:
 Planning – It is the phase of brainstorming when specialists gather requirements
and analyze all the aspects of future software product.
 Feasibility Analysis – It defines the entire project in details and check the
projects feasibility whether it’ feasible in cost, time, functioning, reliability etc.
 Product Design – the major aspect of software development services. The
design should be clear and creative.
 Coding – the critical phase of SDLC. A lot of brains work for coding.
 Implementation and Integration – the project team checks whether the
software product runs on various systems. In case of bugs, testers fix them
 Software Testing – before selling the software, it need verification which
includes software testing and debugging.
 Installation and Maintenance – the clients can buy the products and install
them. If the clients need any modification, the product is to come under the
maintenance process.

We have two main types of software that can be categorized according to the
task that they do. The Systems Software and the Application Software. Why do you
have to know these types? For you to be able to determine what kind of software you
will need to install according to your needs.

SYSTEMS SOFTWARE includes programs that are used to control, manages


and maintains the computer system. These software are used to communicate with the
hardware to function and interact with the user.
Here are the examples of System Software:
1. Operating System (OS)
2. Device Drivers
3. Utility Software

For you to understand more about the System Software, here are the meaning
and examples of each.

OPERATING SYSTEM (OS)


Basically, a computer will not work without an OS. Every device, whether a
laptop, desktop, tablet or cellphone requires an Operating System to give the basic
functionality to it. It allows the device to turn on and off, provides a Graphical User
Interface (GUI) where you can create, delete and manages your file. It is the prominent
example of a system software.

It is a type of software that controls particular hardware which is attached to the
system. Hardware devices that needs a driver to connect to a system include displays,
sound card, printers, mouse and hard disks. Some devices are plug and play, which
means once connected the operating system automatically reads and install the device
and instantly ready to use in a minute such as mouse, keyboard and flash drive. Some
of these drivers comes with the device in a CD when you buy them or they can be
downloaded online such as printer. Other drivers are automatically installed by the
manufacturers including the operating system specially in desktop and laptop. There are
two types of device drivers: Kernel Device Drivers and User Device Driver. Here are
some of the examples:
 BIOS Driver

 Motherboard Drivers
 Printer Drivers
 ROM Drivers
 Sound Card Drivers
 USB Drivers
 VGA Drivers
 Virtual Device Driver

UTILITY SOFTWARE
Utility software is designed to aid in analyzing, optimizing, configuring and
maintaining a computer system. It supports the computer infrastructure. Software
like antiviruses, disk cleanup & management tools, compression tools,
defragmenters, etc are all utility tools. Some examples of utility tools are:

APPLICATION SOFTWARE includes programs that do real work for users. It is
designed to do specific task. Here are some of the examples of this software.
 Word Processor
 Spreadsheet
 Presentations
 Database Management system
 Electronic Mail
 Web Browsers

For you to understand more about the System Software, here are the meaning
and examples of each.

WORD PROCESSOR
This software enables the creation of documents such as letters, reports,
brochures, manuals and certificates.

This software used to perform calculations such as grading sheets, income

What Is It?

Other application software that you can use are video editing software, audio and
video player, games, chat and video app, etc. Almost all software are compatible with
cellphone and tablet.
A lot of software can be downloaded through cellphone and laptop, but some of
them are not free. Beware of software piracy, which is the illegal copying of software
that does not belong to you in a manner that violates the copyright. Example of this is
when you download a copy of Microsoft Word from a file-sharing website without paying
for it.

Recognizing Desktop Screen Elements

There are many ways on how to open an application. Before we go through the
lesson, you must be familiarized with the windows 10 desktop window. Desktop
window is the graphical user interface (GUI) where you can see the icons for most
used applications.

Windows Button - also called the Start Menu. When you press the
windows button on your keyboard, or when you click the logo on bottom left
side of the desktop window, you will see all the installed program in the computer. Other
task like shut down, setting, accounts are in the start menu.
Search Box – located beside the start menu. By typing a command or keyword,
it will help you look for the file or program. Cortana is a digital assistant who help you
get things done.
Taskbar – located at the bottom of the window by default, but you can move it to
any side of the window. It contains the start menu, search box, pinned running

applications and the system tray. Commonly used applications can be pinned in the
taskbar for easy access.
System Tray – it is a notification area at the right side of the taskbar. It shows
the date and time, alert in internet connections, volume level, etc.
Desktop icons – are small thumbnail picture used for shortcut in opening an
applications, files and folders. Windows 10 desktop icons cannot be deleted but can be
hidden.

- This PC is a shortcut in opening the storage drive of the computer. It


views the different drives, devices and folder available in the computer.

File Explorer (This PC)

- File Explorer is a file management application used by Windows


Operating systems to browse folders and files. These are folders where you can
store, delete and manage files. They are available anywhere, it can be on
desktop, taskbar or in This PC.

- Control Panel (Settings) provides the ability to view and change


system settings according to the user preferences. You can change the
appearance of desktop, add, remove, repair software and hardware, add user
accounts, change accessibility options and access network settings, etc.

- Recycle bin is a wastebasket where all deleted files go. It means when
you delete a file or folder, you can still retrieve them by opening the bin
and right click the file and click restore. It will go back to its original location. But
once the bin is emptied, it cannot be recovered

- Network gives visual indication of network connection status of your


computer, it can be wired ethernet, wireless or dial up. It can test, diagnosed
network problems and helps you fix your internet connection.

There are several ways to open and close an application, here are the steps:
To OPEN an application:
First Option:
 Click the Windows button
 Look for the application that you want to open, then click.
 Wait for the windows to open the application
Second Option:
 On your desktop, look for the icon of the application (desktop or Taskbar)
 Double click your mouse or click once then press enter.
To CLOSE an Application
First Option:
 On the upper-right hand corner, you will see three buttons, and these are
Minimize, Maximize and Close.
 Click the X button to close the application.
Second Option:
 Click the File, then Click Close.
Third Option:
 Press Alt + F4 on your keyboard.

These options can be applied on all applications in windows 10 even for file
explorer window, settings window, This PC window or Removable drive window.
To toggle between the current and last viewed window, press Alt + Tab
repeatedly and release when displays the selected window.

Creating, Renaming and Deleting a Folder

Folder is where we save our files in an organize manner. We can create


folder anywhere (desktop, file explorer, drive. There are built-in folders available in our
computer where you can save your files, namely Documents, Music, Pictures and
Videos.

How to CREATE folder


There are ways to create a folder, make sure that you change the name of the
folder related to the files that you will save in it. The default name of folder when created
is New Folder.
Steps in CREATING a FOLDER
Desktop window
1. Open the window where you want to create the folder (Ex.
Desktop, Documents, Drive D, Videos)
2. Right click mouse, then click NEW, then click FOLDER.
3. Look for the NEW FOLDER then type the new name.

If creating folder in a file explorer, like picture folder,


you can click NEW FOLDER on top of the window.
A new folder will appear then change the name.
In this example, the Picture folder is where we create
a new folder. You can create a folder inside a folder.

Pressing Ctrl + Shift + N is the

Renaming means
original one. When changing a name, make sure that it is related to the file or content of
a folder, so you won’t get loss.

STEPS in RENAMING FOLDER


1. Look for the folder that you want to change.
2. Right click the folder, then Click rename. You will see that the text
will be highlighted, it means that you can start typing the new
name.

You may also click the folder, then press F2 to rename.

You may also click the
rename command on the top
of the File Explorer. Make
sure to click first the folder
that you want to rename.

DELETING a FOLDER
Deleting means erasing or removing the folder including its contents at once.
Make sure that you do not need the folder anymore when doing deletion process.

WAYS in DELETING a FOLDER


 Right click the folder, then click DELETE
OR
 Click the folder, then press DELETE in the keyboard or press Ctrl D.

NOTE: When you delete a file or a folder, you can always restore them by opening the
RECYCLE BIN. Not unless when you press SHIFT + DELETE the file is permanently erased.

What Is It?

Computer has a memory that can store data. When you create a folder or save
data, it occupies a bit in computer’s memory and storage drive, the information stored
on a hard disk remains intact even when the computer is turned off. However, any data
held in memory is lost when the computer is turned off.
When a file is deleted, the space used on the disk is not reclaimed until the file is
truly erased. The trashed (the Recycle bin on Windows) is actually a hidden folder.

Microsoft Corporation is an American multinational technology company that


develops, manufactures, licenses, supports, and sells computer software, personal
computers, and related services. Its best-known software products are the Microsoft
Windows line of Operating Systems, the Microsoft Office Suite, and the Internet
Explorer and Edge web browsers.

Microsoft Word, Excel and PowerPoint are included in the Microsoft Office Suite
package with other essential software.

Microsoft Office Word is one of the most common word processing software used
in most establishments like schools, big companies, etc. A user-friendly software where
you can create reports, brochures or a simple document like letters, name tags, labels,
etc.
Microsoft Excel is a spreadsheet software allows you to create data analysis,
charts, budgets and more. It is a powerful data visualization and analysis tool.

Microsoft PowerPoint empowers you to create clean slide presentations and


wherein you can edit, view, present or share quickly and easily. You can combine text,
graphics, and multi-media content to create professional presentations.

To be familiar with the environment, let us take a little tour on the parts of the
three Microsoft Office Suite (Microsoft Word, Microsoft Excel and Microsoft
PowerPoint).

Working Area / document
 TITLE BAR - it consists of the name of the file and name of the program.
Document1 is the default name of new blank document. Aside from the name,
title bar consists of the search bar, Microsoft account, ribbon display options,
minimize, maximize, restore and close.

 Quick Access Toolbar – displays the most used command for
easy access.
 Search Bar – to get help and see other
features of this app, you can type a question or keyword that you want to
explore.
 Microsoft Account – you can create and log in your
account to use most of the features of the app. When you create your own
document, your name will be the author of the document, even when you
share it.
 Ribbon Display Options – consists of 3 options where you can
manage the ribbon.
 Auto-hide ribbon - it hides the ribbon for more space for
working area.
 Show Tabs – it only shows the ribbon tabs but the
commands are auto-hide.
 Show Tabs and Commands – It shows the tabs and its
commands as a normal window.

CONTROL BUTTONS
 Minimize – shrinks the window of the app and places it on
the taskbar while the program is running.
 Maximize – it appears when the window is in restore state, it
enlarges the window app to the size of the screen.
 Restore Down – it appears when the window is in maximize
state, It lets you resize the screen.
 Close – It exit the application to stop running. You may also
press the File then click Close or Press Alt+F4.
 RIBBON TABS –
These are the tabs to access the commands. The name of the tabs are related to
the commands they hold. Ribbons tabs includes File, Home Insert, Design,
Layout, References, Mailings, Review, View and Help.

 RIBBON – These are set of commands that contain in
each ribbon tabs.
 STATUS BAR – it indicates the information about the
current status of the application or document.
 VIEW OPTIONS – it gives different options to view your
document.
 ZOOM LEVEL – also called zoom in and out or zoom
slider. It can display the working area far or near of your screen to easily view the
document. It can zoom from 10% to 500%.
 SCROLL BAR – It appears on the side and at the bottom of the document to
move to any part of the page.
 WORKING AREA – the main part of the document where it displays the position
of the insertion point where you can enter and type text.

What Is It?

Common element means same parts with other office app where they have the
same functions and locations. Standard keyboard keys are also applied. Microsoft
Office Suite are friendly-user package that offers useful software.
Microsoft Office is the brand, Microsoft Office suite refers to the collection of
products that are included in your purchase. If you purchased the desktop package,
your suite likely includes Excel, Outlook, OneNote, PowerPoint and Word.
You can avail the Microsoft Office for free but use basic versions of Word,
Excel, PowerPoint and OneNote for free in your browser but they run online and are
100% free.
